Managing user access is an essential part of maintaining security and ensuring that the right individuals have access to the right data. In this guide, we’ll walk you through the process of disabling users in the Key ESG Platform. Whether you're a fund manager or an administrator for a standalone company, this article provides simple, step-by-step instructions to manage user access effectively.

When Might You Need to Disable a User?

There are several scenarios where disabling a user in the Key ESG Platform might be necessary, such as:

  • An employee leaving the organisation: To ensure they no longer have access to sensitive data.

  • A team member changing roles or departments: If their responsibilities no longer require access to the platform, disabling their account prevents confusion or accidental changes.

  • Temporary access needs to be revoked: For example, a consultant’s role has ended, or a project-based access requirement is complete.

Disabling a user is a secure and straightforward way to ensure that only authorised personnel maintain access.

  • Who can disable users? Administrators

  • Which roles can be disabled? All roles, including Administrators


Disabling Users as an Administrator of a Standalone Company

  1. Access the User Management Portal

    • Start on your company's homepage within the platform.

    • Scroll down to the Setup section and click on Users.

    • This will take you to the User Management Portal, where all users with access to the account are listed.

  2. Select the User to Disable

    • Locate the user you want to disable in the list.

    • Navigate to the three dots at the end of their row and click on them.

  3. Disable the User

    • From the options, select the red button labeled Disable User.

    • A confirmation message will appear asking, "Do you want to disable this user?"

    • Click Yes, Disable to finalize the action.

    Once disabled, the user will no longer have access to the company account, and their profile will be updated accordingly.


Disabling Users as a Fund Manager

If you’re a fund manager, the process is just as straightforward:

  1. Switch to the Fund Manager Platform

    • Navigate to the Fund Manager view within the Key ESG platform.

  2. Access the User Management Portal

    • Scroll down to the Setup section and click on Users to see a list of all associated users.

  3. Disable the User

    • Follow the same steps as above:

      • Click the three dots at the end of the user’s row.

      • Select Disable User and confirm the action by clicking Yes, Disable.

    The disabled user’s role will update to "No Access," and they will be completely removed from accessing any associated companies.
