Learn how to use the Advanced Email Editor to design professional emails in btPRO.

Overview

The Advanced Email Editor allows you to create emails using an intuitive WYSIWYG ('what you see is what you get') builder. This allows you to create beautiful emails that you can customize to your exact needs, saving you both time and energy.

How to Access the Advanced Email Editor

To access the Advanced Email Editor:

From a Lead Profile

  1. Log in to btPRO.

  2. Click on 'Smart CRM'.

  3. Open the desired lead to email.

  4. Click on 'Email Lead'.

  5. In the Basic Email Editor that displays, click 'Advanced Editor'.

  6. In the pop-up that displays, click 'Yes' to confirm you do not want to save or send anything you may have typed into the Basic Email Editor.

  7. btPRO will update the editor and open the Advanced Email Editor so you can start creating your email.

From Smart Campaign Email Templates

  1. Log in to btPRO.

  2. Click on 'Marketing'.

  3. Click on 'Smart Campaigns'.

  4. Click on 'Templates'.

  5. Click '+ Add Template' > 'Email Template'.

  6. In the Basic Email Editor that displays, click 'Advanced Editor'.

  7. In the pop-up that displays, click 'Yes' to confirm you do not want to save or send anything you may have typed into the Basic Email Editor.

  8. btPRO will update the editor and open the Advanced Email Editor so you can start creating your email template.

Navigating the Advanced Email Editor

Below, the main components of the Advanced Email Editor are outlined.

The Basics

  1. 'Template' - Allows you to search and select saved email templates

  2. Pencil Icon Tile - Indicator that the template uses the BASIC email editor.

    1. NOTE: Clicking on a basic email template will clear anything you may have started to build in the Advanced Editor.

  3. Masonry Tiles Icon - Indicator that the template uses the ADVANCED email editor.

  4. 'Subject' - Always remember to enter a subject.

  5. 'Start From Scratch' - Clears email content in the center, but leaves the email subject intact.

The Advanced Tools

General Info

Here is some general information about the Advanced Email Editor:

  • To add an element to the content section of your email, simply click on the desired element and drag it to the email body.

  • To change an element after you've added it to the body, simply click on it to open the editable properties, like the style, spacing, color, etc.

    • NOTE: You cannot 'convert' an element to another one. If you chose the wrong layout or element, you must delete it to replace it with something else.

  • To select another element to start editing or to de-select the current one, you must minimize the properties panel by clicking the down-carat shown below.

  • To duplicate or delete an element after it's been added, simply click on it and select your action.

    • Trash Icon = Delete

    • Copy Icon = Duplicate

Elements Overview

Settings

The settings section gives you edit options for the overall email, such as the width of the email body/content section.

Content Area Width

The default and recommended width is 500px.

However, you can change the width by clicking on the radio icon and dragging it to the left to reduce the width or right to increase the width.

Content Area Alignment

This setting allows you to set the alignment of the body of the email. You can adjust it left or center.

Background Color

This setting allows you to make changes to the background of the email body as well as all the space that extends past the content area on desktop. On mobile, the background color does not extend beyond the body.

TIP: If you choose a dark content area background color, select a light font color.

Content Area Background Color

This setting allows you to change the background color of the content area specifically. By default, it is transparent, however, you can adjust it if you prefer the content area to have a different background than the general background color selected for the email.

Default Font

To adjust the font of the text, simply select an option in the preset dropdown.

Link Color
This setting allows you to set a specific color to be used for any hyperlinks you add to your email.

Rows

The elements available in the Rows allow you to arrange content in a particular way, rather than just adding it without a layout.

To add a row, simply click on the row style you like and drag it to the email content area.

You can make any row any color as desired by clicking on the row you've added and then adjusting the settings in the element properties section.

Content

The content area displays by default when you first open the editor. This section includes all of the content elements you can add to your email.

Preview

The 'Preview' option allows you to review your email on both desktop and mobile.

Simply toggle between Desktop and Mobile to change the preview.

Send Test

The 'Send Test' option allows you to send a test email to yourself to preview a live email before you send it to your leads.

Content Builder in Detail

Text Element

The 'TEXT' element allows you to add a text block to the email content section. Simply click on the 'TEXT' element and drag it to the email content section to add it.

Once added, click on it to access the text block settings, like font type, size, alignment, etc. and then type your content.

Merge Tags

Within the 'TEXT' element, you can insert 'merge tags', which allows dynamic content to be inserted in your message. For example, you can insert a 'first name merge tag', so that each leads first name is inserted in a mass email.

Image Element

The 'IMAGE' element allows you to add an image file to the email content section. Simply click on the 'IMAGE' element and drag it to the email content section to add it.

Upon adding the 'IMAGE' element, you will be prompted to add your desired file. Either browse for your file or drag and drop it in.

The image is then uploaded to btPRO's server, so you can re-use it in future emails you create using the Advanced Email Editor.

Changing an Image

Once an image is uploaded, it cannot be replaced with an image not yet uploaded to btPRO's server.

To add an entirely new image, you must delete the 'IMAGE' element and start over.

Stored Images

Your stored images will display when you attempt to 'browse/change image'.

NOTE: You cannot add new images to this folder directly, you must drag them to the image element.

Image Sizing

Images should be sized to match the content area width of the email. By default, this is 500px wide. If you upload a 500px wide image, it will be automatically re-sized if necessary if the 'Auto width' switch is enabled (shown below).

If you turn off the auto width, you can set the width manually using the slider shown above.

If you don't want the image to be tiny on mobile view, you can select the 'full width on mobile' option in the image properties.

Using the preview function, you can confirm that the email looks good in mobile format with that option enabled. You can use the preview as often as needed.

Video Element

The 'VIDEO' element allows you to add a video (hosted on YouTube or Vimeo) to the email content section. Simply click on the 'VIDEO' element and drag it to the email content section to add it.

Upon adding the 'VIDEO' element, click to add the YouTube or Vimeo URL.

Paste the video URL into the 'Video URL' field in the content properties panel.

Adding the URL will reveal some additional options in the properties fields:

NOTE: If you do not see a preview of the thumbnail image please make sure the video you're using is not marked as private or unlisted. The video must be public in order to be viewed.

HTML Element

The 'HTML' element allows you to insert HTML content in your email. Simply click on the 'HTML' element and drag it to the email content section to add it.

Once that HTML block is added, click on it to bring up the properties and add your code snippet.

NOTE: HTML assistance or support is not available through Inside Real Estate Support. It is not recommended to use this element if you are not familiar with HTML.

Dynamic Content Element

The 'DYNAMIC CONTENT' element is data-driven. This means that you can insert data through this element from btPRO to customize the email recipients viewing experience.

Examples

Listed below are examples of what the various dynamic content items look like when rendered.

Schedule A Showing Button

  • Links to the property on your personal btPRO website, good for wider content areas.

View Listing Button

  • Links to the property on your personal btPRO website, good for narrow content areas.

Agent Header

  • Creates a header area with office logo and direct website links.

Triple Listing Image - Collage

  • Creates a masonry image layout using listing photos.

Triple Listing Image - Row

  • Uses three listing photos lined up in a single row.

Agent & Office Photo

  • Pulls the profile images for the Agent and/or Office the email is being sent from.

Office Photo

Agent Photo

Similar Properties

  • Pulls three main listing images of similar properties to the linked MLS ID.

Main Listing Image

  • The primary MLS image of the linked MLS ID.
