Overview

The lead rating system in btPRO is an added tool you can utilize to both organize your Smart CRM and gauge how 'hot' a lead is.

Lead ratings allow you to rank leads by quality or importance, which helps you quickly identify your active leads. They also help alert you when lower-rated leads become more active and earn a higher rating.

Lead Rating Automation

By default, btPRO will rate your leads automatically using data gathered through lead validation. An initial rating is given based on how much of the contact information is able to be confirmed.

NOTE: Once a lead is rated manually, it will not be rated again through system automation.

Automated Rating Scenarios

Here are a few scenarios explaining how lead validation determines the number of stars a lead is given.

#1: Lead is Added with a Physical Address

  • The lead has a valid home address: +1 🌟

  • The lead also has an email address: +1 🌟

  • The length of residence at the address is listed as 1-3 years: +1 🌟

  • The length of residence at the address is listed as 3-8 years: +2 🌟🌟

  • The last listed purchase price is below the estimate: +1 🌟

#2: Lead is Added Without a Physical Address

  • The lead has a phone number or email address: +1 🌟 for each

  • The lead has viewed at least 3 properties: +1 🌟

  • The lead has sent any communication to the Agent via the website: +2 🌟

#3: Existing Lead Has Performed Website Activity

  • The lead's most recent communication was > (more than) 7 days ago: -1 🌟πŸ˜₯

  • The lead has viewed any property in any timeframe: +1 🌟

  • The lead has both viewed a property and sent communication to the Agent via the website in the last 7 days: +2 🌟🌟

How to View and Change a Lead Rating

Via the Smart CRM Table

To view and change a lead rating in the Smart CRM Table:

  1. Log in to btPRO.

  2. Click on 'Smart CRM'.

  3. Filter the CRM for your desired lead.

  4. Check that the 'Rating' column is enabled.

    1. If it's not, click on 'Columns' and toggle the 'Rating' option on.

  5. View the stars in the Rating column related to your lead.

    1. The number of green stars is the total number of stars your lead has.

  6. To change the number of stars highlighted, click on the star equal to the total rating.

    1. For example, a lead has no stars highlighted. Click on the 4th star from the left to highlight 4 stars. (animation below)

Via the Lead Profile

To view and change a lead rating in a lead profile:

  1. Log in to btPRO.

  2. Click on 'Smart CRM'.

  3. Filter the CRM for your desired lead.

  4. Open the desired lead profile.

  5. Under 'Insights', you'll see the rated stars.

    1. The number of green stars is the total number of stars your lead has.

  6. To change the number of stars highlighted, click on the star equal to the total rating.

    1. For example, a lead has no stars highlighted. Click on the 4th star from the left to highlight 4 stars. (animation below)
