This article explains how to manage contracts marked as “Auto-renewal: No” in LegalOn.
Requirements
Module: Contract Management
Eligible users: All users in a contracted tenant
Access rights (to edit contract information):
Administrator
Editor
Contributor
Viewer
Only administrators and editors can manage contract end deadlines.
Check Contract Status
Contract status can be viewed under [Contract information] → [Basic information] → [Contract period] → [Contract status].
Status updates automatically based on entered dates and periods.
Status | Description |
Active | Displayed when the [Expiration date] has not yet passed, or if the field is left blank. |
Inactive | Displayed when the [Expiration date] has passed. |
Manage Contract End Deadlines
1. Set Auto-Renewal to “No”
When uploading a contract, LegalOn automatically detects whether auto-renewal is enabled.
If detected incorrectly, manually set [Auto-renewal] = No from the [Basic information] tab.
2. Enter Contract Period Information
Enter the following three items and click the [Save] button:
Signing date
Effective date
Contract term (or Expiration date) (*)
(*) If either [Contract term] or [Expiration date] is entered, the other is automatically calculated and cannot be edited manually.
3. Identify Contracts Nearing Expiration
Option 1: Receive a notification email on the 1st of each month when contracts are approaching their end date. See [How to set up contract deadline notifications].
Option 2: Sort the [Executed contracts] list by [Expiration date] to display contracts in order of upcoming expirations. See [Find contracts nearing their end dates].
Extending or Terminating Contracts Early
If you agree with the counterparty to extend or shorten the contract end date (via email, addendum, etc.), update the [Expiration date] field with the agreed date.
To record the reason or background:
Add details in the [Special provisions] field.
