Getting Started With Ivorey™ Calendars

Before you steam ahead setting up your calendars, here's some good-to-know information that will ensure you understand how calendars work in Ivorey™, and which type is the right fit for your needs.

Learn the basics of calendars

Ivorey™ calendars are designed to replace tools like Calendly, Acuity, Square etc. Once you create a calendar, you can share a direct link or embed it on your site, so other people can book through it online. You can also create appointments manually yourself inside Ivorey™, and create/manage your appointments via the Ivorey™ LeadConnector app. 

You can sync your Ivorey™ calendars with your iCloud, Google or Outlook calendars so that any appointments booked through Ivorey, automatically show up on your calendar. Ivorey™ can also check for conflicts on your existing calendars to ensure you never get double booked.

When your contacts book an appointment through an Ivorey™ calendar, we can also generate automatic 'add to calendar' links so they can add the appointment to their own calendar too. Plus, you can set up automated confirmation, reminder and cancellation emails - based on the settings you choose. We have pre-made email templates ready for you inside the Ivorey™ Template Library to shortcut this process for you!

How many calendars do I need?

​Most Ivorey™ clients setup multiple calendars, breaking them down by appointment type. For example, a Coach or Service Provider could have all of these calendars:

  1. Sales/Discovery Call Calendar

  2. Coaching Call Calendar for Group Program

  3. Coaching Call Calendar for Mastermind

  4. Consulting Call Calendar for 1-1 Clients

  5. Onboarding Call Calendar

  6. Team Meeting Calendar etc etc.

By having multiple calendars, you can give each calendar its own unique settings like availability, appointment lengths, locations, confirmation emails etc. A classic example of this, is a business owner who prefers to keep certain days for internal team meetings, other days for client calls, and other days for no-calls so they can focus on deep work (or having time off!) 

How long it will take to setup my calendars?

Each calendar will take approx 10 minutes to setup, including all your automated emails that will attach to each calendar (since we have pre-made all of the templates for you!)

Which type of calendar should I choose?

There are multiple calendar types available in Ivorey™, each with their own unique/features and settings. Refer to the 'Calendar Types and Comparisons' section below to choose the right calendar for your needs.

Choose Your Calendar Type: A Quick Comparison Guide 

Are you trying to decide which type of calendar to use? Ivorey™ has multiple calendar types available - each with its own unique features and settings. This section will provide a high level summary and comparison of each calendar type, so you can choose which ones are right for you.

Standard Features Of All Calendars

The following features come as standard across all Ivorey™ calendars, no matter which type you choose:

  • Customize unique availability

  • Set a location (online or in-person)

  • Set pre and post buffer times

  • Limit the number of appointments each day

  • Automatically adjust for different time zones

  • Send automatic confirmations and reminder emails

  • Provide automated cancellation and rescheduling links

  • Collect information via a form

  • Add appointments to Google, Outlook or iCal

  • Check other calendars for conflicts

  • Accept payments directly in the calendar

  • Customize the calendar branding

  • Share the calendar via a link or embed it into a site

  • Book and manage appointments via the app

Personal Booking Calendars

Personal Booking Calendars are perfect for 1:1 appointments where only 1 team member and 1 attendee are required. For example, consultations, coaching calls, interviews or impromptu catch-ups with a friend. The additional features of Personal Booking Calendars are:

  • Personal Booking Calendars can automatically generate a new Zoom or Google Meet link and add it to the calendar event. This link will send out in your confirmation and reminder emails, as well as show up in the calendar if you/your attendee add the appointment onto Google Calendars, iCloud or Outlook.

Round Robin Calendars

Round Robin Calendars are perfect when there are multiple team members who are available to take the appointment. For example, sales teams where there are multiple team members who can take the calls. The additional features of Round Robin Calendars are:

  • You can choose to assign team members based on any one of these options:

    • Preference - The system can ask the booker which team member they want to book with

    • Availability - The system will prioritize giving the booker the most options for availability, no matter which team member the appointment is with

    • Equal distribution - The system will ensure that appointments are equally distributed amongst all team members who are assigned to the calendar

Round Robin Calendars can also automatically generate a new Zoom or Google Meet link and add it to the calendar event. This link will send out in your confirmation and reminder emails, as well as show up in the calendar if you/your attendee add the appointment onto Google Calendars, iCal or Outlook.

TIP: You can still use Round Robin calendars even if there's just one team members taking calls at the moment. If you think you may want future team members on this calendar, it's a good idea to just start using it now to avoid you having to re-build your calendar in the future.

Class Booking Calendars

Class Booking Calendars are used for one-to-many appointments. For example, a workshop, a seminar or a group interview where there is one team member (host) and multiple participants. If you'd like the event to automatically generate a Zoom or Google Meet link to go in the calendar invite, we suggest opting for a Round Robin calendar instead, since at this time it offers more functionality.

Collective Booking Calendars

Collective Booking Calendars are used for many-to-one appointments. For example, when two team members need to be on the call to onboard a new client. The collective calendar type will check the availability of all team members who need to be there, plus cross-check any settings of the calendar to find the available times. Please note, collective calendars currently do not support recurring bookings and should only be used for one-time events.

Service Calendars

Service Calendars are used for service-based businesses. These calendars can book-out inventory and rooms which makes it perfect for salons, studios and similar environments. If you have multiple different services available, you can add them to a Group Calendar so your contacts can just go to one main calendar and view all the different types of services available, in one place. Each service can have its own unique length, cost and availability.

Community Event Calendars

Community Event Calendars are used to display upcoming events within your Community Group. For example, you would select this calendar type if you wanted to host a Live Masterclass or Live Coaching Calls.

  • When you create an event inside your community, you can choose to make it free or paid.

  • You can choose to only make the event visible to a private channel, if you happen to utilize that feature inside your community. For example, you may have a group coaching program, with one private channel for clients on a VIP tier. You could display exclusive calls and events for that channel only, without the rest of the community being able to access them.

  • You can add Zoom links or even a physical address to each event.

  • When you create an event, members will automatically get invited and also receive reminders when the event is about to start.

  • Your members can add events to their Google or iCal calendars with one click.

NOTE: If you want to set up an event calendar directly inside of your community, please refer to the Community Master Help Guide instead. This guide you're currently reading will help you setup all other types of calendars and appointments - but community event calendars must be setup inside communities instead.


How To Setup A New Calendar: A Step-By-Step Guide 

Below is a step-by-step guide of how to setup any calendar type - just select the drop-down and follow along!

STEP 1: Integrate With Your Existing Calendar

Decide if you would like to integrate with Google Calendar, Outlook or iCloud. This will allow Ivorey™ to check for any conflicts in your existing calendars so you can't get double booked. It will also allow your appointments to show up on your usual calendar, instead of just inside the Ivorey™ platform.

STEP 2: Connect Zoom or Google Meet for Video Calls

If you want the option to automatically add an online meeting link to your appointments and calendar events, you need to integrate your prefered platform for video conferencing calls. See below how to integrate with Zoom or Google Meet.

How to integrate your calendars with Zoom

  1. From the Ivorey™ main menu, select [Calendars] then > [Calendar Settings]

  2. In the top menu bar, select [Connections]

  3. In the first section, select [+ Add New]

  4. In the Video Conferencing section, select the [Connect] button next to Zoom.

  5. Sign in to your Zoom account, and follow the prompts.

How to integrate your calendars with Google Meet

  1. From the Ivorey™ main menu, select [Calendars] then > [Calendar Settings] then > [Connections] then > [+ Add New]

  2. In the Calendars section, select the [Connect] button next to Google.

  3. Sign in to your Google account, and follow the prompts.

NOTE: If you have already integrated your Google Account, you can skip this step.

TIP: Choose a 'Personal Booking' or 'Round Robin' calendar if you'd like the system to automatically attach a unique Zoom link to the calendar invites.


STEP 3: Set Your Profile Availability

A lot of people miss this step, so make sure you don't! Since some of your calendars could have multiple team members on them, Ivorey™ requires each team member to set your own availability under their Profile Settings.

STEP 3.1: How to set your profile availability

  1. On the main Ivorey™ menu, go to [Settings] then > [Profile]

  2. Scroll down to the availability section, and set your general working days and hours.

Typically, you will set these hours to be any days you're willing to take bookings, so if you end up with multiple calendars, multiple team members, and all different availability for each calendar - the system always knows to remove you on any of your chosen days off.

Remember, the system will always cross-check your individual availability from your profile AND the availability for the calendar itself. For example, if your profile availability was M-F 9am-5pm, but your calendar was only available Wednesday mornings, the system would only show the Wednesday morning slot because it takes into consideration both availabilities.

TIP: If you have team members who will ever be included on a calendar, ensure they each set their profile availability too.


STEP 4: Create A New Calendar and Optional Calendar Group

The next step is to choose your calendar type, and then create it in Ivorey™. Once you've created your individual calendars, you also have the option to add them to a calendar group. This allows you just to provide one booking link, where people can look through all your different booking types in the one place.

STEP 4.1: Create a new calendar

  1. From the main Ivorey™ menu, select [Calendars] then > [Calendar Settings] then > [Create Calendar]

  2. Select your prefered calendar type, and follow the prompts.

STEP 4.2: Create a calendar group (optional)

  1. From the main Ivorey™ menu, go to [Calendars] then > [Calendar Settings].

  2. On the right, select [Create Group] and follow the prompts to create your new group, then press [Save]. If you plan to have multiple groups, you can create them all now.

  3. Next, it's time to tell Ivorey™ which calendars you want to be included in each group. To do this, go back to your list of all calendars, and click the three buttons besides each calendar and select [Edit].

  4. When you're back inside the calendars settings, you'll see a section to choose what group this calendar belongs to, then press [Save].


STEP 5: Set up Automated Calendar Emails

We have pre-made email templates ready for you to customize and use. If you set up these emails now, it can completely automate all of your calendar management - including confirmations, reminders, cancellations, rescheduling and more. You will see the option to add these when you create or edit your calendar, under the 'Notification and Additional Options' step.

STEP 5.1: How to setup your automated calendar emails

  1. From the main Ivorey™ menu, go to [Marketing] then > [Emails] then > [Templates].

  2. You'll see a dedicated folder called "Calendar Emails" that we've created for you!

  3. Work through each email, customizing it with your own unique copy, branding and images and press [Save] when you're done.

  4. Be sure to leave the custom values we have added, as they will automatically pull in dynamic data to send, such as your contacts name, appointment date, time, timezone, rescheduling links and more.

  5. Go back to edit your calendar, and find the [Notifications and Additional Options] step.

  6. Under the [Contact] drop down, find the emails you've customized and set them up as your automated reminders.

  7. Press [Save] when you're done - your calendar emails will now run on auto-pilot!


STEP 6: Share Your Calendar Booking Link

Once your calendar has been setup, it's time to share it! You have 2 main ways to share your calendar: sharing the link, or embedding it into a web/funnel page.

STEP 6.1: How to share your calendar booking link

  1. From the main Ivorey™ menu, go to [Calendars] then > [Calendar Settings]

  2. Select the three dots on the right of the calendar you want to share, then select [Share Calendar] in the small menu that pops up

  3. You will be given the option to copy a scheduling link, a permanent link, a one-time link, or an embed code.

The final way to share you calendar, is to add it into any website or funnel page. When you're inside the page builder of your website or funnel, simply drag and drop the Calendar element onto your page, and choose which calendar you'd like it to show.

STEP 6.2: How to share a calendar group if you have one

If you have setup a calendar group where people can view all your appointment types from one calendar, you need to share the link to the group instead of the individual calendars.

NOTE: If you want to setup a calendar group but don't know how, please refer to the previous step above: How to create a calendar group.


STEP 7: Create A Workflow To Tag Contacts Who Book Appointments

This step is optional but strongly recommended. In this very simple workflow, you'll want to tag anyone who books through your calendar. This will mean you can filter and segment your contacts, plus automate things in the future. The goal of this simple workflow is simply to tag contacts who book appointments with a unique tag.

STEP 7.1: How to tag contacts who book through your calendar

  1. From the Ivorey™ main menu, go to [Workflows]

  2. Create a new workflow using the calendar name

  3. Set the trigger to [Appointment Status] then [Add Filters]

  4. Set the following filters:

    1. Event type = Any

    2. In calendar = Choose your calendar

    3. Appointment status is = Confirmed

  5. Now create the first action [Add Contact Tag]

  6. Select the tag from the dropdown if you have it already, otherwise type in the new tag name e.g. "booked - discovery call" and select [Add Tag]

  7. Publish the workflow and repeat for each calendar so they each get a unique tag

    TIP: You can also add any additional workflow steps after the tagging step, such as sending emails, sms or an internal notification to a team member about the new appointment. You can do just about anything with workflows - so don't be afraid to have a good play around!

CONGRATULATIONS! You've just setup your calendars AND completely automated them in the process!


Frequently Asked Questions about Calendars

Can I set up recurring calendar appointments?

Yes! You can set up recurring Calendar appointments inside the following Calendar Types: Round Robin, Class Booking, and Personal Booking. Please note the Service and Collective calendars do not support recurring bookings.

Can I create a calendar that displays all of my upcoming events?

If you have a community (free or paid) you can create an events calendar that displays all the upcoming events! It can even automatically invite your community members and send reminders.

However if you want to display upcoming events outside of your community, you'll need to find a third-party plugin to do that (e.g. you can embed your Google calendar or similar). The rest of the Ivorey™ calendars are designed to manage appointments based on team member availability, as opposed to ticketing style events.

Can my clients add the appointments to their own calendars?

Yes! If you use the email templates we have provided (see step 5 above) you'll see we have created links so that your clients can add the event to their own Google, Outlook or iCloud calendars.

Can I set different availability for different calendars?

Absolutely! Each calendar can have its own unique availability, lengths, rescheduling and cancellation policies, emails and more.

Can I customise the calendar branding?

Yes, you can change how the calendar looks by adding your own brand colours, logo, text and more!

  1. From the Ivorey™ main menu go to [Calendars] then > [Calendar Settings]

  2. Select the three dots next to the calendar and choose [Edit]

  3. Go to the [Customizations] tab and follow the prompts to re-brand the calendar.

Can I take payments through calendars?

You sure can. Whenever you create a new calendar, there is a [Payments] section you can toggle on or off. You can also edit any existing calendars to add payment collection onto them.

  1. Go to [Calendars] then > [Calendar Settings] and select the calendar you want to accept payments through.

  2. On the 3 dots next to the calendar, select [Edit] and go to the [Forms and Payments] tab.

  3. Down the bottom, toggle on [Accept Payments] and insert the price and currency. If this section is showing as greyed out for you, it means you have not yet setup your payment processor e.g. Stripe.

  4. Select [Save] and [Close] once you've added your payment settings to the calendar.

  5. If you're calendar hasn't been published yet, go to the 3 dots again and select [Activate Calendar]

  6. Your calendar is now ready to accept payments! Be sure you have setup a workflow (shown in step 7) to ensure you're being notified and your contacts are being tagged when they book.

Can I use coupon codes through calendars?

Currently calendars do not support coupon codes. You can adjust the pricing on the calendar if you want to discount it for a certain period of time. Alternatively, you can set up a checkout before or after the calendar to accept payment with coupon codes.

Can I add the calendar onto my existing website thats not built on Ivorey?

Yes, you can easily share your calendar even if you don't have your website built on Ivorey™. You can insert the calendar share link into any buttons on your site, inside your emails, or you can use the calendar embed code to embed it on any other website builder.

To share a calendar, go into any [Calendars] then > [Calendar Settings] then > select the 3 dots next to whichever calendar you want to share. Select [Share Calendar] and you'll be given the option to get the link or the embed code.

Can I block-off time in calendars to show as unavailable?

Yes - you can easily block-out time slots on your calendars without having to reconfigure your calendar settings.

  1. From the main Ivorey™ menu, select [Calendars] then > [Appointments].

  2. Select [+ Add New] in the top right. A screen will open with 2 tabs: The first to book an appointment, the second to block-out time.

  3. Select the [Block Off Time] and choose which person, which calendar, and which slots you would like to block out.

How do I collect information when people book through my calendar?

Yes! If you're only wanting a standard name, email, phone number and notes section - you can use the default form that already appears on the calendars. But if you'd like to collect more specialized information when people book through your calendar, you can create a form that appears at the time of booking. Here's how to do it:

  1. In the Ivorey™ main menu, go to [Site Pages] then > [Forms]

  2. Create a new form including any questions you want to ask

  3. Go back into [Calendars] then > [Calendar Settings]

  4. Select the three dots on the right of the calendar you want to edit

  5. Select [Edit] then > [Forms & Payment]

  6. Choose the form you just created from the drop down list

  7. This will now appear anytime someone books through that calendar

How do I limit the number of attendees to my online event?

You can set the number of attendees using the 'Maximum bookings per slot' setting. Head to [Calendar Settings] > [Availability] > add your number of attendees under Maximum bookings per slot.

How do I get the location of my event to display on the calendar booking page?

To display the location on your calendar booking page, you can write it in the 'Calendar Description' of your Calendar Settings, and make sure the description is toggled on to display on the calendar booking page.


Calendar Troubleshooting Guide

Why isn't my calendar showing the right availability?

Why isn't a Zoom link showing on my calendar invite?

If your calendar event does not show a Zoom link, it's either because:

  1. You have not yet integrated your Zoom (step 2 above).

  2. You are using an unsupported calendar type. At the moment, Personal Booking and Round Robins are the only calendar types that can automatically generate unique Zoom links.

If you want to use an alternative calendar type that doesn't support automatic Zoom links, you can simply copy and paste your Zoom personal meeting link as the default setting for all appointments.

I can't see where to book community events in the calendar section?

The community events calendar needs to be setup and managed from directly inside your group. Please go to [Courses] then > [Communities] and login to the group you'd like to create events in. You can setup your events under the [Events] tab. Please see our Communities Master Help Guide for a step-by-step walkthrough.

Why isn't my subject line showing when I send emails?

You will need to add the subject line into the email template first. To update these you go into Email Templates > select the template you want to update, > click the 3 little dots at the top of the email next to 'Save Template' button, > click settings, > and add the email subject in here. Remember to save your template.
