Bills don’t always come in perfectly. Sometimes a bill gets linked to the wrong budget item, or you notice a line item is missing after it has already synced to your accounting software. This article covers the most common bill issues and how to fix each one in JACK.
Bill linked to the wrong purchase order or Job budget
If a bill has already synced to QuickBooks but not marked as paid yet, and was linked to the wrong place, you can still fix the link in JACK.
Go to Bills and select the bill.
Use the Unlink button under the job drop-down.
Then select the correct Job.
Relink the bill items to the correct PO or budget item with the Link Bill to Job Costings button.
Relink a Paid bill to different budget items
Already paid the bill but it’s sitting against the wrong costs? You can move the bill items to a different budget item, or split them across several.
Go to Bills > Paid and open the bill.
Open the Link Bill to Job Costings menu.
Click
to unlink the current budget items.Click + to choose the budget item(s) you want to link to.
Link each bill item to the correct budget item.
Click Save.
💡 Don’t skip saving. If you close the menu without saving, the old links stay in place.
Bill synced to QuickBooks with missing or incorrect line items
If a bill synced to QuickBooks but you notice line items are missing, described wrong, or priced incorrectly, you can still fix it in JACK as long as the bill hasn’t been marked as paid.
Open the bill in JACK and choose the
button (add missing items, update descriptions, or correct prices).Save your changes.
Open the Link Bill to Job Costings menu and relink the items to the correct budget items (see the steps above).
Click
to send your changes to QuickBooks.
⚠️ Changes don’t sync to QuickBooks on their own. If you skip the Sync to QuickBooks step, the bill in QuickBooks keeps the old line items.
What if the bill is already paid?
Once a bill is marked as paid, you can’t edit its line items. To fix it:
Delete the bill in JACK.
Delete the bill in QuickBooks.
Recreate the bill in JACK with the correct line items, link it to the right budget items, and sync it to QuickBooks.
⚠️ Make sure you delete the bill in both places. If you only delete it in one, you could end up with a duplicate bill when you recreate it.
