Review themes in Learned

Conducting reviews and conversations is an important part of any performance management cycle. The basis of reviews consists of several questions. Within Learned, you capture these questions in an review theme. A number of review themes, including a number of questions per theme, are available from Learned. The themes that Learned makes available are:

  1. Behavior and knowledge

  2. Results and KPI's

  3. Learning ability

  4. Cultural fit

  5. Professional work ethic

Of course, it is also possible to add your own themes and questions that you want to use during your reviews. In this article we will show you how to create an review theme.

Creating a new review theme

In addition to having themes already defined in Learned, you also have the option to add a theme of your own. When you go to Reviews > Themes, you first see an overview page with all the themes. Using the 'Create New' button, you can create a new theme yourself.

When you want to add your own theme, you will enter a focus mode. Here you can fully focus on creating a theme.

At step 1 you give the theme a name, an icon + color and a description. When you create a theme, you immediately have an autosave and the theme you started with will return to the overview page with the different themes.

You can save a new theme as a draft or publish it. Once published, you can start adding the theme to a review template. If you save the theme as a draft, you will also see it on the overview page of all themes. This theme will then have a concept label.

Setting multiple languages for a review theme

Within the reviews module you have the option to send out the questions from a theme not only in Dutch or English, but you can also choose one of the other 22 languages. For example, if you have employees whose native language is not Dutch or English, you can choose to send the questions to them in another language.

πŸ’‘ For example: Suppose you also create translations of the questions in Portuguese, and an employee has set this as his preferred language in his personal profile. Then the review preparation questions for this employee will appear in Portuguese. If someone has chosen a preferred language that is not available, then the standard language of the organization will be looked at. This is then also the language in which the questions will be displayed to the employee.

❗️Let note: You will have to add the translation for the chosen language yourself.

Adding questions to a theme.

In step two of creating a theme, you will then add the questions. You can add as many questions to the theme as you want.

πŸ’‘ Want to move questions from one theme to another theme? Then open the question and select the theme you want to move it to. Then click on Save. Your question will be moved.

Question types for a review theme

When adding questions to a theme, you have a number of different question types to choose from.

General questions

  • Text field: To add an open-ended question to the theme.

  • Score: For this question, the default rating scale is automatically loaded from the Performance product settings. You can customize this scale on a question-by-question basis.

Skill related questions

1. Skill and KPI from job profile': This includes all categories from the employee's role profile. Here you still need to select one of the skill categories:

  • Interpersoonal skills

  • IT skills

  • KPI's

  • Professional skills

2. Custom skills: This question allows you to evaluate on custom skills. This gives you the opportunity to add some generic skills to a round of conversation where all participants are evaluated the same way.

By selecting one of the skill categories as a question type, it becomes possible to evaluate on an employee's skills associated with his or her job.

πŸ’‘ Only those employees who have skills in the relevant category will receive a question to evaluate these skills. Thus, the amount of questions varies from person to person and depends on the number of skills in the relevant category of the job profile.

❗️ Note: If one is linked to multiple jobs, only the skills of the primary job are included in the questionnaire. Do you want the skills of the secondary job to be evaluated as well? Then when creating the employee's review round, make sure you select both jobs to evaluate. Click on the job, a pop-up will appear where you can also select the secondary role.

Schedule goals

The functionality for planning new goals involves asking the employee to add goals when completing the form. For example, you can ask an employee to start thinking about goals for the upcoming period, and then work them out.

πŸ’‘ Planning goals is not a mandatory question. If an employee or coach has not yet come up with a concrete goal in preparation for the interview, it can always be added during the interview itself.

Per question you have the possibility to determine the settings. For example, you can set who the question is sent to (co-worker, peers, coach). You can also allow or require comments. You also have the possibility to indicate whether employees have the option to skip the question by adding a 'not applicable' button. If you want to change the default rating scale for this question, you do this in the settings as well.

❗️Note: When the rating scale differs from the default rating scale, the scores on these questions will not be displayed in the advanced reports.

Preview questions

When you have added questions to the theme and are curious how the question looks to the employee, you can click on a question in the theme. A pop-up window will open with the preview of the question.

In the preview, you will not only see what the question looks like for the employee, but you will also see what the answer type is, to which theme this question has been added and who should answer the question.

Also from adding a new question, you have the option to see a preview of the question. This way, you immediately know what it will look like for the employee.

Edit theme

You can also edit existing themes if, for example, you want to add an additional language, or if you want to add or remove a question from the theme. Just click on the theme and then click 'Edit' in the upper right corner. You can also click on the 3 bullets to the right of the theme in the theme overview to edit.

❗️Note: When you modify existing questions in a theme, these changes are reflected in the templates the question is part of. When you add a new question to a theme, it is not automatically added to the templates. So you will have to add it manually.
