How to Track Attendance and Compliance Hours

Updated this week

TL;DR: LearnSpark automatically tracks teaching hours and student attendance as you provide lesson feedback and log activities to help you meet local requirements.

Many regions require families to prove that students are spending enough time on their schoolwork. This is often called "compliance hours" or "attendance tracking." LearnSpark makes this easy by recording these moments every time you teach.

How Hours are Tracked

Whenever you finish a Lesson or a Project session, you will provide feedback. Once you submit the feedback form with a performance rating and notes, LearnSpark records the time spent. This is automatically added to your student's attendance records.

SparkAI uses information from your scheduled lessons to calculate how long each subject took. If a lesson finishes early or runs long, you can adjust the final time in the feedback form. This keeps your records accurate for your portfolio.

💡 Good to know: You do not need a separate stopwatch! The platform uses your scheduled lesson length as its starting point, but you can always edit it when giving lesson feedback.

Logging Manual Attendance

Not all learning happens during a scheduled lesson. For reading time, sports, or household projects, you can use the Log Activity tool on your Dashboard.

  1. Go to your Dashboard and click the Log Activity button.

  2. Select the Student (or students) who participated.

  3. Choose the Activity Type (like Reading, Outdoor Time, or Excursions).

  4. Enter the Duration in hours and minutes.

  5. Click Save to add these hours to your compliance records.

Great job! By logging these real-world moments, you are building a complete picture of your student’s learning journey.

Generating Compliance Reports

To see your total hours, visit the Performance tab. You can view a breakdown of hours spent on each subject and track how your student is progressing toward their goals.

If your local authority needs a copy of these records, you can generate a Compliance Report. This tool creates a professional PDF portfolio that shows exactly what your students have finished. It’s a stress-free way to stay compliant!

⚠️ Heads up: Make sure to provide feedback after every lesson. Hours and attendance are only officially recorded once the lesson feedback form is submitted.

Frequently Asked Questions

Do I have to track hours for every subject?

This depends on your local laws. Most users track core subjects like Math and English, but SparkAI can track attendance for any subject assigned to your student’s curriculum.

Can I edit hours after a lesson is over?

Yes! You can view the student's activity log to find past entries. If you need to update the time spent, you can edit the entry to ensure your compliance report is correct.

What counts as an "Attendance Day"?

LearnSpark marks a day as an attendance day if at least one lesson, project session, or quick-log activity is recorded. Educational trips marked as a "Learning Day" in the Adventures section also count.

Does tracking hours use SparkAI credits?

Entering data does not use credits, but SparkAI uses credits to process and organize that information to personalize your LearnSpark experience. This includes generating Compliance Reports.

Where can I see my total hours?

You can see all tracked hours and attendance data by visiting the Performance tab. This section helps you compare the student's current levels against what is expected for their age.
