Replacing Card Reader Boards

Installing a replacement card reader board

Written by Kurt Bernhard

For malfunctioning readers, you'll be replacing only the circuit board inside the reader's enclosure.

There are generally two stages to this:

  • Installing the replacement reader board into the reader enclosure

  • Numbering the new reader board using it's Dip Switches

  • Mounting the reader to the machine, and Activating it with the Activation Card

  • Restoring the card reader's settings via the LaundroPortal (Vend Prices and Reader Control Type setting)

Replace and Activate the new card reader board

Step 1: Unmount the Old Card Reader

Power OFF the machine, and remove the card reader.

You do not need to removing the wiring harness from the machine, just unplug the connector(s) from the back of the card reader.

The way you unmount the reader will be heavily dependent on the type of machine it's installed on. In most cases, 3 to 4 nuts need to be removed, from the inside of the machine, to unmount the reader from the machine.

You can refer to the installation article for your specific machine for more information: Card Reader Installation Articles

Step 2: Confirm you are installing the Correct Reader Board Type

NOT all reader boards are the same!!

Before advancing past this step it is CRITICAL that you confirm you are installing the correct reader circuit board type for the specific machine type!

All of our reader boards may look similar, but the different reader board types are NOT interchangeable!

Look for the white label, with the QR code, on the back of the reader board to confirm that the new reader board's TYPE matches the type of the original reader board it's replacing

(the 10 to 14 digit string of characters underneath the reader board names/types are serial numbers and are not relevant here):

For example, if your original reader board's sticker says Generic Serial,

then the new reader board MUST also say Generic Serial.

Otherwise the new board will NOT work with that particular machine.

Step 3: Install Replacement Reader Board

The reader board is typically held into the reader encloser with 2 or 4 screws.
Once the screws are removed, the entire board can be removed from the reader's enclosure and replaced with the new one.

Step 4: Adjust The New Reader's Dip Switches

Match the DIP switches - simply set the DIP switches to the exact same positions as what the original reader board you're replacing is set to.

The DIP switches are responsible for giving the reader a unique address (e.g. Washer #3, Dryer #25, POS1, etc.):

If you would like to learn more about the dip switch settings, or need to number this reader something other than what the original reader was numbered, see our Reader DIP Switch settings article.

Do NOT proceed past this step until you've set the new Card Reader's DIP switches, as you need to access the back of the reader to set these.

Step 5: Mount reader to Machine

Reconnect and mount the reader, and power ON the machine.

It is recommended to plug the reader into the machine so it powers ON, before physically mounting it to the machine, in order to confirm the reader number is correct.

Step 6: Activate new Card Reader

Activate the reader with the Activation Card for this specific store/location:

If you don't have/can't find your store's Activation card, you can easily create a new Activation card for the store, by converting a regular User/Store card into an Activation Card.
See our: Creating System Cards article for these instructions

Restore Card Reader Settings

In most cases you will also need to adjust the new reader's settings (like it's vend prices), and possible the reader's Control Type so it operates the same way as the originally reader.

Typically it's just the vend prices and Control Type settings that need to be adjusted, but depending on the specific machine, the Laundroworks support team may also need to update the new readers firmware before it starts working with the machine.

Step 1: Access the LaundroPortal

Log into the LaundroPortal (If you're a dealer/distributor, you can log-in using the DLP (Dealer Portal) in dealer view)

Step 2: Reader Settings Menu

Click on your location's address to get to the main page for the store, and scroll down to the Machines table, and click on the wrench icon next to the reader you just replaced and activated.

For example, if you just replacement Dryer #3 reader:

TIP! If you're unsure of what settings the original card reader was using, you can check and copy the settings from another reader attached to the same model type of machine.
For example, in the above, if you replaced the board for Dryer #3, you can simply copy the settings from Dryer #4, assuming they are the same model Dryer, and were changing the same vend price.

Step 3: Confirm Control Type Setting

Check and adjust the Control Type setting of the new card reader.
Simply check the setting from another reader, that's installed on a machine of the same model type, and select the same value for this reader's Control Type.

(in many cases, like for Alliance machines, you likely won't need to adjust this setting as the default setting is usually the correct one to be using):

Note: if adjusting the Control Type, to the correct one for your machine, causes the reader to display an error message (like Unknown State);

give our support team a call as this may mean the new reader requires a firmware update to be able to use the correct Control Type

Step 4: Adjust Vend Price Settings (if applicable)

Adjust prices.

Simply check the vend prices from another reader, that's installed on a similar machine, and enter the same values for the new reader.

If your reader is installed on a machine where the reader grabs it's vend prices directly from the machine, you can skip this step.

If the machine is in control of all vend prices, you will NOT see any price settings when looking at the reader's configuration page. No Vend Price settings need to be configured for these type of readers, they grab the updated prices from the machine directly.

For readers where the Card Reader is in control of the vend prices, you'll see vend price options displayed on the Card Reader's settings page:

For more information on adjusting vend prices, you can review our Configuring Card Reader/Machine Vend Prices article

Step 5: Adjust Free Dry Settings (if applicable)

If you're running the Free Dry Promotion, you will also need to adjust those values on the new reader:

Ignore this step if you were not running a Free Dry Promotion in your store.
