Extensive reporting is provided by the LaundroPortal.
This article discusses the different reporting figures that will be found on the various LaundroPortal reports available to you.
This specific article is especially useful for reviewing the information provided by the Summary Report, but for specifics related to the other reports available via the LaundroPortal, below are links to articles that discuss those reports in more detail:
The time window for all Laundroworks reports starts at 12:00:00am on the selected start date, and ends at 11:59:59pm on the selected end date.
Summary Report
This is probably the most commonly used report in the system.
It provides a high-level overview of various metrics across any date range you wish to review.
There are a few different ways to get to the Summary Report. They all open the same report (each starts with a different date range, which you can change on the Summary Report page):
Left menu: click Summary Report.
Location page: on the Locations page, click your Location ID. In the Reports panel, click Summary Report - today, Summary Report - this month, or Summary Report - last month.
To run the report
If your account has more than one location, choose which locations to include. Choose Select all locations, or keep Select locations from list and click the + next to each location you want (you can search by Location ID or address in the filter box). Click the x next to a location to remove it.
Set the Start Date and End Date, or click one of the quick date buttons: Today, Yesterday, Last 30 days, Previous month, or Month to date.
Tick or untick the options to choose what the report includes:
Include VAC Data: payment and card figures from the VAC kiosks and the LaundroPortal (Payments, New Cards Dispensed, loads, debits, and the Payment Breakdown).
Include Machine Data: card reader figures (Machine Cycle Revenue, Free Dry figures, Number of Cards Used, Management Card starts, and the User Cycle Breakdown).
Show Breakdown by Location: adds a Financial Stats by Location table at the bottom of the report, with one row per location. This is useful if you have more than one location.
Click Run Report. The button stays greyed out until at least 1 location is selected and Include VAC Data or Include Machine Data is ticked.
The following table describes the different reported metrics in more detail. These metrics will be seen on many different Laundroworks Reports, and will mean the same thing on all reports.
The table below will have all of these metrics listed in the order they will appear on the Summary Report.
Note: The Summary Report will hide certain metrics if the specific parameter does NOT apply to your location, or if no transactions related to that specific parameter exist in the reporting period.
Reporting Metrics / Parameters
Parameter | Description |
Payments | The total value of payments received from all sources - Cash, Credit/Debit cards, online loading related to the LaundryCat app accounts (Web). This indicates money spent to add value to Laundry Cards/LaundryCat app account balances.
Note: the Payment Breakdown section, on the right side of the report, shows the number of transactions and the amount deposited for each payment method (Cash, Credit, Debit and Web), as well as a pie chart representing this breakdown: |
New Cards Dispensed | The total number of new laundry cards that were dispensed by the VAC kiosks.
Under this number, the report breaks the total down by type of card: Regular: standard new cards dispensed to customers. Replacements: cards issued to replace a customer's lost or damaged card. Conversions: cards issued to customers moving over from a previous card system, as part of a card conversion. Promotions: cards dispensed as part of a promotion. |
Payments for New Cards | The total value customers spent towards purchasing a new laundry card as configured in the VAC settings. |
Net Payments (Total - New Card) | This is just the Payments figure minus the Payments for New Cards figure. |
Applied Surcharges (Credit/Debit/Web) | This is the total surcharges collected on Credit, Debit and Web (online) payments during the given reporting period. The number of transactions that had a surcharge applied is shown under the amount.
VAC Surcharges are configured in the VAC settings. LaundryCat App surcharges are configured in the Mobile App Configuration menu.
This figure is NOT included in any revenue or payment numbers. |
Conversion Payouts | The total card balance customers received through a card conversion, when their balance from a previous card system was moved onto a Laundroworks Laundry Card. |
Bonus Payouts | The total value of all bonus payments given towards a Laundry Card/LaundryCat app account's balance as a result of a reload bonus promotion. |
POS Payouts | The total value of all transactions, involving a Laundroworks POS card reader, that resulted in value being added to a Laundry Card/LaundryCat app account's balance. |
Promotions Payouts | The total value of all payments given towards a Laundry Card/LaundryCat app account's balance as a result of a promo code redemption. |
Free Dry Payouts | The total value given towards the Free Dry Balance of a Laundry Card/LaundryCat app account. This is provided by washer readers as a result of the Free Dry Promotion. |
Machine Cycle Revenue | The total value of all transactions, involving all card readers on all machines, when a machine is started using either a user Laundry Card, or a LaundryCat app account. This includes laundry machine cycles, vending machine purchases, Point-of-Sale reader transactions, and Door access reader transactions (if a cost is associated with Door reader access).
This does NOT include any amounts from transactions involving any Management Cards or a WashLynx App account.
However this DOES include transactions paid for using value customers may have received from any type of Bonus/Promotion (e.g. value received from Reload Bonuses, Promo Codes, and Free Dry Promotion credits). |
Free Dry Redeemed | The total value of all transactions at card readers, from using a Laundry Card/LaundryCat app account, where the value was deducted from the card/account's Free Dry Balance.
Note that this total IS part of the Machine Cycle Revenue figure, but is NOT part of the Direct Machine Cycle Revenue figure.
For example, if you use a Laundry Card to pay $5 for a washer start, and that washer gives out $0.50 towards the Free Dry Balance of that Laundry Card, and then you use that Laundry Card to pay $0.25 to start a dryer; the Machine Cycle Revenue figure would increase by $5.25, the Direct Machine Cycle Revenue would increase by $5.00, the Free Dry Payouts would increase by $0.50, and Free Dry Redeemed would increase by $0.25. |
Average Revenue per Machine | Machine Cycle Revenue divided by the total number of card readers installed at the selected location(s) at the time of running the report. |
Direct Machine Cycle Revenue (Total - Free Dry Redeemed) | The total value of all transactions at card readers from using a Laundry Card/LaundryCat app account (Machine Cycle Revenue), minus the Free Dry Redeemed value. |
Number of Cards Used | Total number of unique Laundry Cards that have had transactions during the time window of the report. Generally a good indicator of the number of customers using Laundry Cards, but the actual number of customers may be less than this as 1 customer can own multiple Laundry Cards. |
Number of Mobile Accounts Used | Total number of unique LaundryCat app accounts that have had transactions during the time window of the report. |
Number of Portal Loads | Total number of all LaundroPortal Load Value requests that have been applied to Laundry Cards/LaundryCat app accounts. A Portal Load is a transaction executed from the LaundroPortal to add value to a Laundry Card/LaundryCat app account (without any actual payment required). |
Portal Load Total Value | The total dollar value of all LaundroPortal Load value requests that have been applied to Laundry Cards/LaundryCat app accounts. |
Portal Debit Total Value | The total dollar value of all LaundroPortal Change Balance requests that result in a decrease of the balance of a customer's Laundry Card/LaundryCat app account. |
Number of Management Loads | Total number of all Management Card/WashLynx App account Load value transactions. A Management Load is a transaction executed directly through the Value Add Center kiosk's administration section to add value to a card (without any actual payment required).
Such transactions require a Management Card (with the corresponding full access PIN), or a WashLynx App account (with add/change balance permissions) in order to access the administration section on a VAC kiosk (this can only be done on VACs equipped with a touch-screen). |
Management Load Total Value | The total dollar value of all Management Card/WashLynx App account loads carried out in the reporting period. |
Management Debit Total Value | The total dollar value of all Management Card/WashLynx App account "Change Balance" requests that result in a decrease of the balance on a customer's Laundry Card.
Such a transaction requires a Management Card (with the corresponding full access PIN), or a WashLynx App account (with add/change balance permissions) in order to access the administration section on a VAC kiosk (this can only be done on VACs equipped with a touch-screen). |
Number of Management Card Starts | Total number of transactions to start machines using Management Cards/WashLynx App accounts. |
Management Card Total Cycle Amount | The total dollar value of the cycles started by the Management Cards/WashLynx App accounts. |
SMS messages sent | Total number of SMS messages sent out by the Laundroworks system. Most commonly the result of security PINs being provided by the VACs for self-serve replacement cards issued and promo code redemptions. |
SMS recipients | Total number of unique accounts that received SMS messages from the Laundroworks system. |
User Cycle Breakdown
This section of the Summary Report breaks down the Machine Cycle Revenue number in 2 different ways:
By Account Usage: how much of the revenue came from Laundry Cards (Card), coins (Coin; this only shows coin starts when Card Readers are installed in a Hybrid Coin + Card setup AND have the ability to detect coin starts, otherwise it shows 0), and LaundryCat app accounts (Mobile).
The Free Dry Redeemed row shows how much of this was paid from customers' Free Dry Balances. It's already included in the rows above it, so don't add it to the total.
By Machine Usage: revenue by machine type: Washers, Dryers, Vending Machines, Point of Sale Readers, and Door Charges (door access readers that charge for entry). Machine types your location doesn't have aren't shown.
For Dryers, the Cycles column shows full cycles and top-offs separately. A top-off is extra time added to a dryer that's already running.
Just like the Machine Cycle Revenue number in the main section of the Summary Report, these breakdowns do not include any Management Card/WashLynx App account usage:
Financial Stats by Location
This section appears at the bottom of the Summary Report when Show Breakdown by Location is ticked. It has one row per location, so you can compare locations side by side.
When you run the report for more than one location, every figure in the main section of the report is the combined total for all the selected locations (the top of the report shows how many are included, for example "Locations: 2 locations selected"). This table shows how those totals split between your locations.
Column | What it shows |
Location | The Location ID and address. Click it to open that location's page. |
Payments | Same as Payments. |
New Cards | Same as Payments for New Cards (the dollar amount, not the number of cards). |
Net Payments | Same as Net Payments (Total - New Card). |
Bonus Payouts | Same as Bonus Payouts. |
Portal Loads | Same as Portal Load Total Value (the dollar amount, not the number of loads). |
Cycle Total | Same as Machine Cycle Revenue. |
Free Starts | Same as Number of Management Card Starts: machines started with Management Cards/WashLynx App accounts. |
Free Start Total | Same as Management Card Total Cycle Amount. |
Adding up a column across all locations gives the matching figure in the main section of the report.
Cycle Total, Free Starts, and Free Start Total are only shown when Include Machine Data is ticked.
Note: Our system runs a nightly cleanup routine on all transaction data collected during the day.
Until this routine is complete, any transaction data, collected during the day, has not been "settled" yet.
As a result, when looking at a Summary Report for the current day, it is possible that this data will not be displaying accurate figures.
It is recommended that you wait until the transaction data has been settled, before auditing any reports, to ensure you are seeing accurate values.
If you are looking for a Summary Report for today's transactions, we recommend waiting until the next day to audit the values of that Summary Report.
