How to lock and sign off your ESG report as a Portfolio Company

This article covers how your portfolio companies sign off and lock their ESG report each reporting period, and how you can unlock a report if changes are needed.

Why does a portfolio company sign off their report?

To alert KEY ESG, the Admin, and you as fund manager that a portfolio company has completed its ESG data request for the reporting period.

When should a portfolio company sign off their ESG report?

Once a portfolio company has completed all metrics in its data request, and the Admin is happy with the submission, it can be signed off.

How does a portfolio company sign off their report?

Here are the steps a portfolio company follows to sign off its ESG report (remember that only the Admin can sign off the report)

  1. Navigate to the Homepage

  2. Click "Finalise for [reporting year]"

3. Tick "I'm ready to sign-off & lock data." There may be some validation issues that need fixing first

4. Once a portfolio company has signed off and locked its report, it won't be able to make any changes unless the Admin unlocks the report again.

5. If your portfolio company needs to make changes, its Admin can unlock the report by navigating to the 'collect data' tab and selecting "Need to make a change", then ticking "I confirm I want to unlock [reporting year]".

6. A new notification will be sent to the KEY ESG team, the Admin, and you as fund manager that the report has been unlocked.
