Overview of a Lead Profile

Learn how to navigate a lead profile to review property interests, conversation history, and interact with your contacts via btPRO.

Overview

Your book of business is the most important aspect of your real estate business. Engaging with your sphere regularly is key in successfully converting contacts to viable leads and then clients.

In order to do this within btPRO, you should regularly review activity in lead profiles. This article will explain what data lives in a lead profile and how to effectively use it to drive your business.

How to Access a Lead Profile

To access a lead profile in detail:

  1. Log in to btPRO.

  2. Click on 'Smart CRM'.

  3. Search for the lead and click on their name.

  4. By default, the timeline will display first, so you can easily review recent and past activity.

Navigating a Lead Profile

There are a few different focus areas within a lead profile.

Main View & Timeline

This is the default view when you open a lead profile. Here you can find basic contact information, recent activity, and quick communication actions like emailing, texting, adding notes, adding hashtags, and much more.

Profile Details

This view provides you with detailed contact information and options to update/edit as needed.

Search Alerts

In this area, you can enable and edit search alert preferences for your lead along with how frequently the system should send alerts to them.

Files

This section will show any related Google files if you've synced your Google account with btPRO.

Transactions

This section will show any related transactions if you've synced your Transaction Management system with btPRO.

Tasks

This area will show you any related tasks and calls.

Main View & Timeline

The main view and timeline of a profile contain a majority of the information you need to work your lead.

Lead Summary

On the left-hand side, you'll see information such as their name, email and phone, current status, lead type, hashtags, summary, and ownership and assignment.

Basic Contact Information

At a glance, you'll see your leads name, phone number (if one is added), email address, physical address (if one is added), and their deal type(s).

You can quickly edit these details by clicking on the pencil icon at the top right of the section.

Hashtags

Hashtags can be viewed and edited in the main view as well. Simply click on the search bar to add or create a new hashtag, or click the 'x' on an existing tag to remove it.

Hashtags can be used to organize your leads by different buying or selling preferences and more. Learn more about Hashtag Management and best practices here.

Insights

The Insights section will give you an overview of the leads qualifications and activity summary. This will include things like the property details of listings they viewed, the creation date, and the source.

Lead Timeline

The lead timeline will show where the contact is at in their buying or selling journey as well as recent actions and activities related to them.

You can search for activity directly in the timeline, filter by 'inbox' to view any lead communications, or filter by other types of activity like automation triggers, notes, and insights.

Additionally, you can view and edit 'future touch points' of Smart Campaigns (if running). When you click 'Show future touch points', future actions will appear. You may remove them as desired.

NOTE: Deleting a touchpoint using this method will not affect the Smart Campaign itself; the action will only be removed for this individual lead.

Lead Actions and Automated Marketing

On the right of a profile, you will find a list of actions you can take to communicate with the lead both manually and via automation.

Manual Actions

There are several manual actions available within a lead profile.

The most commonly used are:

  • New Call (will display if a phone number is added)

  • Add Note (this will append a note to the timeline with the option to pin it at the top)

  • Send Email (will display if an email is added)

  • Send Text (will display if a cell phone number is added)

  • Voicemail Drop (will display if you've purchased this add-on in the Marketplace)

  • CORE Video (will display if you've purchased this add-on in the Marketplace)

  • CORE Present (will always display)

NOTE: If any of the action buttons are grayed out it indicates that the contact is either unsubscribed or you haven't yet purchased the related Marketplace Add-on.

There are also additional actions you can take via the 'More Actions' drop-down. These options include things like sharing a contact, merging a contact, and more - including a social search.

Automated Marketing

There are also several automated marketing tools you can access and use with a lead.

Quick access to the most commonly used automated marketing tools are:

  • Property Alerts

  • Active Campaigns

  • Market Reports

  • CORE Present

  • Seller Reports

Profile Details

The 'Profile Details' tab allows you to review more information like the assigned Lender, additional phone numbers, source details, and capture method.

You can edit most of these fields as desired, however, some may not be editable, such as source information.

Search Alerts

The Alerts tab will allow you to review, edit, enable, and disable a leads property search alerts.

Files

If you've enabled the Google/Gmail sync, you can use the Files tab to upload any paperwork, images, etc. to a lead-specific folder within your Google Drive.

This is handy when you need to access a client's information or paperwork from a different device.

Transactions

If you integrate a transaction management system (DocuSign, Dotloop or Skyslope) to btPRO and link a transaction to a specific contact you can view it from the Transactions tab at the top of the contact profile.

Tasks

If you would like to review the contact's information and notes ahead of completing a task, you will still be able to view and complete any assigned tasks for that particular contact by accessing the 'Tasks' tab at the top of the contact profile.

If you need to see the full list of upcoming or completed tasks, click the 'All Tasks' button.

There you will see the entire list of scheduled and completed tasks.
