The Payouts Overview report in LaundroPortal shows every payout Stripe sent (or tried to send) to your bank account over a date range you choose. It covers all the Stripe merchant accounts linked to your location (that your specific LaundroPortal access account has access to), so you can see in one place which account each payout came from, which bank account it went to, the gross, surcharge, fee and net amounts, and whether it was Paid or Failed. You can also break each payout down by location and by payment channel (VAC terminal or mobile app).
Need to see the individual transactions in a payout? Use the Payouts tab under Management Tools > Payment Processing on the location page instead.
Note: the Payouts Overview report can only be used with Stripe merchant accounts, as Stripe is the only payment processor integrated into the LaundroPortal.
If you use a different payment processor at your location, you will need to use your payment processor's own portal for reports related to payouts to your bank account.
Finding the Payouts Overview Report
Log in to your LaundroPortal.
In the black menu bar on the left-hand side, click Payouts Overview.
Running the Report
Set a Start Date and End Date. You can type a date in YYYY-MM-DD format or pick it from the calendar. You can also use one of the quick buttons: Yesterday, Last 7 days, Last 30 days, Previous month, or Month to date.
The report selects the last 7 days by default.
Check the location shown under the dates. The report needs at least one location. If you have a single location, it is selected for you.
Click Run Report to generate the Payouts Overview report for your selected date range.
Reading the Results
Location and merchant accounts
The first section names the location, then lists each Stripe merchant account linked to it:
Merchant Account Name and Merchant ID.
Transaction fees: the processing rate for that account (for example 4.00% per Approved Transaction).
The Date Range used for the report appears at the end of this section.
Summary totals
Total Number of Payout Records: how many payouts fall in the date range.
Gross Total Payouts, Total Surcharges, Total Fees and Net Total Payouts for the date range.
Below the totals is a reminder about payout timing. A payout marked Paid is usually posted by your bank the same day, but some banks take 2–3 more business days, and payouts on weekends or bank holidays are not accepted until the next business day. A payout can also show as Paid at first and then change to Failed within 5 business days.
Payout records
Each green row in the table is one payout:
Dates: Initiated is when the payout was created. Expected is when it was expected to arrive at your bank.
Operation:
Payout: the number of payments, disputes and refunds included in the payout.
Source: the Stripe merchant account the payout came from (name and Merchant ID).
Destination: the bank account it was sent to (bank name, routing number and the last 4 digits of the account number). Prior Connected Bank Account – disassociated means the payout went to a bank account that has since been removed or replaced.
Amount: Gross, Surcharge, Fees, Net (the amount sent to your bank), and any Disputes or Refunds taken from the payout.
Reference: the Stripe payout Ref ID (for example po_…) and the Status (Paid or Failed). Have the Ref ID ready if you contact support about a payout.
Failed payouts
When a payout fails, the Reference column shows a note, a Code and a Message from Stripe. Common examples:
Code | What it means | What to do |
account_closed | The bank account has been closed. | Update your bank account under Management Tools > Payment Processing > Merchant Accounts on the location page. |
no_account | No bank account could be found with the details on file. | Check the routing and account numbers on the Merchant Accounts tab. |
debit_not_authorized | The bank account doesn't allow debit transactions. Stripe requires accounts that accept both credits and debits. | Ask your bank to allow debits, or connect a different account. |
Failed funds are not lost. Once the bank account issue is fixed, they are added to a later payout. That is why you may see a note that the paid amount for a payout is greater than the total of its payments: the extra amount is making up for an earlier failed payout. If the paid amount is less than the total of its payments, the difference is usually from refunds or disputes taken out before the payout.
Payment breakdowns
Tick Show associated Payment Breakdowns to add a blue row under each payout that summarizes the payments it includes, for each location:
First and Last: the dates of the earliest and latest payment in the payout.
Payments Breakdown: the total payment, dispute and refund counts, split into:
Terminal: payments made at your VAC (kiosk) card terminals.
Mobile: payments made in the mobile app.
Each channel shows its own counts, Gross, Fees, Disputes and Refunds.
Amount: the combined Gross, Surcharge, Fees and Net for those payments.
Location ID, Location Address and Location Description for the location the payments came from.
Exporting the Report
Click the Export button above the table to download the report data. You can then sort or reconcile it in Excel or Google Sheets.
Common Uses
Match a bank deposit: Find the payout with the same net amount and date, and check its Source and Destination.
Compare kiosk and app sales: Tick Show associated Payment Breakdowns to see how much of each payout came from Terminal versus Mobile payments.
Check your processing rate and costs: Confirm the transaction fee rate for each merchant account, and compare Total Fees and Total Surcharges over the previous month.
Find a missing deposit: Look for payouts with a Failed status and read the code and message to see why.
