Learn how to utilize filters in your Smart CRM.

Overview

Whether you're an Agent looking to review your prospects or an Admin wanting to sort contact records by Team or Office, the Smart CRM filters will help you locate your desired leads quickly and efficiently.

Smart CRM search filters enable you to locate desired leads by specific criteria as well as save lists for frequently used filters.

Smart CRM Filters Overview

General Information

The Smart CRM search filters use both 'AND' and 'OR' logic to generate matching leads. A majority of the search filters use 'OR' logic, however, property details use 'AND' logic. This means some combinations of filters will not return results. If this occurs, check your filters and use the following best practices:

  • If you find your filters are not returning any results and you think they should:

    • Start over with one option at a time.

    • If you see results, open the filters again and select the next criteria.

    • Keep doing this until you find the filter that is causing the problem, as it may be incompatible with another selected filter.

  • If you run into a technical issue with the filter that causes it to display the loading icon and never yields results, hit the refresh button in your browser to cancel and reset the page.

  • Try to avoid being too detailed with selections like 'beds' and 'baths' because it will look for an exact value, as opposed to treating it as 'X or more.'

How to Save a Filter

Smart CRM filters can be saved so you can quickly access your frequent searches. Any saved filters will be included in the 'Saved Filter' dropdown within the filters section.

To save a filter:

  1. Log in to btPRO.

  2. Click on Smart CRM.

  3. Click on the black arrow directly between Playbooks and Smart CRM to expand filter options.

  4. Select all desired criteria for your filter.

  5. Once all criteria is added, click 'Save Filters'.

  6. In the pop-up that appears, enter a Filter Name.

  7. Click 'Save New Filter'.

How to Apply a Saved Filter

Any saved filters will be included in the 'Saved Filters' dropdown within the filters section.

Simply select the saved filter to quickly filter your leads.

How to Manage Filters

If you need to rename, pin, or remove a Saved Filter:

  1. Log in to btPRO.

  2. Click on Smart CRM.

  3. Click on the black arrow directly between Playbooks and Smart CRM to expand filter options.

  4. Click on the Manage button to open filter settings.

  5. In the pop-up that appears, take your desired action:

    1. Rename your filter

    2. Add a Quick link on CRM to 'pin' the filter to the top of the Smart CRM page.

    3. Or, click 'X' to delete a Saved Filter entirely.

  6. Click Save.
