How to Merge Lead Profiles

Learn how to combine duplicate lead records into a single profile in the Smart CRM.

Overview

There may be times when a lead signs up on your website multiple times using different email addresses or has been entered manually multiple times. In cases like these, you can use the lead merge tool to combine profiles and keep your CRM organized.

NOTE: Leads owned by different entities (Company, Team, Agent) cannot be merged.

How to Merge Duplicate Profiles

To merge duplicate profiles:

  1. Log in to btPRO.

  2. Click on 'Smart CRM'.

  3. Search for the lead you'd like to merge INTO another.

  4. Open the lead profile.

  5. Click 'More Actions' on the right-hand side of the profile.

  6. Click 'Merge Contact' in the drop-down menu that appears.

  7. In the pop-up that appears, search for and select the lead you'd like to be the PRIMARY record.

    1. WHAT THIS MEANS:

      1. The lead you select in the pop-up will retain the information, while the timeline and activity data from both leads will be merged and display together.

      2. A timeline note will be added to log a history of the merge action.

      3. Smart Campaigns from the secondary lead will stop. A note will be added to the timeline to log a history of the action.

  8. Review the preview of what will occur.

  9. When ready, click 'Merge' to complete the action.

NOTE: It may take a few minutes for the changes to reflect within your Smart CRM.
