Overview of Lead Sources

Learn about lead sources in btPRO and how to use them effectively to drive your business.

btPRO automatically tracks where each of your leads comes from and displays the source information both in the Smart CRM and a lead profile.

By and large, your sources are created at the same time leads are created. When multiple leads come from the same place, they will have the same source name.

Knowing where your contacts are coming from is important for several different reasons.

  1. It gives you insight into your marketing efforts and highlights where ad spend is the strongest and the weakest.

  2. It enables you to set up automation in btPRO that is specific to the different types of leads you are generating, which helps you convert at a higher rate.

  3. It empowers you to better organize your database and streamline your lines of communication to current and past clients.

Source Terminology

There are 2 types of source data you will see in your Smart CRM:

Source

This is the high-level view of where the lead came from: Did you manually add them? Did they organically come across your website? Or, were they generated by an ad?

System Source

This drills the source down deeper and shows exactly how they registered. This shows you the difference in leads generated by your Agent website, for example, versus leads that came from your Office or Team.

In order to truly understand and leverage these two source data points, you will need to know what each source and system source term means.

Lead Sources

The Source column will display one of the below labels for each of your contacts:

  • Direct Website: This means the lead typed the website's domain directly into their browser or clicked a link in a btPRO-generated email.

  • Organic Website: This means the contact clicked on an outside link (from your bio on the Office website or from a social media post, etc...) or registered from a landing page or squeeze link.

  • Paid Marketing (PPC): This means the lead signed up via Pay Per Click marketing. The Pay Per Click Parameter is a piece of a Squeeze Page link that tells btPRO that the link was used for advertising (you should use Squeeze Page links for ads!). If a source is not set for a Squeeze Page this will show.

  • Referrer: This means the page the person was on before clicking through to your btPRO website. The source you set in your Squeeze or Landing Pages will be reported here as the "referrer."

  • Dropbox: This is the email import service that you can use in btPRO to funnel new leads from 3rd parties via email. They could be your dropbox, the Offices, Teams, etc. that were routed to you.

  • Tracked Call: This means the lead called or sent a text to your Smart Number (Office, Team, or personal).

  • Manual Add: You manually added the lead to your Smart CRM and didn't select or create a unique source.

  • Lead Import: The lead was imported from a list via the bulk import tool either from yourself manually or through the Lead Configuration team.

  • Zillow Tech Connect: The contact came from the Zillow integration you or an Admin set up.

  • Zapier: The contact came from the Zapier integration you or an Admin set up.

  • PropertyBoost: The contact was generated from a boosted listing using CORE PropertyBoost.

  • KVFacebookPaid: The contact was generated from a paid Facebook ad using btPRO's Facebook Ads offering.

  • Office 365: The contact was synced from your Office 365 account.

  • Gmail: The contact was synced from your Gmail/G Suite account.

In addition to displaying in the Source column in your Smart CRM, the contact's source is accessible in the Summary section to the left of their contact record.

System Sources

Most commonly the System Source column will display one of the below labels for each of your contacts.

Please Note: These are not the only system sources that may possibly appear in your Smart CRM, but are the most common.

  • Agent Website: The contact was generated from the personal Agent website.

  • Company Website: The contact was generated from the Company website.

  • Office Website: The contact was generated from the Office website.

  • Team Website: The contact was generated from the Team website.

  • Tracked Call : The contact was generated after calling the Smart Number. If the phone number the contact is calling from is not already in the Smart CRM, a contact will be created using that number and 'tracked call' system source.

  • Lead Import: The contact was generated from a lead import either performed by the InsideRe Lead Configuration Team or by you when submitting a CSV for DIY import.

  • Manual Add: The contact was manually added to your Smart CRM.

  • Zapier: The contact was parsed from Zapier

    • This will be further defined by the Agent, Team or Office Zapier.

  • Zillow Tech Connect: The contact was parsed from Zillow

    • This will be further defined by the Agent, Team or Office Zillow Tech Connect.

  • Listing Hotline: The contact was generated from using a Listing Hotline number.

  • Other Dropbox: The contact was generated using the btPRO lead forwarding email address.

    • This will be further defined by Agent, Team or Office.

Detailed Source Information

You can see even more specific source information by going to the 'Profile Details' tab at the top of the contact profile.

Referrer

The website the lead was on before click through to the Agent's personal btPRO website was Facebook.

Capture Method - [URL]

This is the specific page the lead signed up, on the Agent's personal btPRO website.

Frequently Asked Questions

  1. Can I change or control a Lead's/Contact's source?

    1. You can, but only in a few circumstances. Just note that once the lead has been added into the btPRO system you CANNOT change the lead source (you would have to delete re-add the lead if you want the source changed.

    2. If there is a source in the email that is sent to the lead dropbox, it can set the source.

    3. If a lead is being imported from a file, the source can be set in the file and used.

    4. If a lead was manually added by you, you can choose the source when adding the contact.

    5. In Zapier, the lead source can be set manually or automatically. It's one of the fields you can set up when configuring a zap.

  2. What if I get a tracked call and I have multiple Smart Numbers (such as a personal & Team Smart Number). How will I be able to tell which number was called?

    1. Each new tracked call will include a hashtag of the Smart Number that was called.
