Create clear estimates with InvoiceFly. This guide helps you create, customize, and send estimates or quotes efficiently to your clients.

Step-by-Step Guide to Switch from Estimate to Quote

  • Open Invoice Fly.

  • Tap on the Settings icon located in the top left corner of the screen.

  • In the Settings menu, select More Options.

  • Look for the option labeled Convert Estimates to Quotes.

  • Toggle this option on. This will enable you to create quotes instead of estimates.

  • Customize your quote as needed by adding client details, item details, discounts, taxes, notes, and payment terms.

How to Create an Estimate or Quote

  • Tap on the Estimates icon located in the menu at the bottom of the screen.

  • Tap the Create New Estimate button in the center on the screen.

  • A new estimate template will appear, ready for customization.

Add Client Details:

  • Tap on the Add Client button.

  • You can select an existing client from your client list or add a new client by tapping the Add Client button at the bottom of the screen.

  • Fill in the client's details such as name, email, phone number, and address. Once done, tap Save to add the client to the estimate.

Add Item Details:

  • Tap on the Add Item button.

  • You can select an existing item from your item list or add a new item by tapping the Add Item button at the bottom of the screen.

  • Fill in the item details such as name, description, price, and quantity. You can also add tax information if applicable. Once done, tap Save to add the item to the estimate.

Customizing Estimates

Customize Estimate Header:

  • Tap on the estimate header to edit fields such as estimate number, date of issue, and expiration date.

  • You can also add a purchase order (PO) number and a headline if needed.

  • There is a Convert to Quote toggle as well.

Add Discounts and Taxes:

  • To add a discount, tap the Discount button located above the tax section. You can choose to apply a percentage or a fixed amount discount.

  • To add taxes, tap on the tax section. You can apply tax per item or on the total estimate amount. Ensure you have configured your tax settings in the app.

Add Notes and Payment Terms:

  • Scroll to the bottom of the estimate to add any notes or payment instructions for your client.

Include Images:

  • You can add images to the estimate by tapping on the Add Image button and selecting images from your gallery or taking a new photo.

Request Client Acceptance:

  • You can request client acceptance by toggling the Request Sign & Acceptance option on the estimate. Once signed, you will be notified and the estimate will be marked as accepted.

Sending Estimates to Clients

  • To send an existing estimate, select the estimate you wish to send from your list.

  • Tap the Send Estimate button.

Choose Sending Method:

  • Send by Email:

    • Select the Send by Email option.

    • An email window will open with the estimate attached. Enter the recipient’s email address and any additional message, then send the email.

  • Send Link:

    • Select the Send Link option.

    • A shareable link to the estimate will be generated. Copy the link and share it with the recipient via your preferred communication method.

  • Send PDF:

    • Select the Send PDF option.

    • The estimate will be downloaded as a PDF file. You can then share the PDF manually via email, messaging apps, or other methods.
