How to Add Users and Set Up Multi-Factor Authentication (MFA) in the KEY ESG Platform
This guide is designed for fund managers to help you add users from your fund or portfolio companies and enhance platform security with multi-factor authentication (MFA).
1. Adding Users to the Platform
To allow collaboration across your portfolio and within organisations, you can easily add new users to the platform, including team members from HR, operations, procurement, finance, and more. Follow these steps to get started:
Step 1: Go to the left side panel and under Setup, click on Users.
Step 2: In the top right corner, click on New Invite.
Step 3: Fill in the required details by entering the user’s name and email, then choose a role:
Admin: Has full platform access and can invite other users.
Fund Manager: Can only access the organisation they’ve been assigned to.
Team Member: Limited to accessing the self-assessment platform.
Data Gatherer: Restricted to data collection for specified data points and sites.
Step 4: If you select Data Gatherer, you can specify which data points they have access to under categories like environment, social, governance, or general. You can choose to grant access to all data points or select specific ones based on your organisation’s needs.
Step 5: Assign the user to particular sites by clicking the edit symbol next to the Sites section. This feature is useful if you manage multiple locations, as it allows you to control where the user can collect and report data. Once you’re done, click Done to finalise their access.
Step 6: Click Send Invite to complete the process. If needed, you can edit a user's role or access later by returning to the user page, clicking the three dots next to their name, and selecting Edit.
2. Setting Up Multi-Factor Authentication (MFA)
To protect your organisation's data, KEY ESG encourages you to enable MFA, an extra layer of security that ensures safe login. Here’s how to activate it:
Step 1: On the user page, turn on Enforce Multi-Factor Authentication by toggling the switch.
Step 2: With MFA enabled, users will be required to set it up during their next login. They can choose between two methods:
SMS Authentication (Recommended): Users receive a one-time code via text message.
Virtual Authentication: Users generate a code using an app like Google Authenticator or Microsoft Authenticator.
By following these steps, you can efficiently add users to your KEY ESG platform and strengthen security with MFA.
