Working with Date Fields in Your Forms

Easily capture and display dates in your forms — with formats that follow your browser settings.

With the Date field, respondents can easily capture a date by clicking a button, selecting from a drop-down calendar, or entering it manually.

Note: The date format displayed (e.g., dd/mm/yyyy or mm/dd/yyyy) is based on your web browser’s settings. Adjust your browser’s language and region preferences if you want the format to appear differently.


Step-by-Step Guide

  1. In the Form Builder, open the Builder tab.

  2. From the Basic Input Fields panel, choose one of the two options:

    • Date – Standard date entry with calendar picker and manual input.

    • Date (Age Calculator) – Special field that calculates age automatically based on date of birth.

  3. Drag the field into your form (or click Add Item and select it).

  4. Add a Label and Description.

  5. (Optional) Adjust settings:

    • For both Date fields: Input Required, Show Time Entered, Show User Last Edited, and Summary Page Settings (Filterable, Display in List, Edit in List).

    • For the Age Calculator: choose Anchor Date if you want to display age at the time of entry (e.g. age on incident date) rather than current age.

  6. Publish the form to start using it.


Use Cases for the Age Calculator

With Anchor Date (fixed age at time of entry)

  • Incident reports – record the person’s age at the time of the incident, which won’t change over time.

  • Compliance or legal documentation – keep a historical record of age at the moment of signing or reporting.

Without Anchor Date (always shows current age)

  • Enrolment documents – automatically update, so you always know the current age of the student or participant.

  • Membership or service eligibility – useful for ongoing programs where age limits or milestones are important.


Show Time Entered

When you enable Show Time Entered, IndyForms will automatically capture:

  • The exact date and time the field was last edited, and

  • The user details of who made the change.

This is pretty handy if you want to capture the real time and date something happened — perfect for audit trails, compliance records, or time-sensitive reporting.

Q. Why does my form show dates as mm/dd/yyyy instead of dd/mm/yyyy?

A. The date format follows your web browser’s language and region settings. Update your browser preferences to change how dates display.

Q. Can I make the Date field mandatory?

A. Yes — select Input Required when setting up the field.

Q. Does the Date field support time as well?

A. Yes. You have two options:

  • Enable Show Time Entered to capture the system date and time whenever the field is last edited.

  • Or, add a separate Time field if you want respondents to enter a time manually.


Tips

  • Check your browser settings if the date format looks unfamiliar — IndyForms displays dates exactly as your browser is set up.

  • Use “Filterable” in Summary Page Settings to quickly search and sort records by date.

  • Display in List makes important dates (like start dates or due dates) visible at a glance without opening the whole record.

  • Edit in List is handy for quick updates — for example, adjusting a deadline without opening each record.

  • Capturing time with dates:

    • Use Show Time Entered for an automatic system stamp (ideal for audit trails or compliance).

    • Add a Time field if you want respondents to manually select a specific time (useful for appointments, scheduling, or events).
