Introduction π
With Juro's Bulk AI Extract feature, you can upload up to 200 documents in one go and extract the key data points to your smartfields.
|
π‘ NOTE: AI Extract is not currently available for encrypted files.
|
Getting started π
There are two straightforward steps to this process: importing your documents into Juro and reviewing the suggestions generated by AI Extract.
Step 1οΈβ£ : Importing your documents β¬οΈ
If you're already comfortable with importing documents into Juro, you can skip to Step 2. If you're relatively new to this flow, the next section guides you through uploading documents from your desktop into your Juro environment. In the relevant Juro workspace:
1. Open the All tab on your Documents homepage, click + Add document in the top-right-hand corner and Upload from your computer.
|
|
2. On the next page, you can drag and drop your documents into the upload portal. Alternatively, you can click select from your computer to open your desktop to browser and choose your files from there.
|
|
3. Select the template to upload your documents against and click Upload.
The template you choose should include the corresponding smartfields and prompts for your required data points. To learn more about building prompts for the AI Extract process, click here.
|
|
Juro will automatically create a View containing all of the documents from the upload, including the date and time of import for easy reference.
You will see a progress bar during this time and a separate notification to confirm when it's ready. Please note that the process will take slightly longer with large batches of files
To easily open the view when the upload is complete, click Open view.
|
|
The filtering and adding of new columns is disabled until you extract and resolve all suggested inputs.
|
Now that your documents are imported, it's time to review AI Extract's suggested inputs and apply them to your smartfields.
Step 2οΈβ£ : Reviewing the generated suggestions
Once the extraction is complete, you can review the suggested inputs, make necessary edits and populate your smartfields with this data if desired.
Included with each suggested input is the context that AI Extract used to generate it. You can see this by hovering over the icon on the left of the suggested input.
Accepting suggested inputs π
There are two ways to accept suggested inputs:
1. INDIVIDUAL/SELECTIVE DOCUMENTS:
|
|
To review and accept fields individually, you can go to the SMARTFIELDS tab of the document.
|
2. MULTIPLE DOCUMENTS:
|
|
π‘ NOTE: Suggestions can be rejected individually by clicking the X next to the relevant field. Once an input is rejected, it cannot be recovered. |
Rejecting suggested inputs π
To reject suggestions:
Troubleshooting extraction errors β€οΈβπ©Ή
In certain instances, the AI won't run across your documents. These include:
β
When a document is encrypted:
Data points in PDF and DOCX files with any level of encryption are not extractable.
When a smartfield is already populated:
β
You may choose to populate some smartfields at the template level. In these cases, the AI Extract will not provide a suggested input for fields that are already populated.
When a smartfield is disabled in your template playbook:
β
If the AI Extract option is disabled for an individual field in your template's playbook, the AI Extract will not provide a suggested input for fields that are already populated. To learn more about how to reenable a field for AI Extract, click here.
When no relevant data is identified:
β
If AI Extract cannot identify relevant data to input into a suitable field, it will not generate a suggested input.
The document size is very large:
β
βAI Extract can currently scan documents up to 500,000 characters. Beyond that, you may begin to see generation issues. Our team is actively working on increasing capacity as we build out the AI Extract feature.
For any extraction issues you're unsure about and that are not outlined above, please reach out to our Support Team, who are more than happy to advise further.
Summary π
Several factors will optimise your AI extraction process in Juro, including using templates with clearly defined smartfields and an in-depth playbook with a clear summary of your company's guardrails.
