How to Import your Caseload
How to Import your Caseload
Updated over a week ago

You can quickly import your caseload information into Kit using a CSV file (i.e. spreadsheet)!

First, you’ll need your caseload information in a spreadsheet. Here are a few ways to do that:

  1. The easiest way is to download your caseload information from your online IEP system.

  2. Not an option? Try copying and pasting your caseload list from your online system into your preferred spreadsheet (e.g. Excel, Google Sheets, Numbers).

  3. Create your own spreadsheet with your student information.

Short on time, and just want to dive right in? Use this example CSV file!

Once you have a CSV file, click the 'Import Spreadsheet' button in the center of the page.

Step 1: Getting Started

Here you will see a list of all of the fields you are able to import into Kit. You will also see examples of what to include in each field along with a description. You are required to import certain fields (‘First Name’, ‘Last Name’, and 'Date of Birth'), however, the rest are optional.

Click here to see a list of all fields you are able to import from your Caseload into Kit

Required fields to import into Kit:

  • First Name

  • Last Name

  • DOB

Optional fields to import into Kit:

  • Student ID

  • School

  • Grade

  • Teacher

  • Teacher Email

  • Teacher Phone

  • Teacher Room Number

  • IEP Start Date

  • IEP End Date

  • Eval Due Date

  • Eligibility

  • Specially Designed Instruction

  • Service Minutes

  • Service Frequency

  • Service Period

  • Location

  • Case Manager

  • Parent/Caregiver Email

There is also an example .CSV file that you can use as an outline when creating your own student data file. Just click on the ‘Download example’ option and the editable file will download to your device.

Step 2: Upload File

In this step, you will upload your .CSV or Excel file that contains your student data.

* Please note that any dates in your .CSV file (i.e. Birthdates, Eval Due Dates) must be formatted as 'MM/DD/YYYY'.

Step 3: Match Columns

Once your file has been uploaded, match each of the column headers in your spreadsheet to one of the existing headers within Kit. If you have a column header that does not need to be imported, scroll down to the bottom of the list and select ‘Skip’.

Step 4: Import Data

Your student data file will then be uploaded into Kit! You can now view this info within the ‘Student Grid’ page.

NOTE: If you ever need to import an additional spreadsheet with caseload information, simply click the upload icon located in the upper right corner of the Student Grid.

Troubleshooting tips:

If you received an error message when trying to import your student data file, please try the following troubleshooting steps:

  • Ensure that your file is either in CSV or Excel (xls, xlsx and xlsb) format

  • Double-check that the file you wish to import has the following fields: 'First Name', 'Last Name', and 'Date of Birth'.

  • Make sure that any dates within your file (i.e. Birthdates, Eval Due Dates) are formatted as 'MM/DD/YYYY'.
