How to Bulk Edit Contract Attributes for Signed Contracts

This article explains how to bulk edit information of signed contracts under the [Basic information] and [Attributes] tabs.


Getting started

The following fields in [Basic information] and [Attributes] for signed contracts can be edited in bulk using an Excel file (.xlsx format).

(*1) This applies only to contracts where the renewal status is set to "Disabled" or "Terminated".

(*2) You can set up to 50 users and user groups in total per contract (including members in each user group).

Bulk edit contract attributes

1. Go to [Vault Repository] and click the [Signed] tab.

2. On the right side of the screen, select [...][Bulk edit executed contracts]

3. Click [Export]

4. After the export is complete, open the automated email you receive and click the link inside.

Subject: [LegalOn] Ready for download: Executed Contract List

5. Edit the following fields in the downloaded Excel file (.xlsx format).

For details on each field, please refer to “Edit Basic Information of Signed Contracts” and “Edit Attributes of a Signed Contract.”

Enter the value(s) for the internal party’s custom fields.

(*1) To check which users can be set as Assignees, refer to Edit attributes of a Signed contract.

(*2) Always include a currency symbol (¥ / $ / €) before the number. You can enter values in the following formats:

  • Numbers only (Example: $100000)

  • [Number] + [comma] (Example: $100,000)

  • [Number] + [comma] + [decimal point] (Example: $100,000.00)

(*3) Multiple date formats can be used.

Examples:

  • 9/15/2025

  • 09/15/2025

  • September 15, 2025

  • 2025/09/15

(*4) Enter the value followed by the time unit, using the format "[Number] [Unit (day/week/month/year)]." Multiple date formats can be used.

Examples:

  • 1 year

  • 1 month

  • 1 week

  • 10 days

(*5) Deleting the URL column will cause upload errors.

💡Info:

  • Change the workspaces from the Contract details screen or list view.

  • Maximum length for ID: 50 characters.

  • Maximum length for Contract title: 150 characters.

  • Maximum length for Internal party or Counterparty: 255 characters per company. To enter multiple names, separate them with a double semicolon (;;).

  • Maximum digit limit for Transaction amount: 14 digits. Maximum limit for decimals: 2 digits.

  • Maximum length for each custom field: 300 characters.

  • To leave a field unchanged, keep the column intact. Deleting cell text instead of columns may cause errors.

6. Upload the edited Excel file (.XLSX format) and click [Bulk edit].

Once the bulk edit is complete, you'll receive an email.

Click “Check the list of executed contracts” to open the list screen with your edits applied.

Subject: [LegalOn] Bulk editing of attributes has completed.

⚠️ Notes:

  • Character encoding supports UTF-8.

  • You can export up to 100,000 contract records at once. The maximum number of attributes that can be set in one operation is 100,000.

💡 Info:

You can restore contract information within 14 days of receiving the “Export process for executed contract list has been completed” email. For details, refer to ”How to Restore Executed Contract Attributes.”


Stop bulk edit

You can stop the bulk editing process during import by following the steps below:

1. Check the alert banner displayed at the [Signed] tab, and click [Stop].

2. Check the confirmation message and click [Stop].

💡 Info:

  • Once stopped, the import cannot be resumed.
