Written by Kurt Bernhard

The Reload Bonus promotion allows you to configure your Value Add Center (VAC) kiosks to add additional bonus value, to a Laundry Card/LaundryCat App account's balance, whenever a customer makes a purchase to load a pre-defined amount of value onto their card/account.

There are several options to control when and how much bonus value is added, but here are a few examples of different types of reload bonuses you can configure:

  • Get a $3 bonus for every $50 loaded.

  • Get a $1 bonus for every $20 loaded when make cash purchases using any bill denomination

  • Get a $1 bonus for every $20 bill used, or get a $4 bonus for every $50 bill used

  • Double Your Money, for every $1 loaded, the customer will receive a $1 bonus

Reload bonuses are generally used to incentives customers to load more money during their transaction session, therefore increasing your total float.

How to Configure a Reload Bonus

You will be using the LaundroPortal in order to setup your reload bonus.

There are 4 basic types of reload bonus configurations to choose from; you can only run 1 type of bonus configuration at a time, but you are able to use different bonus configurations for Laundry Card purchases verse LaundryCat App purchases which can be useful if you're trying to incentives your customers to use 1 payment method over the other.

Configuring your Laundry Card reload bonuses is done in a different menu than where you'll configure your LaundryCat App reload bonuses. Both Card and App accounts can run the same bonus configuration types (with 1 exception), but they do have to be configured separately.

Configuring Reload Bonuses for Laundry Cards (click to expand)

The configuration settings for the reload bonuses related to Laundry Card purchases, is done through the Value Add Center VAC Kiosk Configuration settings page.

Click on the Wrench icon, next to the VAC, to get to that VAC's Configuration Settings page:

Note: You will need to setup the same reload bonus, on all VACs individually,

in order to ensure all VACs in your location are giving out the same reload bonuses.

Click the Edit VAC Settings button to bring up the pop up window where you're able to adjust the VAC's configuration settings:

Then scroll down until you reach the Bonus section where you'll find all settings related to the different types of bonuses/promotions that can be setup through the VAC's configuration settings menu:

In the VAC's Bonus section, the only setting related to Reload Bonuses, are:

  • the Bonus Configuration setting

  • the Value Threshold setting (which is not shown until a Bonus Configuration, other than "Disabled", is selected).

  • the Value of Bonus (up to $100) setting (which is not shown until a Bonus Configuration, other than "Disabled", is selected).

All other settings in this Bonus section are related to other types of promotions you can setup; but those other settings are completely unrelated to anything being discussed in this article.

For details on what the other Bonus section settings control, review our Frequently Asked Question (FAQ) article for a list of all the other types of promotions you can run.

By default, the Bonus Configuration setting will be set to Disabled;

to gain access to the Value Threshold, and Value of Bonus (up to $100) settings, you first need to select the type of reload bonus you want to configure.

You can enable one of the options from the Bonus Configuration drop down menu:

The 2 most common Reload Bonus configurations that customers select are:

  • Cash Only

  • Cash and Credit/Debit

For details on the differences between the different bonus configuration settings, see the Bonus Configuration Types section of this article.

Configuring Reload Bonuses for the LaundryCat App (click to expand)

Reload bonuses for LaundryCat app customers use the exact same reload bonus configurations as Laundry Cards; with the exception that the LaundryCat app cannot use "Option 4: Cash and Credit/Debit - Cumulative" bonus configuration.

To configure reload bonuses for LaundryCat app users, you'll first need to click into the Mobile App Configuration menu; which will be under the Management Tools section of the LaundroPortal:

Note: if have the LaundryCat app enabled for your store, but are unable to see the Mobile App Configuration menu, contact the Laundroworks support team so we can enable this menu for your account.

Once you're in this menu, you should be brought to the Location Configuration tab by default (if not, click on the Location Configuration tab):

Scroll to the very bottom of this page where you'll find the Bonus Configurations section (which will be just above the Support Contact section):

When it comes to reload bonuses related to LaundryCat App accounts, you're actually able to set 2 different reload bonus configuration types; 1 for each funding method available to LaundryCat App customers:

  • Cash Program - this is the reload bonus that gets applied when customer's are using the Cash-At-Kiosk loading feature to make a purchase towards value added onto their LaundryCat App account.

You can choose between a 2 options:
    - Session Load (which is the Cash Only reload bonus option)
    - Big Bill (which is the Bill Big Bonus option):

  • Card Program - this is the reload bonus that gets applied when customer's are making Credit Card purchases through the App directly.

This configuration only has a Session Load option, (which is the same as the Option 3: "Cash and Credit/Debit" Reload Bonus with the exception that the App cannot accepted in App Cash purchases, so this bonus is only applied to Credit Card purchases):

For details on the differences between the different bonus configuration settings, see the Bonus Configuration Types section of this article.

Bonus Configuration Types:

Regardless on if your configuring a reload bonus for Laundry Card customers, or LaundryCat App customers, the Bonus Configuration types work the same way.

All reload bonuses also scale according to the threshold that's set.

So if you configure a reload bonus that has a Value Threshold set at $20, and a Value of Bonus set at $1; this means that for every $20 threshold reached within the transaction, the customer will receive $1 in bonus value.

To give a few examples to illustrate this point, consider a reload bonus that's configured to a $1 bonus for every $20 purchase:

  • if a customer loads $20, they'll receive $1 in bonus value

  • if a customer loads $40, they'll receive $2 in bonus value ($1 for each $20 threshold reached)

  • if a customer loads $100, they'll receive $5 in bonus value

  • if a customer loads $50, they'll only receive $2 in bonus (since there is only two $20 thresholds reached with a $50 purchase)

When creating a Double your Money Promotion, you simply set the Value Threshold to $1 AND the Value of Bonus to $1.

Because the reload bonus will scale according to the value threshold, this ensures that every dollar loaded is matched with $1 in bonus value.

Option 0: Disabled (Default) (click to expand)

No value-based reload bonus promotion is enabled.

Option 1: Cash Only (click to expand)

This configuration provides bonus value, to Cash purchases ONLY, whenever a threshold amount is reached or exceed.

The value is cumulative ONLY during a single transaction session; or in other words, only during the same card reload/purchase session (e.g. when the Laundry Card stays inside the VAC card holder for the entire transaction).

For example, consider a reload bonus that awards $1 for every $20 loaded;

This type of reload bonus would be configured as follows:

  • If a customer inserts a Laundry Card into the VAC card holder, and then inserts one $10 bill, and then two $5 bills; this customer would receive a $1 bonus because a total of $20 was loaded during the same transaction session.

  • However, if a customer inserts a Laundry Card into the VAC, inserts one $10 bill; then REMOVES their Laundry Card from the VAC's card holder, and places the Laundry Card back into the VAC holder to then load another $10 bill; this customer would NOT receive the $1 reload bonus, because the 2 $10 bills were loaded onto the card during 2 separate transaction sessions.

The goal of this configuration is to encourage customers to make cash purchases, vs credit/debit card purchases, and setting the value threshold at $20 encourages customers to load larger amounts of value during a single transaction session.

Option 2: Cash and Credit/Debit (click to expand)

This configuration works the same way as the above Cash Only configuration; however this configuration awards bonuses for both Cash purchases, as well as Credit/Debit card purchases.

Like the Cash Only bonus, the value is cumulative ONLY during a single transaction session, so for a bonus that has a $20 threshold, customers can't load $10 in 1 transaction session, and then load another $10 in the next transaction session and qualify for the reload bonus.

This reload bonus configuration is the most popular reload bonus configuration that is used.

If you need to configure a Double Your Money promotion (which appears to be commonly used in the industry when promoting a new store) simply set the both Value Threshold, and Value of Bonus settings to equal $1:

Option 3: Cash and Credit/Debit - Cumulative (Legacy - NOT recommended) (click to expand)

This configuration works the same way as the Cash and Credit/Debit configuration; with the exception that the amounts loaded onto a Laundry Card do NOT have to happen within the same transaction session.

The amount that accrues towards the bonus is persistent between reload sessions and visits to the store.

For example, consider a threshold of $100 and a bonus of $10.

If a customer adds $70 one day, a week later adds another $20, and then on their next visit adds $80, the customer will be given the $10 bonus during their $80 purchase, AND they will be $30 away from their next $10 bonus.

This bonus configuration is akin to a points/loyalty program (but in our implementation we use actual dollars instead of points, and we redeem for bonus dollars automatically when the threshold is reached)

This is a legacy reload bonus configuration that we no longer recommend using.

Option 4: Big Bill Bonus (click to expand)

If you wish to encourage the use of bigger bill denominations (e.g. to reduce the amount of times you need to empty your bill acceptor's cash box), you can enable the Big Bill Bonus to incentivize this.

This reload bonus configuration awards a bonus value based on the specific bill denomination that's used during the purchase as opposed to the total value of the purchase.

This is the only reload bonus configuration that effectively allows you to create multiple "threshold" levels.

You are able to configure bonuses for multiple different bill denominations (which act as different "thresholds", and these bill denominations can trigger different reload bonus amounts.

For example, this bonus can be setup to where a $10 bills gives a $1 bonus, but $20 bills give out a $3 bonus (therefore incentivizing customers to use larger bills when making a purchase:

You are able to list as many, or as little, bill denominations as your bill acceptor has the ability to validate, so if you're bill acceptor supports validation of $50 and $100 bills, you can set threshold and bonus amounts for those bills as well.

When configuring this type of reload bonus, you always list the bill denominations in ascending order, and you will always list the reload bonus amounts, for each denomination, in the same order the bill denominations are listed.

You can set a different reload bonus for each possible bill denomination your bill acceptor is setup to validate.
For this you just need to make sure you list the reload bonuses for each denomination, in the same order the bill denominations are listed; and bill denominations, and reload bonus values, need to be separated by comma's, like in the screen shot below:

Using the above settings, the configured reload bonuses will give out the following bonus value, for each bill denomination:

  • $1 bills = $0.25 bonus

  • $5 bills = $2 bonus

  • $10 bills = $5 bonus

  • $20 bills = $12 bonus

  • $50 bills = $30 bonus

  • $100 bills = $70 bonus

Option 5: Cash and Credit/Debit - Multi-Bonus (click to expand)

Similar to the Big Bill Bonus, this bonus configuration allows you to set up multiple bonus tiers/thresholds, so you can award larger bonuses for higher amounts of value being loaded on a card during a single transaction session.

You can create up to a maximum of 5 different bonus tiers/thresholds:

This bonus configuration is best to use if you'd like to;

  • setup multiple bonus tiers, for both Cash and Credit/Debit card paying customers

  • limit the amount of bonus a customer can receive during a single transaction session.

Unlike most of the other bonus configurations, this reload bonus only awards a single bonus per transaction session, regardless of the amount of value that was loaded onto the card during the transaction session.

For example, when using the Option 2: Cash and Credit/Debit, if your threshold is set at $10, to award $1 in bonus:

if a customer makes a $30 purchase using a credit card, they would receive a $3 bonus ($1 per each $10 in the full transaction amount).

With this bonus configuration, customers only receive a single bonus, so if you have thresholds set at:

  • $10 = $1 bonus

  • $20 = $2.50 bonus

  • $50 = $10 bonus

if a customer makes a $30 purchase using a credit card, they would only receive a $2.50 bonus (the $30 reaches the $20 tier; so that's the only bonus that the customer will receive)

Similarly, with the above bonus configuration, if a customer makes a $100 purchases, they will only receive a $10 bonus (they do NOT receive the $50 bonus tier twice like they would with other bonus configuration types)

How to Disable a Reload Bonus that's already active

Disabling Laundry Card Reload Bonuses

To disable a reload bonus that's currently active for Laundry Card customers, all you need to do is change the Bonus Configuration setting back to Disabled:

You do NOT need to adjust any of the other settings related to the reload bonus that was previously setup as once the Bonus Configuration setting is set to Disabled, this disables and hides the other reload bonus related settings automatically:

It is also recommended to NOT adjust the other settings, because if you decide to turn the Reload Bonus you were running previously back on, just setting the Bonus Configuration back to the same bonus you were using previously will restore all the other reload bonus settings that were in place the last time this setting was Enabled.

Just remember, whenever making any VAC Configuration changes, to click the Update Settings button to save the changes you've made, and to make sure you make the same changes on all VACs in your location so they're all operating the same way:

Disabling LaundryCat App Reload Bonuses

To disable a reload bonus that's currently active for Laundry Card customers, you would simply go into the Mobile App Configuration menu, and set the reload bonus settings back to Disabled, just like you do to disable reload bonuses for Laundry Card users:

You do NOT need to adjust any of the other settings related to the reload bonus that was previously setup as once the Bonus Configuration setting is set to Disabled, this disables and hides the other reload bonus related settings automatically.

Just be sure to click the Save button at the bottom of the page to save the changes.
