Working with Multi-Factor Authentication

What is Multi-Factor Authentication?

In addition to being able to log in to Learned with your email address and password, or for example with 1 of the options for Single Sign-on, you can also protect your Learned account with Multi-Factor Authentication (MFA). This 2-step verification ensures that when you log in to Learned, you will receive a 6-digit code sent to an application on your phone, which you must then enter on the Learned login screen. Since this 6-digit number is only valid for a certain period of time and is also uniquely sent to your phone, MFA offers an extra secure way of logging in.

How do you set up Multi-Factor Authentication?

There are 2 ways to activate MFA in your Learned account:

  1. The MFA can be made mandatory for you and all your colleagues by the Admin of the account.

  2. You can activate the MFA yourself in the personal settings of your account.

Setting up a mandatory MFA login as Admin

As an Admin, do you want to make the use of MFA mandatory for all employees within the organisation? Then go via your profile picture (bottom left) to Company settings. Then scroll down to Multi-factor authentication. Note: after you activate this option, all your colleagues are required to log in via MFA. It is therefore important to inform your colleagues in advance about this new way of logging in.

Set the MFA yourself in your personal settings

If the Admin has not made the use of the MFA mandatory, but you do want to use it, you can always activate this option yourself in the personal settings of your account. To do this, click on your profile picture at the bottom left of the screen and go to Settings. Note: As soon as you click this option, the MFA is immediately active.

Logging in with Multi-Factor Authentication

After the Admin has selected the option for MFA, you must configure the MFA on your phone the next time you log in to Learned. If you activate the MFA yourself, you will be asked in a popup whether you want to do this immediately by logging in again, or whether you want to do this the next time you log in.

We recommend that you log out immediately and configure the MFA. You will arrive at the Learned login screen and you will see that when you try to log in you will arrive at the following screen:

The idea is that you scan the QR code with a so-called Authenticator app on your phone. The most commonly used apps are from Google and Microsoft, and these are both available on iOS and Android:

After you have scanned the QR code on the app on your phone, you will see a temporary and unique 6-digit code. You must enter this on the login screen in Learned. You are then successfully logged in.

How do you deactivate Multi-Factor Authentication?

Have you (perhaps accidentally) activated the MFA in your own account and would you rather not use it? Then follow the steps from the previous section once to configure and log in with MFA. After you have logged in you can go to the personal settings of your account to deactivate the MFA again. Note: if the MFA has been set by the Admin as a mandatory login method, you cannot deactivate this option yourself.

How does the Admin deactivate the MFA for you?

If you have activated MFA and cannot log in, Admin can always reset your MFA. Admin can go to Members via the profile picture at the bottom left. Admin clicks the button with the 3 dots on the right of the screen next to your name to reset the MFA.

โ—๏ธNote: Resetting your MFA allows you to set up MFA again. It does not mean that MFA is disabled for your account. Do you want to deactivate your MFA? Then log in once with MFA, go to your personal settings via your profile picture and deactivate MFA.
