Message an NHS service, healthcare professional or clinician

A guide to allow you to send secure messages to NHS Services or Clinicians

Written by Tom Clewes

Users in the iPlato Toolbar are now able to send secure messages via NHS mail to NHS Services, healthcare professionals or clinicians. The feature is integrated with EMIS and SystmOne so all messages are saved to the patient record.

Accessing the iPlato Email Feature

The feature is accessible in the iPlato Toolbar by selecting the @ sign.

You will need to ensure you are on the patients open record in EMIS/SystmOne that you want to send the email about. Once select this patient's details will be visible.

Steps for sending your email:

  • To: You are able to send the message either to a user/organisation on your Address Book or by entering an email address.

  • Subject: This is automatically generated: First name Last Name, DOB, NHS Number. You are able to edit it completely.

  • Text: You can enter your message to send, there is no character limit

  • Attachments: By selecting the paperclip you are able to add up to 5 attachments from your clinical system or computer.

  • Save to patient record: This is switched on as default but if you would not like the message saved to record simply untick

  • Include Patient Care Summary: You are able to included a summary of the patients care record.

Once you are ready you would press Send Now to send the message immediately to the individual/organisation, it will also be saved into the patients record if this was ticked.

iPlato uses an NHSmail inbox which allows users to securely email domains that meet the NHS Secure Email Standard or domains that are otherwise deemed secure by NHSmail. For emails that don't meet the NHS Secure Email Standard iPlato cannot guarantee the email will be encrypted end-to-end .

Managing the Address Book

To add email addresses of individuals or organisations that you frequently send to you can manage this list on the Connect Platform (mygpconnect.com).

Head to Settings > Address Book (you will need to ensure you have High Level or All Access in order to make any changes).

The Address Book will contain contact details of individuals or organisations that have been added by members of your practice.

To add new users Select + New Contact - You then have the option to add an Individual or Organisation.

Fill in the requested data and press save. This email will now be searchable in the toolbar.

🌟 To help we have added a direct link from the toolbar to access the NHS Service Directory to support users in finding the correct most up to date contact details - https://servicefinder.nhs.uk/landingPage
