How to optimise and clean up the review module in Learned 3.0

This article is relevant for companies that had a Learned company account before November 2024 and want to clean up this account.

In the latest version of Learned, you can set up your review module smarter and more efficiently. In this article, you will learn how to clean up your old templates and make optimal use of the new jobs around themes and weighted performance scores.

What has changed in Learned 3.0?

  • Previously, we worked only with templates (forms consisting of questions).

  • Now we work with templates as well as themes: each question is linked to a specific theme.

  • Old questions are automatically linked to a default theme ‘Other’.

❗️: To create proper reports, it is essential that questions are linked to relevant themes. Otherwise, your reports will be limited to one general variable (‘Other’).

Why is it important to link questions to themes?

  • More insights: Linking questions to specific themes gives you deeper insights into employee performance and development.

  • Weighted average performance score: Learned 3.0 can automatically calculate a weighted average score per employee, visible in the review report. You decide which themes are included in the final score.


Step-by-step plan: Cleaning up templates

Follow these steps to clean up your reviews module:

  1. Go to the Reviews module and click on ‘Templates’.

  2. Critically review whether the existing templates are still relevant.

  3. Remove templates you no longer need.

We have added some example templates, such as the ‘Entire Norm review’. You can import a sample template into your account by navigating to the ‘Templates’ tab in the Reviews module and clicking the ‘Import templates’ button.

💡: By using Learned's default template, the corresponding themes are automatically imported. This simplifies cleaning up ‘Other’/‘Other’.


Roadmap: Clean up themes

  1. Go to the ‘Themes’ tab in the Reviews module.

  2. Click on the ‘Other’ theme.

  3. Look for questions that are not linked to a template.

  4. Use multiselect to remove unnecessary questions

  5. Assign the questions you want to keep to another theme:

    • Click on a question to edit it.

    • Link the question to the correct theme.

  6. In edit mode, you also check the settings per question:

❗️: Do you want to use the weighted average weighted rating and advanced reporting?

Then make sure:

  • The question has a score or skill/KPI from job profile as answer type.

  • The question contains coach input.

  • The question is answered with your default rating scale.

When using a custom rating scale per question, scores are recorded but do not contribute to the average performance score.
