Automatically delete session data and understand audio retention

Set a timer to delete audio, transcripts, or whole sessions automatically, and understand the separate 14-day maximum for audio.

Klarify can delete session data for you on a timer. You choose what gets deleted (audio, transcripts, or the whole session) and when.

This setting is for the whole clinic. The clinic owner and anyone with the Admin or Operations role can change it. On a solo account, that's you.

Change the auto-delete setting

  1. Open Settings.

  2. Select Clinic.

  3. Find Automatically delete session data.

  4. Choose what to delete:

    • Don't auto-delete

    • Audio recording only

    • Audio recording and transcript

    • Entire session record

  5. Under Deletion schedule, choose when:

    • Immediately after processing

    • 1 day after the session

    • 7 days after the session

    • 14 days after the session

    • 30 days after the session

    • 6 months after the session

  6. Confirm if a dialog appears. Turning auto-delete on asks you to confirm (Enable automatic deletion?). So does choosing Entire session record (Delete entire session records?). Other changes save right away.

When you first turn auto-delete on, the schedule starts at 14 days. Change it to whatever your clinic needs.

Entire session record can't be deleted immediately, because that would remove the note before you can review it. Pick 1 day or later for that option.

Can I auto-delete transcripts?

Yes. Choose Audio recording and transcript to delete both on your schedule and keep the note. Choose Entire session record to delete the session, including its note.

Audio has a separate 14-day maximum

Audio recordings are always deleted after at most 14 days, even when Don't auto-delete is selected. A longer schedule can keep transcripts, notes, and session records longer, but it can't keep audio past 14 days.

If your clinic picks an audio schedule shorter than 14 days, the shorter one applies.

Existing sessions are included

The setting applies to sessions you already have, not only new ones. If a session is already older than your schedule, its selected data is deleted on the next cleanup run, usually within 15 minutes.

What each option removes

  • Audio recording only: removes the audio. The transcript, notes, and session stay.

  • Audio recording and transcript: removes the audio and the transcript. Your notes stay. Anything that needs the transcript, like regenerating a note or updating a mindmap from that session, won't work after it's gone.

  • Entire session record: removes the session and everything in it, including notes.

If a session has an insurance claim attached, Klarify keeps the session record and deletes only the audio and transcript.

Deletion is permanent and can't be undone. Check your record-keeping obligations before you pick a schedule.
