Dashboard Overview

Review what data is front and center in your btPRO Dashboard.

Overview

Upon login, you will be directed to your Dashboard, where you'll see a few different elements, such as links to quick start training, service options, and your recent CRM activity. You can always access the Dashboard in the main menu if you've navigated away from the page.

Announcements

Up to 6 Announcements may be embedded in the upper left corner of the dashboard that will be visible upon login.

To add/remove/edit Announcements, click the 'Edit' link on the upper right corner.

Company Cloud

The Company Cloud consists of two sections:

  • Logins (preset and cannot be changed)

  • Links (editable)

To manage the Links:

  1. Click the 'Add/Edit' button.

  2. In the modal that displays, you can add basic HTML links to any external resources (open in a new tab).

  3. Enter the name of OR rename the link.

  4. Enter the URL/Change the URL of the link.

  5. Select whether or not to display the link in the 'Quick Actions' menu at the top of every page in btPRO.

  6. Arrange the order in which links are displayed by using the arrows.

  7. If needed, delete a link.

  8. 'Save' when you are done.

Activity Tab

The 'Activity' tab shows a stream of events that are matched to the activity of your contacts in btPRO.

When you click on a contact from a tile in the Activity Stream, it will open the lead details page and the same activity will be reflected on their timeline, along with your notes and other details.

Within the Activity Stream, you can filter by scope and type of activity.

You also have access to shortcuts for the most popular activity types for quick reviews.

Activity Types

Property Views

Property View activity includes any recent contacts who've viewed properties on your website along with the property details, including:

  1. Property address.

  2. Main property image.

  3. Time since the property was viewed.

  4. # of times the property was viewed by device type.

Hot Leads

Hot Lead activity, or tiles with a 'flame' icon on the property photo, indicates a lead has triggered 4 or more Behavioral Alerts. Behavior Alerts fire when a lead has taken an action like favoriting/saving a property or viewing the same property multiple times.

Saved Properties

When a lead favorites/saves a property, a tile will display with the property saved overlaid with a heart icon on the listing image.

Questions

When a lead submits a question from your website, the inquiry will display in your dashboard with an option for you to reply (you will also get an email notification directly).

The tile displays the following info:

  1. Contact's name.

  2. How long ago the question was submitted.

  3. Address of the property the question references.

  4. Question contents.

  5. Answer button to reply to the question.

Clicking the answer link will bring up a form to reply with. Simply type in your response and click send.

Once you have done so, the link will be marked as 'Answered.'

Showing Requests

When a lead submits a showing request from your website, the inquiry will display in your dashboard with an option for you to respond (you will also get an email notification directly).

The tile displays the following info:

  1. Contact's name.

  2. Time elapsed since request.

  3. The address associated with the request.

  4. Respond to request.

Clicking 'Respond' displays the response form.

  • MLSID - ID of the listing.

  • Date - The date on which they would like to visit the property.

  • Waiting - Date the request was sent to you.

  • Question - Their message that is associated with the request. The message 'I'd like to see...' shown above is the default pre-filled message.

  • Does This Date Work? - Choose if the requested date will work or not. You can cancel the request, reschedule, or agree with the date.

  • Your Response - Enter a message to accompany your intent. If the contact has a phone number it will be texted. Otherwise, an email will be sent.

After clicking 'Send Response' the message is sent.

The next time you look at your Activity Stream the showing request will not be visible in your dashboard, however, you can always review the history in the individual leads profile.

Valuations

Valuations are potential leads who have attempted to get an automated valuation of their property on your btPRO website.

When a valuation is received, it is added to your Activity Stream. The tile displays the following info:

  1. Contact's name, email, or property street address. (Depending on what information was gathered.)

  2. Full property address.

  3. Time elapsed since valuation was generated.

  4. Shortcuts to email, call, text, or send a CORE Video

    1. Please Note: Your contact will need to be subscribed to texts in order for the 'Text' shortcut to populate on the Dashboard tile.

New Leads

Anytime a new lead is captured or delivered to your CRM, you are notified directly and a new lead tile is generated in your Activity Stream.

The tile displays the following info:

  1. New lead's name.

  2. How long ago they were created.

  3. New lead type (Buyer, Seller, Renter).

  4. Lead source.

  5. New lead inquiry details.

  6. Shortcuts to email, call, text, or send a CORE Video

    1. Please Note: Your contact will need to be subscribed to texts in order for the 'Text' shortcut to populate on the Dashboard tile.

New Texts

Any new text messages from leads to your Smart Number will generate a new activity tile.

The tile displays the following info:

  1. Contact's name, number, or your smart number.

  2. Time elapsed since the text was received by your Smart Number.

  3. Contact information explaining who sent the message and at what time.

  4. Text message contents.

  5. Button to send text message response.

New Emails

Any new emails from leads via the CRM/website will generate a new activity tile.

The email activity will either be:

  1. An email response from a contact to a message that was sent from within btPRO.

  2. An email response from a contact that is synced to btPRO from your Google or Microsoft account.

These emails will show on the contact's timeline, as well as in a tile on your Activity Stream.

The tile displays the following info:

  1. Contact's name.

  2. Time since email was received.

  3. Email subject.

  4. Email message/body.

  5. Link to open the full email. If you are synced then it will open the email in Google/Microsoft.

  6. Link to reply to email from btPRO.

New Listings

Your new listings will be displayed on your dashboard under the 'New Listings' tile upon being added to btPRO.

Email Events

Any email events, like an open action, will display in your Activity Stream.

The tile displays the following info:

  1. Lead name.

  2. Email Opened or Clicked through.

  3. Time the email was viewed.

  4. Shortcuts to email, call, text, or send a CORE Video

    1. Please Note: Your contact will need to be subscribed to texts in order for the 'Text' shortcut to populate on the Dashboard tile.

Calls

The Calls tab will display any past due, due today, and future Calls for you to make to Prospects, New Leads, and Active Leads.

Tasks

The Tasks tab will display any past due, due today, and future Tasks for you to complete within the CRM.

Calendar

If you've integrated your Google or Outlook calendar with btPRO, your calendar info will display here. If not, you will see an option to integrate a calendar.

My Business

In this tab, your pipeline activity will be displayed. You can see where your contacts are in your pipeline and how many contacts are in each stage.

Additionally, if you're an Admin, you can add shared resources to the btPRO dashboard for all Agents to access.

Company Video

Feature 1 embedded video for your business (A carousel of videos is not currently available).

To add a new video:

  1. Go to YouTube or Vimeo to copy the link to the video you want to post. (You must have the video uploaded to either YouTube or Vimeo).

  2. On the 'My Business' tab click '+ Add Video'.

  3. Paste your video link and be sure to select the correct source. Then click 'Save'.

  4. After it takes a few seconds to load your video will be displayed. Use the Edit/Remove links in the upper right corner to modify the video.

Company Blog

The blog feed feature allows you to bring in any RSS Feed to embed it into your blog tab. This requires an RSS URL.

Depending on what your specific goal is, you may need to get an RSS version of your blog built. Most blogging platforms have an RSS functionality built-in by default, so it's simply a matter of finding the RSS icon (on your blog site) and clicking on it:

Normally, this will bring you to the nuts and bolts feed page.

This is an XML file, and that link you see at the top is the link we need to insert into btPRO.

How to Add a Blog Feed

  1. In the blog section, click 'Add Feed'.

  2. In the modal that pops up, paste your RSS Feed Link, and click 'Save'.

  3. After loading the blog posts will be visible under the 'Blog' tile.

  4. Use the 'Edit/Delete' links in the upper right corner to correct a mistake in your URL or to remove it altogether.
