[New] How to set up contract deadline notifications

This article explains how to configure the deadline notification feature in LegalOn.


Requirements

  • Module: Contract Management

  • Eligible users: All users in a contracted tenant

  • Access rights:

    • Administrator

    • Editor

    • Contributor

    • Viewer


What Is the Deadline Notification Feature?

The deadline notification feature sends email alerts when contracts approach their expiration date or non-renewal notice deadline, based on periods or days you set.

There are two types of notifications:

  • Contracts you can view

    • On the 1st of each month, you’ll receive an email listing contracts you have viewing rights for that will reach their non-renewal notice deadline or expiration date within the set period (default: 2 months).

    • Useful for administrators or managers to monitor contracts and coordinate actions with assignee.

  • Contracts you own

    • You’ll receive an email when contracts where you are the assignee will reach their non-renewal notice deadline or expiration date a set number of days later (default: 60 days).

    • Useful for contract assignee to confirm details and plan necessary actions.

By default, notifications are ON for all users. To turn them off, see [Notification Settings].

(*1) The timing of deadline notifications reflects the time zone set in [User Settings]. Therefore, depending on the set time zone, the notification time may occur after 8:00 AM (PST). If the time zone cannot be obtained due to temporary communication errors, PST (Pacific Standard Time) will be used as the baseline. For details on time zones, refer to [Edit Profile - Change Time Zone].
(*2) No notification if no contracts match.
(*3) Default = 2 months. See [Change Notification Timing].
(*4) Default = 60 days. See [Change Notification Timing].
You can also set notification timing individually for each contract.


Email Example

  • [Show all] in the email links to the contract list in LegalOn.

  • Contracts included are those with:

    • Auto-renewal = Yes: non-renewal notice deadline within the set period.

    • Auto-renewal = No: expiration date within the set period.


Notification Settings

  1. In the global header, click your user icon → [User settings].

  2. Under [Contract Management] → [Notification], select notification type.

  3. Use the checkboxes for [Viewable contracts] or [Contracts assigned to me] to toggle ON/OFF, then click [Save].

    • Default = ON.

A message “Notification settings updated” will confirm the change.


If Notifications Don’t Arrive

Cause

Solution

No target contracts

No email is sent. Sort contracts by expiration date or non-renewal notice deadline to confirm.

User deactivated

Ask your IT administrator to reactivate the user.

Notifications set to OFF

Change settings to ON.

Sent to spam

Mark LegalOn emails as safe in your email client.

Contract status incorrect

If auto-renewal = Yes: set [Auto-renewal status] to [Enabled].

If auto-renewal = No: update [Expiration date] with the correct date.

No access rights

Ask your IT administrator for access to the contract or storage location.
