Getting Started With Ivorey™ Calendars
Before you steam ahead setting up your calendars, here's some good-to-know information that will ensure you understand how calendars work in Ivorey™, and which type is the right fit for your needs.
Learn the basics of calendars
Learn the basics of calendars
Ivorey™ calendars are designed to replace tools like Calendly, Acuity, Square etc. Once you create a calendar, you can share a direct link or embed it on your site, so other people can book through it online. You can also create appointments manually yourself inside Ivorey™, and create/manage your appointments via the Ivorey™ LeadConnector app.
You can sync your Ivorey™ calendars with your iCloud, Google or Outlook calendars so that any appointments booked through Ivorey, automatically show up on your calendar. Ivorey™ can also check for conflicts on your existing calendars to ensure you never get double booked.
When your contacts book an appointment through an Ivorey™ calendar, it can also generate automatic 'add to calendar' links so they can add the appointment to their own calendar too. Plus, you can set up automated confirmation, reminder and cancellation emails all within the calendar directly - based on the settings you choose. We have pre-made email templates ready for you inside the Ivorey™ Template Library to shortcut this process for you!
How many calendars do I need?
How many calendars do I need?
Most Ivorey™ clients set up multiple calendars, breaking them down by appointment type. For example, a Coach or Service Provider could have all of these calendars:
Sales/Discovery Call Calendar
Coaching Call Calendar for Group Program
Coaching Call Calendar for Mastermind
Consulting Call Calendar for 1-1 Clients
Onboarding Call Calendar
Team Meeting Calendar etc.
By having multiple calendars, you can give each calendar its own unique settings like availability, appointment lengths, locations, confirmation emails etc. A classic example of this, is a business owner who prefers to keep certain days for internal team meetings, other days for client calls, and other days for no-calls so they can focus on deep work (or having time off!)

If you have a community (free or paid) you can create an events calendar that displays all the upcoming events! It can even automatically invite your community members and send reminders.
However if you want to display upcoming events outside of your community, you'll need to find a third-party plugin to do that (e.g. you can embed your Google calendar or similar). The rest of the Ivorey™ calendars are designed to manage appointments based on team member availability, as opposed to ticketing style events.

How does the Calendly integration work with Ivorey™?
How does the Calendly integration work with Ivorey™?
The Calendly integration functions differently from other third-party calendar integrations like Google, iCloud, and Outlook, and is not designed for transferring current or previous appointments from Calendly > Ivorey™. The Calendly connection is great if you are still using Calendly, but want future appointments booked within Calendly to display in Ivorey™. Please refer to our guide on connecting Calendly with Ivorey™ for more information.

Calendar Troubleshooting Guide
All Calendars have a troubleshooting function which is a great place to start! This will open a Troubleshoot View window of your calendar where you can click on each day to see what the conflict might be.
Why isn't my calendar showing the right availability?
Why isn't my calendar showing the right availability?
99% of the time this is a simple user error - luckily we've got a built-in troubleshooter that can diagnose the issue for you. Click here to see how.
Why isn't a Zoom or Google Meet link showing on my calendar invite?
Why isn't a Zoom or Google Meet link showing on my calendar invite?
If your calendar event does not show a Zoom/Google link, it's either because:
You have not yet integrated your Zoom or Google (step 2 above)
You are using an unsupported calendar type. At the moment, Personal Booking and Round Robins are the only calendar types that can automatically generate unique Zoom or Google Meet links.
If you want to use an alternative calendar type that doesn't support automatic Zoom links, you can simply copy and paste your Zoom personal meeting link as the default setting for all appointments.
Why isn't the form on my calendar showing the payment options?
Why isn't the form on my calendar showing the payment options?
When you connect a form to your calendar, it is purely to collect information - not payment. Instead, the calendar has a built-in setting to collect payments. To find this, go into your calendar settings and toggle on "Accept Payments" under the "Forms & Payments" tab.
Why isn't the subject line showing when I send appointment confirmation emails?
Why isn't the subject line showing when I send appointment confirmation emails?
You will need to add the subject line into the email template first. To update these, go to our Automated Email Notifications for Calendars guide.
Why are my appointments from my Gmail or iCloud calendar not showing in Ivorey™ even though I have synced my calendar?
Why are my appointments from my Gmail or iCloud calendar not showing in Ivorey™ even though I have synced my calendar?
When you sync your Google or iCloud Calendar in the 'Connected Calendars' section inside profile settings, this will only show appointments that are created in your external calendar after the integration has been completed. It won't show any previous appointments you had in your external calendar before integrating to Ivorey™.
Why am I not receiving confirmation emails for appointments booked?
Why am I not receiving confirmation emails for appointments booked?
The first place to check is your calendar notification settings. To check these go to [Calendars] > [Calendar Settings] > click the pencil icon of your calendar > click the [Notifications & Additional Options] tab > click the pencil icon of the notification you want to check > make sure this email notification is [Enabled] > and that the [Assigned User] box is ticked.
To know who the assigned user is of a calendar you can click on the [Meeting/Service Details] tab of your calendar settings and scroll down to see the user or team member assigned to the calendar.
If you have the correct calendar email notifications turned on and the assigned user box is ticked, you can check if DND is turned on for your email address by going back to the main menu and clicking into [Contacts] > searching your email address > click the [DND] tab underneath the contact details > check if DND is turned on for the [Emails] channel. If the email channel box is ticked, you can simply un-tick this box so you can receive emails from Ivorey™ in the future.

To make sure reminders send for every appointment in a recurring series, follow these steps:
From the Ivorey™ main menu, click [Workflows] > click the [+ Create Workflow] button > and click [+ Start From Scratch]
In your workflow, set the trigger to Appointment Status (not Customer Booked Appointment). Under Filters:
Set the Event Type to Recurring

Add the filter 'Appointment Status Is' and set it to Confirmed
Click the [Save Trigger] button
Go to the Settings tab on the toolbar along the top of the page, and enable:

Allow multiple Opportunities
Go back to the Builder tab, and add a reminder sequence with Wait actions (e.g. 1 day before, 1 hour before, 15 mins before) followed by the Send Email/Send SMS/Send Internal Notification actions
Test by booking a recurring appointment. Then check the Execution Logs tab in your workflow to confirm reminders are scheduled for each occurrence
Why did I get an email saying that my calendar integration has been disconnected?
Why did I get an email saying that my calendar integration has been disconnected?
Third party integrations need to be re-integrated regularly to maintain the connection and ensure the integration settings and permissions are up to date. When your integrations will expire mostly depends on the external platform (e.g. Gmail/Zoom for example) and so you will just need to go into the relevant settings and re-integrate the platform to 'reset' the integration.
