Getting Started With Ivorey™ Calendars
Before you steam ahead setting up your calendars, here's some good-to-know information that will ensure you understand how calendars work in Ivorey™, and which type is the right fit for your needs.
Learn the basics of calendars
Learn the basics of calendars
Ivorey™ calendars are designed to replace tools like Calendly, Acuity, Square etc. Once you create a calendar, you can share a direct link or embed it on your site, so other people can book through it online. You can also create appointments manually yourself inside Ivorey™, and create/manage your appointments via the Ivorey™ LeadConnector app.
You can sync your Ivorey™ calendars with your iCloud, Google or Outlook calendars so that any appointments booked through Ivorey, automatically show up on your calendar. Ivorey™ can also check for conflicts on your existing calendars to ensure you never get double booked.
When your contacts book an appointment through an Ivorey™ calendar, it can also generate automatic 'add to calendar' links so they can add the appointment to their own calendar too. Plus, you can set up automated confirmation, reminder and cancellation emails all within the calendar directly - based on the settings you choose. We have pre-made email templates ready for you inside the Ivorey™ Template Library to shortcut this process for you!
How many calendars do I need?
How many calendars do I need?
Most Ivorey™ clients setup multiple calendars, breaking them down by appointment type. For example, a Coach or Service Provider could have all of these calendars:
Sales/Discovery Call Calendar
Coaching Call Calendar for Group Program
Coaching Call Calendar for Mastermind
Consulting Call Calendar for 1-1 Clients
Onboarding Call Calendar
Team Meeting Calendar etc etc.
By having multiple calendars, you can give each calendar its own unique settings like availability, appointment lengths, locations, confirmation emails etc. A classic example of this, is a business owner who prefers to keep certain days for internal team meetings, other days for client calls, and other days for no-calls so they can focus on deep work (or having time off!)

Personal Booking Calendars
Personal Booking Calendars
Personal Booking Calendars are perfect for 1:1 appointments where only 1 team member and 1 attendee are required. For example, consultations, coaching calls, interviews or impromptu catch-ups with a friend. The additional features of Personal Booking Calendars are:
Personal Booking Calendars can automatically generate a new Zoom or Google Meet link and add it to the calendar event. This link will send out in your confirmation and reminder emails, as well as show up in the calendar if you/your attendee add the appointment onto Google Calendars, iCloud or Outlook.
Round Robin Calendars
Round Robin Calendars
Round Robin Calendars are perfect when there are multiple team members who are available to take the appointment. For example, sales teams where there are multiple team members who can take the calls. The additional features of Round Robin Calendars are:
You can choose to assign team members based on any one of these options:
Preference - The system can ask the booker which team member they want to book with
Availability - The system will prioritise giving the booker the most options for availability, no matter which team member the appointment is with
Equal distribution - The system will ensure that appointments are equally distributed amongst all team members who are assigned to the calendar
Round Robin Calendars can also automatically generate a new Zoom or Google Meet link and add it to the calendar event. This link will send out in your confirmation and reminder emails, as well as show up in the calendar if you/your attendee add the appointment onto Google Calendars, iCal or Outlook.
TIP: You can still use Round Robin calendars even if there's just one team members taking calls at the moment. If you think you may want future team members on this calendar, it's a good idea to just start using it now to avoid having to re-build your calendar in the future.
Class Booking Calendars
Class Booking Calendars
Class Booking Calendars are used for one-to-many appointments. For example, a workshop, a seminar or a group interview where there is one team member (host) and multiple participants. If you'd like the event to automatically generate a Zoom or Google Meet link to go in the calendar invite, we suggest opting for a Round Robin calendar instead, since at this time it offers more functionality.
Collective Booking Calendars
Collective Booking Calendars
Collective Booking Calendars are used for many-to-one appointments. For example, when two team members need to be on the call to onboard a new client. The collective calendar type will check the availability of all team members who need to be there, plus cross-check any settings of the calendar to find the available times. Please note, collective calendars currently do not support recurring bookings and should only be used for one-time events.
Service Calendars
Service Calendars
Service Calendars are used for service-based businesses. These calendars can book-out inventory and rooms which makes it perfect for salons, studios and similar environments. If you have multiple different services available, you can add them to a Group Calendar so your contacts can just go to one main calendar and view all the different types of services available, in one place. Each service can have its own unique length, cost and availability.
Events Calendars (in Calendars)
Events Calendars (in Calendars)
Events Calendars are used for scheduling in-person events. This calendar type is great for organising things like conferences, retreats, or in-person events where you don't need to assign a 'host' or team member.
Community Event Calendars (in Community Groups)
Community Event Calendars (in Community Groups)
Community Event Calendars are used to display upcoming events within your Community Group. For example, you would select this calendar type if you wanted to host a Live Masterclass or Live Coaching Calls.
When you create an event inside your community, you can choose to make it free or paid.
You can choose to only make the event visible to a private channel, if you happen to utilize that feature inside your community. For example, you may have a group coaching program, with one private channel for clients on a VIP tier. You could display exclusive calls and events for that channel only, without the rest of the community being able to access them.
You can add Zoom links or even a physical address to each event.
When you create an event, members will automatically get invited and also receive reminders when the event is about to start.
Your members can add events to their Google or iCal calendars with one click.
NOTE: If you want to set up an event calendar directly inside of your community, please refer to the Community Master Help Guide instead. This guide you're currently reading will help you setup all other types of calendars and appointments - but community event calendars must be setup inside communities instead.
How To Setup A New Calendar: A Step-By-Step Guide
Below is a step-by-step guide of how to setup any calendar type - just select the drop-down and follow along!
STEP 1: Integrate Your Existing Calendar with Ivorey™
By integrating your Google, Outlook or iCloud Calendar in the calendar settings, Ivorey™ will be able to check for any conflicts in your existing calendars so you don't get double booked. It will also allow your appointments to show up on your external calendar, instead of just inside the Ivorey™ platform.
NOTE: If connecting your iCloud Calendar, when prompted to create an app-specific password in Apple, please enter LeadConnector as your app here.
How to Connect and Configure your Gmail, Outlook or iCloud Calendars to Ivorey™
How to Connect and Configure your Gmail, Outlook or iCloud Calendars to Ivorey™
From the Ivorey™ main menu, select [Settings] > [Profile] > then scroll down to 'Calendar Settings' > and click [+ Add New]
Here you can select which calendar you want to connect by clicking the [Connect] button
Follow the prompts to give LeadConnector permission to access your account
**Please Note: You must allow full calendar access. Failure to grant full access may result in sync issues.
Repeat steps 2 and 3 if you have more than one calendar to connect to Ivorey™
Once you have connected your external calendar to Ivorey™ scroll down to 'Calendar Configuration'
Next to 'Linked Calendar' click [Edit] to make sure the correct calendar is selected that you want linked to Ivorey™ - this is the calendar that any NEW appointments booked in Ivorey™ will show in
Next to 'Conflict Calendar' click [Edit] to make sure the correct calendar is selected that you want linked to Ivorey™ - this is the calendar that Ivorey™ will check for any conflicts before showing availability in your Ivorey™ booking calendars
Important Note: Only NEW appointments booked inside Ivorey™ will display in your external calendar from when you connect your calendar and vice versa. Connecting your calendar to Ivorey™ will not show appointments booked before you connected your calendar, and blocked out time created in your external calendar won't show in Ivorey if created before you connected it.
STEP 2: Connect Zoom or Google Meet for Video Calls
If you want the option to automatically add an online meeting link to your appointments and calendar events, you need to integrate your preferred platform for online appointments. See below how to integrate Ivorey™ with Zoom or Google Meet.
How to Integrate Zoom, Google Meet or Microsoft Teams with Ivorey™
How to Integrate Zoom, Google Meet or Microsoft Teams with Ivorey™
From the Ivorey™ main menu, select [Settings] > [Profile] > then scroll down to 'Calendar Settings' > and click the [Video Conferencing] tab
Select [+ Add New] > and the click the [Connect] button next to platform you want to integrate to host your online calls from
If integrating Google Meet, you will need to connect your google calendar to Ivorey™ first.
If integrating Zoom, you will need to make sure that your Zoom account isn't integrated on another platform first
Follow the prompts to sign into the platform you selected and ensure all necessary permissions and access is granted
To manage your video conferencing settings for your team, navigate back to the Ivorey™ main menu and select [Calendars] > [Calendar Settings] > and along the top menu bar click on [Connections]
Select the team member from the 'My Staff' drop down and update as needed.
Once you have connected your preferred platform for online appointments, continue to step 3 to set your 'User Availability'
TIP: Choose a 'Personal Booking' or 'Round Robin' calendar if you'd like the system to automatically attach a unique Zoom link to the calendar invites.
STEP 3: Set Your Profile Availability
A lot of people miss this step, so make sure you don't! Since some of your calendars could have multiple team members on them, Ivorey™ requires each team member to set their own availability under their Profile Settings.
IMPORTANT NOTE: If your calendar appointments aren't showing the availability you want them to, your user availability settings are always a great place to check. For example, if you have your available days set to Monday - Friday, but then create an event for Saturday, your availability won't show in that calendar until you update your profile availability to reflect that you are available on Saturday.
How to set your profile availability
How to set your profile availability
From the main Ivorey™ menu, go to [Settings] then > [Profile]
Scroll down to the availability section, and set your general working days and hours.
Typically, you will set these hours to be any days you're willing to take bookings, so if you end up with multiple calendars, multiple team members, and all different availability for each calendar - the system always knows to remove you on any of your chosen days off.
Remember, the system will always cross-check your individual availability from your profile AND the availability for the calendar itself. For example, if your profile availability was M-F 9am-5pm, but your calendar was only available Wednesday mornings, the system would only show the Wednesday morning slot because it takes into consideration both availabilities.
How to set your team members availability
How to set your team members availability
Your team members can update their own user availability and video conferencing settings once you have added them as a team member to your account using their own login. They would need to follow the same steps as you above and navigate to their profile settings.
Alternatively, you can update their availability and timezone settings by going to [Settings] > [Team] > clicking the pencil icon of the team member > and selecting the 'User Availability' tab to set their available days, hours and timezone.
TIP: If you have team members who will be included on a calendar, ensure they each set their profile availability too.
STEP 4: Create A New Calendar and Optional Calendar Group
The next step is to choose your calendar type, (see our calendar comparison type at the top of this guide) and then create it in Ivorey™. Once you've created your individual calendars, you also have the option to add them to a calendar group. This allows you just to provide one booking link, where people can look through all your different booking types in the one place.

From the main Ivorey™ menu, select [Calendars] then > [Calendar Settings] then > [Create Calendar]
Select your preferred calendar type, and follow the prompts.
How to create a calendar group (optional)
How to create a calendar group (optional)
Creating groups for your calendars are great if you want just one link for all of your calendars/appointments to be displayed on. If you are a service based business, you might use groups to categorise your service menu. If you are an online business who offers multiple different offerings people can book with you, you might add them to a group so you can just have the one link that displays them all.
From the main Ivorey™ menu, go to [Calendars] then > [Calendar Settings].
On the right, select [Create Group] and follow the prompts to create your new group, then press [Save]. If you plan to have multiple groups, you can create them all now.
Next, it's time to tell Ivorey™ which calendars you want to be included in each group. To do this, go back to your list of all calendars, and click the three buttons besides each calendar and select [Edit].
When you're back inside the calendars settings, you'll see a section to choose what group this calendar belongs to, then press [Save].
How to create a Service Calendar (for service-based businesses)
How to create a Service Calendar (for service-based businesses)
If you have a service-based business (e.g beauty salon, hair dresser, Ayurvedic practitioner etc) then you will want to setup all of your sessions as their own seperate calendars using the 'Service Calendar' type. From here you can then categorise them into groups (e.g Massage, Facials, Waxing etc) and then create a Service Menu that will give you just one link to share with your clients, where they can select multiple services, choose the staff member they want to book in with, and book all of their favourite appointments in one seamless action.
From the main Ivorey™ menu, select [Calendars] > [Calendar Settings] > [Create Calendar]
Click 'Explore more types' > then select [Service Booking] calendar and fill in the relevant details NOTE: All of these settings can be customised and changes inside the the calendar so you can just add the basics here to create your calendar to get started.
Once you have created your service calendar, click the ✎ pencil icon of that calendar to open the calendar editor > and make your way through each of the tabs to set up the calendar settings to the needs of that appointment
🟢 BEST PRACTICE TIP: We recommend that you setup a seperate calendar for each of your individual appointments. So for example, if you are a massage therapist and offer different massage types and durations, you would need to set up a seperate service calendar for each one. E.g:Service Calendar 1 would be: 30 minute therapeutic massage
Service Calendar 2 would be: 60 minute therapeutic massage
Service Calendar 3 would be: 90 minute therapeutic massage
🕰️ Time Saver: Once you have created one calendar, you can duplicate it by clicking the 3 dots of the calendar > and selecting 'Duplicate' so you aren't creating a calendar from scratch each time. Just make sure you update the all the details and settings to match the new appointment you are creating.
Once you have finished setting all of your service calendars, click on the [Groups] tab > and click [Create Group] to categorise all of your appointments
For example, if you offer Massages, Facials and Waxing, then you would create 3 different groups so that you could list the relevant calendars under their corresponding group
Once you have created your groups, click back to the [Calendars] tab > and click the three dots of your calendar > then click [Move to Group] > and select the group you want that calendar to be added to
Repeat step 5 until all of your service calendars have been added to their relevant groups
Next click on the [Service Menu] tab > and click the [+Create Service Menu] button > and fill in the details of your service menu under the 'Service Menu Details' tab. (this is the main page your clients will be directed to, and will display all of your appointments under each group)
Inside the 'Select Services' tab is where you can then tick the groups and the calendars/appointments that you want to be displayed on the service menu
Inside the 'Arrange your Services' tab is where you can organise the order in which your appointments are displayed on your service menu
Once you have finished setting up your service menu, click the [Save] button located at the top right of your screen
To get the link for your service menu, make sure you are inside the [Service Menu] tab and click the 3 dots of the service menu you just created > then click 'Copy Permanent Link'
Now you are ready to add this link to your website, emails or link in bio page.
NOTE: While the 'Service Menu' page cannot be customised at this stage, your individual calendars can be customised to your brand colours. If you would like to give your clients a more branded experience, you can embed this service menu onto a Website or Funnel page.
To embed your service menu onto your funnel or website page:Click the 3 dots of your Service Menu and click [Copy Embed Code]
Then navigate to your Website or Sales Page and drag and drop the [Code] element onto your page. On the right hand menu, click on the [Open Code Editor] button > and paste your embed code into the popup screen.
Click [Save] to update your changes.
Now when you preview your page, the service menu will display.
STEP 5: Set up Automated Calendar Emails
We have pre-made email templates ready for you to customize and use. If you set up these emails now, it can completely automate all of your calendar management - including confirmations, reminders, cancellations, rescheduling and more. You will see the option to add these when you create or edit your calendar, under the 'Notification and Additional Options' step.
How to setup your automated calendar emails

From the main Ivorey™ menu, go to [Marketing] then > [Emails] then > [Templates]
You'll see a dedicated folder called "Calendar Emails" that we've created for you!
Work through each email, customising it with your own unique copy, branding and images and press [Save] when you're done.
Be sure to leave the custom values we have added, as they will automatically pull in dynamic data to send, such as your contacts name, appointment date, time, timezone, rescheduling links and more.
Go back to edit your calendar, and find the [Notifications and Additional Options] step
Under the [Contact] drop down, find the emails you've customised and set them up as your automated reminders.
Press [Save] when you're done - your calendar emails will now run on auto-pilot!
STEP 6: Share Your Calendar Booking Link
Once your calendar has been setup, it's time to share it! You have 2 main ways to share your calendar: sharing the link, or embedding it into a web/funnel page.
How to create a branded domain (optional)
How to create a branded domain (optional)
Ivorey™ will automatically generate a generic URL for you to use for your calendars, but if you'd like to use a custom-branded URL then you can setup a subdomain for this. From the main Ivorey menu, please navigate to [Settings] then > [Business] and look for the field called "Branded Domain". This field will enable you to setup a custom subdomain for Ivorey™ to use in your calendars, forms, surveys and review requests instead of giving you a system generated one.
To set this up, simply choose a word to put before your domain name, e.g. for Ivorey™ we use "links.ivorey.io". So when we share a calendar link, it will say "links.ivorey.io/calendar-name" or similar, instead of a random URL the system gives us.
Type in the subdomain you would like to use, for example "links.yourdomain.com" and then Ivorey™ will give you a few settings to add into your DNS records. To access your DNS records, you need to login to the platform that you purchased your domain from, and add them there. If you need help, you will need to contact your domain provider and tell them the records you are trying to add. They should be able to add this for you, if you can't add it yourself.
Once added, finish the prompts on Ivorey™ to validate it has been connected. You can now move to the next step, and will see that Ivorey™ will now use your branded domain to create on-brand URL's for sharing your calendars!

🟢 BEST PRACTICE TIP: We recommend copying the permanent link as this link will not be affected by any future slug URL changes.
Now you can add this link into your link in bio, a website button, an email, or send to a client directly.
Alternatively, you can add your calendar into any website or funnel page. When you're inside the page builder of your website or funnel, simply drag and drop the 'Calendar' element onto your page, and choose which calendar you'd like it to show.

STEP 7: Create A Workflow To Tag Contacts Who Book Appointments
🟢 BEST PRACTICE TIP: This step is optional but strongly recommended. In this very simple workflow, you'll want to tag anyone who books through your calendar. This will mean you can filter and segment your contacts, plus automate things in the future. The goal of this simple workflow is simply to tag contacts who book appointments with a unique tag.

From the Ivorey™ main menu, go to [Workflows] > click on the [Bonus Workflow Templates] folder > then select the workflow titled 'When appointment is booked > add a tag'
Change the workflow name to the calendar name
Then update the trigger [Customer Book an Appointment] > by clicking the [Add Filters] button and setting the following filter:
'In calendar' = Choose your calendar
Next edit the following action [Add Contact Tag]
Here you can either select the tag from the dropdown if you have already created one already, otherwise type in the new tag name e.g. "booked - discovery call" and click the [Add Tag] button on the bottom right of your screen
Publish the workflow and repeat for each calendar so they each get a unique tag.
🕰️ Time Saver: You can duplicate this workflow so you are not starting from scratch each time by clicking the 3 dots of the workflow and selecting [Duplicate Workflow] - just make sure you adjust the title, trigger and tag to match the next calendar you are setting up the workflow for.
TIP: You can also add any additional workflow steps after the tagging step, such as sending emails, sms or an internal notifications to a team member about the new appointment. You can do just about anything with workflows - so don't be afraid to have a good play around!
CONGRATULATIONS! You've just setup your calendars AND completely automated them in the process! 🥂
