AI intake and review

Intake agents let you submit third-party paper straight through Operator, and have it sorted, reviewed, and routed automatically.

Setting up your intake agent

As a workspace admin, you'll need to set this up before your team can submit documents in this method. Only a workspace admin can access this configuration screen, and each workspace has its own separate intake agent to set up.

1. Find the configuration page

Go to Workflows > Agents. You'll see Intake listed there, and it'll be inactive until you've set it up. Select it to open the configuration page, where you'll define your document types and how each one should be handled.

2. Add your document types

Document types tell Juro how to recognise and handle different kinds of incoming contracts.

  1. Document type name. Give your document type a name so it can be easily referred to. Depending on how your team works, you can creates specific types, or use a catch-all to capture any third-party paper coming in.

  2. Document identifiers (optional). For each document type, you'll add document identifiers, which the AI uses to match an uploaded file to a document type, such as defined terms, the parties involved, or clauses you'd expect to see.

The AI might not always get the document type right based on the identifiers, so requesters are asked to confirm its suggestion before moving on.

3. Configure the workflow for each document type

This is where you decide what happens to a document once it's recognised as a particular type.

  1. Assign a template. Whichever template you choose here gets applied automatically to any file matching this document type, along with any smartfields, rules, approvers, or signatories already set up on it.

  2. Add questions for the requester. These are the questions you'd like them to answer when submitting a document. Add each question on a new line. Responses to questions are saved in an internal comment.

  3. Decide whether AI review should run automatically for unsigned .docx. If you switch this on, any unsigned .docx file matching this document type goes through AI review as soon as it's submitted. This doesn't apply to PDFs, which won't go through AI review regardless of this setting. You'll need to set two things before you can turn it on.

    1. Playbook. The playbook that'll be used to review this document type. See this article on how to set up playbooks.

    2. Legal reviewer. The person who receives the AI-generated redlines and decides whether to accept or reject them before the document can move forward.

4. Activate the intake agent

Once you're happy with how everything's configured, toggle the agent to active.

Until you do, business users won't be able to submit documents via the intake agent to this workspace.

Once it's active, anyone in your workspace can submit a document straight through Operator, and it'll be picked up by whichever workflow you've configured here.

Submitting a document through Operator

Once your workspace admin has set up and activated the intake agent, you can submit third-party paper directly through Operator.

If you're unable to upload a file into Operator, please reach out to your workspace admins to ensure intake agents are activated.

1. Start your submission

Use the suggested prompts to choose review for an unsigned document or storage for a signed one, or write your own, then select the file to upload into the chat.

You can only upload a single .docx (max size of 30MB) or .pdf (max size of 100MB) file.

2. Answer a few questions

  1. Workspace. Choose the workspace you'd like to upload this document into. If you don't see a workspace you expect, contact your workspace admin to ensure they've activated intake agent for that workspace.

  2. Document type. Select the relevant document type from the list provided.

  3. Provide context. You may see a few questions asking for context on this document to help get your document reviewed. Use the arrows to go back to a previous answer, or skip a question if it isn't required.

After you've completed the above, Operator shows you everything you've entered so you can check it over. Select Yes, upload if it's correct, or Start over to redo it from the beginning.

If you're submitting a document that's already signed, Operator skips the questions and review steps.

3. What happens after submission

All documents

AI extract runs automatically, populating smartfields on the document.

If document is submitted for review and approval

Context during submission

Responses the requester provided to the intake questions will be saved as as internal comment on the document record.

If AI review is automated

If AI review is enabled for this document type, your document is reviewed against the relevant playbook, and the status of the document is set as Sent for legal review.

  1. If no issues are flagged and the document is compliant with the playbook, it skips straight to the approvers set on the template.

  2. If anything's flagged, it goes to the legal reviewer, who gets an email prompting them to review the suggested redlines in Word.

You can track progress from the document record. Where AI review has run, look under Intake Review on the Document Members tab.

If AI review is not automated

If AI review isn't enabled for this document type, your document goes straight to the approvers instead, and the status of the document is set as Sent for approval.

You can track progress from the document record. You'll be notified via email notifications once the document is approved or rejected.

If document is submitted for storage

The document status updated to Fully signed.

Frequently asked questions

I'm a legal reviewer, what am I supposed to do?

If you've been assigned a document to review, AI review will run on the document and you'll receive an email with the redlined document attached.

  1. Open attached document in Word

  2. Open the Juro add-in and sync the document as a new version

  3. View context collected from the requester under Collaborate internally > Internal comments

  4. Open AI review suggestions in AI review > Open review

  5. Once you've responded to all the suggestions (approve / decline), click Complete to finalise your review.

I'm a legal reviewer, how do I keep track of all the documents I need to review?

Any documents requiring your legal review will appear in your to-do list with the Legal review status.

My document has been sent for legal review. What should I do?

If your document has been sent for legal review, you can track its progress in the Intake review section in the Document members tab.

Once the legal reviewer completes their review, you'll get an email letting you know the document's ready to move on. You can either send the document back to the counterparty for their comments, or on to any approvers set on the document.
