Customise and automate SMS Text notifications to keep your clients in the loop at key points of the job

Klipboard provides a valuable feature enabling you to send text message reminders to clients about their upcoming scheduled jobs. This proactive approach helps reduce instances of no-shows, cancellations, and the time spent travelling to jobs that might require rescheduling.

Beyond serving as reminders for upcoming jobs, SMS notifications can also serve as confirmations sent to clients when a job is initially scheduled. Additionally, you can help build engagement between clients and your mobile team members by enabling them to send "En Route" SMS notifications directly from the app. This versatile use of SMS notifications enhances communication and contributes to a smoother workflow for both clients and team members.


IMPORTANT POINTS TO NOTE

  • There is an estimated character counter at the bottom of each message editor section: More than 160 characters will result in multiple texts being delivered to your client for a single job and charged to your account. For single texts, keep below approximately 140 characters to allow for variable placeholders that get replaced with larger character values.

  • All SMS Text Message notifications are one way: Customers are unable to reply to the messages. You may wish to include in the message instructions for them to get in contact with your business directly.

  • SMS Text Messages can be activated on the UK or Ireland Klipboard customer accounts: We will deliver SMS text messages to your client contacts with either UK mobile numbers beginning with "07" or Ireland mobile numbers beginning with "08", therefore allowing you to manage clients that you may have in both territories. We will not deliver to other international mobile numbers.

  • SMS Messages activated on US Klipboard customer accounts: We will deliver to client contacts with US mobile numbers only. We will not deliver to international mobile numbers.


Customise Notification Templates For Scheduled Job, En Route To Job & Scheduled Job Reminders

Customizing SMS Message templates in Klipboard is a straightforward process. You can easily update the text in the editor to tailor the messages according to your preferences. After making the desired changes, simply select "Save" to apply the customizations. If you ever want to revert to the original text, you can choose 'Reset to Default Text.'

For added flexibility, you can include URL links and variables in the SMS message text. This allows you to automatically populate specific details, such as the client's name, scheduled date and time, and more. This feature enhances the personalization and efficiency of your communication through automated, context-aware messaging.

Navigate to Settings > SMS


Activate Scheduled Job Notification

You can enable an automated SMS Text message notification to be delivered to a client as confirmation once a Job has been scheduled.

Navigate to Settings > SMS

To enable automated SMS notifications for all scheduled jobs by default, switch the toggle to "YES." This setting will activate automated SMS notifications for every job you schedule. However, you have the flexibility to customize this on a per-job basis. When creating an individual job, you can switch this functionality to "NO" if you don't want to send notifications for that specific job, as illustrated in the screenshot below.

Alternatively, if you initially set the toggle to "NO," you can still choose to activate automated SMS notifications for specific jobs. During the creation of individual jobs, you have the option to switch this functionality to "YES" for the jobs for which you wish to send notifications.

This level of control allows you to tailor SMS notifications based on the specific requirements of each job.


Activate En Route To Job Notification

Within the Klipboard Mobile app, Team Members can send an "En Route" SMS text message to the client associated with their scheduled job for the day. To initiate this alert within the mobile app, Team Members need to follow these steps:

  1. Open the Travel Timer for the specific job.

  2. Press "Start Travel" to trigger the alert and notify the client that the Team Member is en route to their location.

This feature enhances communication by keeping clients informed about the Team Member's travel status, contributing to a smoother and more transparent workflow.

Navigate to Settings > SMS

Set to Yes to default all Clients receiving an En Route SMS Notification when triggered by your Team Member on the mobile app.

These can be turned off for individual Clients within each Client record. On the web dashboard navigate to Clients > All Clients > View Client > Scroll to underneath Client Address.


Activate Scheduled Job Reminders

You have the option to activate an automated SMS text message notification to remind clients of upcoming jobs.

This reminder feature allows you to set the notification to be delivered anywhere from 1 to 30 days in advance of the scheduled job. This flexibility ensures that clients receive timely reminders, contributing to better communication and reducing the likelihood of missed appointments.

Navigate to Settings > SMS

To set the default for all clients to receive an SMS notification for scheduled job reminders, switch the toggle to "Yes".

If there are specific clients for whom you prefer not to send SMS notifications, you have the flexibility to turn off this feature individually. On the web dashboard, follow these steps:

  1. Navigate to Clients.

  2. Select "All Clients."

  3. Choose the specific client and click on "View Client."

  4. Scroll down to the section located underneath the Client Address.

  5. Adjust the SMS notification settings for the individual client as needed.
