Step-by-step guide for allocating Reserved Entries for The Big Half.

This article is a step-by-step guide for Communities to apply for, allocate and manage entries for The Big Half by London Marathon Events.


Applying for entries

There are two types of tickets available to apply for:

  • Community to pay: These tickets will be pre-authorized on your card, and will only be charged if and when you are successful.

  • Participant to pay: You will not be required to leave any card details as part of your application. Payment will be made directly by participants of your community once you have allocated entries to them (which will only be possible if and when your application is successful).

Choose which ticket option you want to apply for, enter a quantity, then click Apply now.

Fill out your Community details as requested on the next screen, and click Continue.

Finally, enter card details as directed (if you have chosen to apply for Community to pay tickets) then click Confirm, or if you've applied for Participant to pay tickets, click Submit application.

💡 Note: For Community to pay tickets, payment will only be taken from the card details you submitted once your application has been approved.


Claiming your entries

When and if your application is approved, you'll be notified by email:

Click on Get started within the email to login to your Dashboard, where you can view, manage and allocate your entries.


Steps for logging in

Once your application has been approved, you'll receive a link by email. Clicking the link will take you to Let’s Do This, where you’ll need to create an account. If you already have an account with that email address, you can log in as usual. Once logged in, you’ll see a button to claim your Partner Permissions.


Once you’ve claimed partner permissions, you’ll be taken to the Let’s Do This homepage.

In the navigation bar at the top, you’ll see a link to your ‘Partner Dashboard’. On your Partner Dashboard, you’ll see a list of the events you’ve been granted permissions for. You can click on an event to visit the Reserved Entries page.


Troubleshooting logging into your Dashboard

You will need to login to your Let's Do This account with the email address that you wish to receive the permissions. If you want an additional claim link to grant permissions to another email address, please contact your event organiser.

If you've logged in with another email address that doesn't have permissions, you'll see this error message. You'll need to log out and log back in again with the correct email address.


Sending invitations to your participants:

Login to your Let's Do This account and visit your Partner Dashboard and click on the event.

In the left hand menu, select the Reserved Entries tab. This page allows you to see a summary of the entry grant you've been sent.

Reserved entries work using a link you can send out to participants, allowing them to enter the event themselves. This link automatically loads any discounts at checkout, and can be tied to specific ticket(s). These links are single-use.

Single-use links are tied to a specific person's email address and can only be used once, meaning only the intended person can enter. When the person follows the link you send, their first name, last name, and email address will be pre-filled in the form so they know the invitation is for them. Take care when sending out invitations that they go to the intended person.

To learn more about single-use links and what Entry Type you've been granted, click the 3-dot menu on the right-hand side to View Settings.

In the table, click the 3-dot menu on the right-hand side:

  • View entries: View, manage, and allocate your entries in a new page.

  • View settings: View the rules for your reserved entries and how they can be used.

  • Allocate: This takes you to an upload screen where you can start allocating your entries to participants.

In the 3-dot menu, click View Entries to see all of your individual entries on a new page.


Allocating entries

To send your invitations directly from the Dashboard, simply select the rows you wish to allocate using the checkboxes on the left-hand side or by selecting all using the top checkbox.

There are two ways to allocate your invitations:

  • Allocating by CSV

  • Allocating manually

Allocating by CSV

Click the Modify button, and click Allocate. A popup will appear where you can upload a CSV of participant's names and email addresses, ready to send out their invitations by email. You can also enter participants manually one by one.

💡 Note: Your CSV must include three columns exactly titled: firstName, lastName and emailAddress in order to be matched correctly.

Allocating manually

Click the Modify button, and click Allocate. Enter the participant's first name, last name, and email address to manually enter them.

Tips:

  • If uploading via CSV, save your spreadsheet as a CSV file so that it uploads correctly. We recommend uploading in batches of 10 rows at a time.

  • Make sure there are three columns for first name, last name, and email.

  • Be sure to double-check that the information you're uploading is correct. When participants follow the link to claim their entry, their first name, last name, and email address will be pre-populated into the form.

Email your Reserved entry invitation links out to your participants. You can send a test email to yourself if you'd like to see the design.


Once the emails have been sent, you'll see a confirmation screen. You can now return to your Dashboard. From here, you can view which invitations have been sent, to whom, and how many times. The status will show as 'completed' once they've registered.

You can sit back and watch the registrations coming into your Dashboard in real time. To find certain entries, you can sort by columns and search the table. The Modify button is where you can send invitations again, and continue to allocate any entries. If you have permission to cancel entries, you can do this in the Modify button.

The different statuses in the table and what they mean:

  • Not allocated: This entry hasn't yet been used.

  • Invitation sent: An invitation email has been sent at least once.

  • Completed: This person has successfully registered for the even.

  • Cancelled: This entry has been cancelled.

To export participant data, click the blue Export button on the right hand side. You'll be taken to a new page where you can download your data in either CSV or XLSX format. When you click the Export button, your download will start immediately. The whole table will be exported with all the reserved entries included, even those not yet allocated.

To convert a CSV file to an XLSX file, simply open the file in Excel and click 'Save as', choosing an Excel file format.


Re-sending an invite email

If for any reason you're participant invite email hasn't been received, you can resend it from your Dashboard.

Select the participant(s) you wish to re-send an email to using the checkboxes on the left-hand side, or use the top checkbox to select all.

Click Modify on the right hand side, then Resend confirmation email.


Help guide for your participants

When you send an invitation, your participants will receive an email, where they'll be encouraged to register to secure their place.

Their special Reserved entry link is within the button of the email. Clicking the button 'Enter now’ will take them to the ticket selection page. Only the tickets available to them will show on this page. Any discounts will be automatically applied, so they don't need to do anything.

Once they've completed the form and confirmed their entry, they'll receive a confirmation email and a receipt email.

Once your participant has registered, they can return and manage their booking via a link in their confirmation email. This allows them to view their fundraising page and any event information, and to update any details if they've changed.
