You can create, update, or delete LaundroPortal Access accounts at any time (if you yourself already have an Admin access level LaundroPortal access account).

Newly created accounts can be created with different access levels and location restrictions (if you operate multiple locations). You can also adjust access levels and location restrictions of existing access accounts if needed.

This is all managed via the Users section of the LaundroPortal.

To access this section, click on the Users option on the left-hand side of the LaundroPortal as shown below:

Users option in the LaundroPortal left-hand menu

Note that only Admin access level accounts have access to the Users section of the LaundroPortal.

Creating New LaundroPortal Access Accounts

From the Users section, click on the "+ Add New User" button in the top right-hand corner of the page:

+ Add New User button on the Users page

On the following page, you'll be creating the new user account.

In order to create a new account, you will need to fill out the following mandatory fields:

  • Login (this will be the username used to log into the LaundroPortal)

  • Access (this will be the access level granted to this user)

  • Password and Confirm Password (needs to be the exact same characters (capitalization matters))

Once completed, clicking the Save button at the bottom of the page will create the new user account:

New user form with the Save button at the bottom

Note: once you've created a new user, give the login credentials to the person the account is intended for so they can log into the LaundroPortal. Only Admin users can change passwords, so if a non-Admin user would like a different password, an Admin will need to change it for them.

Login (usernames) must be unique across the entire Laundroworks customer base, so if you run into the following error when attempting to create a new LaundroPortal access account:

Error message shown when a Login (username) is already in use

It's likely you've selected a Login (username) that's already being used by another customer. Simply change the Login (username) to something else and try to create the new account again.

While adding a Name, Email address, and Phone number are optional fields, it is strongly recommended to add an Email address at the very least, especially for Admin access accounts, as an email address is required in order for our Support team to be able to reset an Admin account's password if needed.

It is also useful to have an email address and/or phone number associated with an Admin access account specifically, as this allows the Admin to sign up for automated email/phone notifications about any errors encountered by the VAC kiosks.

Changing an Existing LaundroPortal User's Account Password

Only Admin access level users have the ability to change an existing user account's password.

To do this, click the pencil icon Pencil (edit) icon for the specific user account you're updating the password for:

Users list with the pencil icon next to a user account

Note: for other Admin access accounts, only the account holder of that specific Admin account can change the password for that particular Admin account.

On the Edit User page, simply populate the Password and Confirm Password fields with the desired new password (the characters, including capitalization, must be identical in both of these fields).

Then click the Save button at the bottom of the page to save the changes:

Edit User page with the Password and Confirm Password fields and the Save button

If an Admin access account forgets the password for their account, contact the Laundroworks support team in order to have that password reset.

The email must come from the email address associated with the Admin access account, or from an email that is listed as the main contact of the store account, or an email that also has an existing Admin access account for the location.

Changing an Existing LaundroPortal User's Access Level

Only Admin access level users have the ability to change an existing user account's access level.

To do this, click the pencil icon Pencil (edit) icon for the specific user account you're updating the access level for.

On the Edit User page, select the new access level from the Access drop-down menu, then click the Save button at the bottom of the page to save the changes:

Edit User page with the Access drop-down menu open and the Save button highlighted

For a description of what each access level can see and do, see User Access Levels Explained.

Note: Admin users can't change the access level of another Admin access account.

Deleting an Existing LaundroPortal Access Account

Only Admin users have the ability to delete User accounts.

Admin users can delete other Admin access accounts, but they can't change another Admin account's password or access level.

To delete an existing user account, from the Users screen, click on the X icon X (delete) icon next to the specific user account you'd like to delete:

Users list with the X icon next to a user account

This will immediately delete that LaundroPortal access account from the system.

Setting Access to Specific Locations

If you have multiple locations under your Support ID, it's possible to restrict accounts to only have access to specific locations.

On the Users page, you will be able to see all access accounts that have access to the same store locations as the account you're currently logged in as, and the Locations column will list which specific location(s) other accounts have access to:

Users page showing the Locations column for each account

If an account has access to all locations under a given Support ID, the Locations column will list "ALL".

If an account does NOT have access to all locations within a given Support ID, the individual location ID(s) will be displayed in the Locations column.

To adjust the locations a given account currently has access to, click on the pencil icon to get to the User edit page for that specific account.

From the User edit page, you'll see an "Assigned Locations" section at the bottom:

Assigned Locations section on the User edit page

Any locations listed in the Selected Locations section will be the locations that this LaundroPortal access account has access to.

To add additional locations, click on the "+" icon next to the locations you want to grant access to.

To remove a location, click on the "x" icon next to the location you want to remove from the Selected Locations section.

Note that an Admin User is only able to edit the Assigned Locations of locations they currently have access to with their Admin account.

Also note that if there is a user account that has access to different locations than what the Admin account has access to, that user account will NOT show up in the Users section for that specific Admin user.

If you'd like a specific account to have access to all locations (including any new locations that may be added in the future) select the "Select all locations" option, as opposed to adding each location individually:

Select all locations option in the Assigned Locations section

Click the Save button at the bottom of the page to save any changes to Assigned Locations.

Setting Access to Specific Stripe Merchant Accounts

When a Stripe Merchant account is set up for a location via the Payment Processing menu, that specific Stripe Merchant account will only be accessible by the specific LaundroPortal Admin access account that completed the Stripe account setup.

To view reports related to a specific Stripe Merchant account, or to refund transactions that were processed by a specific Stripe Merchant account, the LaundroPortal Admin account needs to have access to the specific Stripe Merchant account.

To check which accounts currently have access to a Stripe Merchant account, navigate to the Payment Processing menu.

This section defaults to the Merchant Account tab, and at the very bottom of this tab you will find the Account Access section which lists all LaundroPortal accounts that currently have access to the specific Stripe Merchant account being viewed:

Account Access section at the bottom of the Merchant Account tab

To adjust which LaundroPortal accounts have access to this Stripe Merchant account, you can click the X button to remove access from an account, or use the Account Access drop-down menu to grant access to one or more LaundroPortal accounts. Once you've selected an account you want to grant access to, click the + Assign button to grant access:

Account Access drop-down menu and + Assign button

Error Notification Settings

You can set up an Admin access LaundroPortal account so that you receive email or text alerts if the system detects an issue.

To set up these alerts, or change your notification preferences, navigate to the Notification Settings option on the left side of the LaundroPortal:

Notification Settings option in the LaundroPortal left-hand menu

From here, you can select what types of errors will send you a notification, and if your preference is to get email notifications, text notifications, or both:

Notification Settings page with error types and email and text options

Only Admin access users are able to receive automated notifications, and only 1 email address can be associated with any given Admin access account.

If you have multiple email addresses that you'd like to receive these notifications, you can either:

  • create a new Admin user for the email address you'd like to receive these notifications

Note that you don't actually have to give this person the password for this newly created Admin account. You can simply create the Admin account, set up its email notification preferences, and assign the email you'd like to receive the notifications.

  • use your email provider's settings to set up auto-forwarding of the notification emails you receive.

User Access Levels Explained

As an Admin user, you can create additional user accounts for the LaundroPortal, and decide what type of access you want the account to have.

Each user account can have varying Access Levels, which control what the user can see and do.

If a user has access to multiple locations, the access account you create will have the same access level for each location that account has access to.
