What validation errors can you encounter in reviews and how fix them?

When creating your review, we go through a number of checks, also called validations, to ensure that all settings are correct and you can collect the desired data.

The system immediately indicates if there are any problems, suggestions for improvement or positive advice. Below is an overview of validation errors you may encounter and how to fix them.

1. Theme does not pass validation

This error means that a specific theme in your review cannot be included in the calculation of an average final score. This can have several causes:

  • No score question has been added: No quantitative data can be collected within this theme without a score question.

    • ​Solution: Add at least one score question to the relevant theme in the template.

  • The theme does not contain questions based on your default rating scale: If the questions within a theme do not use the set rating scale, the answers cannot be processed consistently for a final score.

    • ​Solution: Ensure that all scoring questions within the theme use the correct rating scale set for your organisation. Adjust the questions in the template if necessary.

  • Providing a score is not mandatory: If answers to questions within a theme are optional, not all employees may answer, which may affect the calculation of an average score.

    • Solution: Consider making answers to relevant questions within the theme mandatory in the template, so you collect data from everyone.

  • No coach input is requested when it should be: If the review is set up to collect coach input within a theme, but no questions asking for it are included, this validation error will appear.

    • Solution: Add a question toe aan het thema die specifiek gericht is op de input van de coach.

2. An employee has no job profile

If you have included questions in the template that evaluate job-specific elements, such as skills, KPIs or core values, this error message may appear when an employee in the review cycle is not yet linked to a job profile. Without a job profile, there is no context for reviewing these specific elements.

  • Solution: In step 2 of cycle creation, you can directly link the relevant employee to the appropriate job profile.

3. An employee has an invalid job profile

This error message occurs when a job profile associated with an employee contains problems that prevent the review of job-specific components. This can manifest itself in the following situations:

  • A skill category contains no skills: The job profile has a category for skills, but no specific skills have been added to this category.

  • There is a skill in the job profile without behavioural examples: A skill is included in the job profile, but no concrete behavioural examples are linked to support the review.

In both cases, there is no context to review the skills in question.

  • Solution: Edit the relevant job profile in the job description and ensure that each skill category contains the relevant skills and that each skill is provided with concrete behavioural examples.

4. Employee does not have a coach, but coach-input is required

If you have indicated that you want to collect coach input in the review, but a specific employee in the cycle is not linked to a coach in the system, you will get this message. Without an assigned coach, no input can be requested from that person.

  • Solution: Assign the relevant employee to the right team within the system, with the corresponding coach set up. You can usually do this in the steps of creating the review cycle.

By understanding these validation errors and applying the corresponding solutions, you can ensure a smooth evaluation process and make sure you collect all the necessary data.
