[New] Connect DocuSign with LegalOn

This article explains how to integrate DocuSign with LegalOn and outlines the details of the integration.


About the Integration

By integrating DocuSign with LegalOn, contracts completed in DocuSign are automatically imported into LegalOn.

  • Imports run every hour (delays may occur).

  • During import, files are automatically save as:

    • File type: Contract with Status: Executed


DocuSign Terms

  • Account: A DocuSign account used for eSignature contracts.

  • Envelope: An electronic “container” that holds documents, signers, and related data.


Requirements

  • Module: Contract Management

  • Eligible users: All users in a contracted tenant

  • Administrator role: Module administrator

  • DocuSign requirements:

    • Plan: Enhanced (Advanced Solutions, including eSignature Enterprise Pro Edition) or Business Pro

    • User role: DS Admin in the default account


How to Integrate with DocuSign

  1. Module administrator: open [E-signature integration] → [+ Add].

  2. Enter the following information, then click [Add]:

Field

Description

Import setting name (required)

Name for this setting.

Destination (required)

Storage location for automatically imported contracts.

Import start date

Date from which executed contracts will be imported. Past contracts will be included if left blank.

Completion certificate (*2)

Choose [Import] to automatically include completion certificates issued by DocuSign.

(*1) Import setting name and destination can be edited later.
(*2) Imported certificates are saved as related files.

3. Click [Authenticate with DocuSign].

4. Log in on the redirected DocuSign page. If the login page does not appear, log out of LegalOn and retry.

5. Review LegalOn’s privacy policy and terms of use, then click [Allow access].

6. Confirm status shows Authenticated, then click [Add].

A message “Import setting added” confirms the integration. Contracts will import within one hour.

⚠️ Notes

  • Only one setting per service is allowed. Delete existing settings before re-adding.

  • Integration may pause if upload limits are reached. Clear space, then resume via [Pause/Resume Integration].


Imported / Excluded Contracts

Imported

  • Contracts sent/received by the linked user and completed in DocuSign

  • Contracts sent by users in the same account as the linked user

Not imported

  • Contracts received by non-linked users

  • Already imported contracts (cannot be re-imported, even if deleted in LegalOn)

When multiple contracts are completed in one DocuSign envelope, each is imported individually into LegalOn.

Contract Information Notes

  • DocuSign Final contract date → LegalOn [Signing date]

  • DocuSign File name → LegalOn [File name]

  • [File uploader] is always DocuSign User

  • Other details are auto-extracted in LegalOn (accuracy not 100%).

  • Editing contract info in one system does not sync to the other.

  • Already imported contracts are not duplicated after re-setup.

  • If DocuSign uses a timezone other than JST (UTC+9), LegalOn converts contract dates to JST.

About the Integration

Q. Can I integrate even if SSO is enabled in DocuSign?
A. Yes, integration works with SSO enabled.

Q. Can users with a custom role (configured in permission profiles) integrate?
A. No. Only users with DS Admin role can integrate.

Q. What happens if I revoke LegalOn’s authorization in DocuSign?
A. Integration becomes invalid. To re-enable, either:

  • Resume integration if status is [Integration error], or

  • Delete the integration setting and reconfigure it following the [Integrate with DocuSign] steps.

Q. Can I integrate multiple DocuSign accounts?
A. No, only one account can be linked at a time. You can switch accounts by updating the integration user. See [Change Integration Settings – Change Linked User].

Q. If I change the default account in DocuSign, does the LegalOn integration user also change automatically?
A. No. Changing the default account in DocuSign does not update the LegalOn integration user. Please update it manually via [Change Integration Settings – Change Linked User].

Q. How can I cancel the DocuSign login during setup?
A. Use your browser’s Back button, or return to the LegalOn [E-signature integration] page.

Q. Why did the integration status automatically change to “Paused”?
A. Integration is paused when the upload limit for executed contracts is reached. Free up capacity, then resume via [Pause/Resume Integration].


About Contract Imports

Q. Is there a limit on the number of contracts imported at once?
A. No limit.

Q. Can I import contracts signed using DocuSign’s “Shared envelope” feature?
A. Not supported.

Q. Can I import contracts signed using DocuSign’s “Shared access” feature?
A. Yes, if the contract was sent by a user in the same account as the integration user.

Q. Can I import contracts where envelope ownership was transferred?
A. Yes, but treatment depends on the original recipient. For example, if a DS Sender user receives an envelope that is later forwarded to the integration user, it is not eligible for import.

Q. Why are there fewer contracts in LegalOn than in DocuSign?
A. Some contracts may be ineligible for import. See [Eligible/Ineligible Contracts].

Q. Why are there more contracts in LegalOn than in DocuSign?
A. When multiple contracts are included in one DocuSign envelope, LegalOn imports them individually. For example, five contracts in one envelope will appear as five executed contracts in LegalOn.

Q. What happens when I change the integration user in LegalOn?
A. Imports follow the eligibility rules. If a previously linked user is reconnected, only contracts completed after the previous unlink date are imported.

Q. Why was a contract imported even though the linked user didn’t sign it?
A. Contracts sent by other users in the same account as the linked user are also imported.


About Contract Information

Q. If DocuSign uses a timezone other than PST (UTC-8), how is the contract date reflected in LegalOn?
A. LegalOn converts the date to PST (UTC-8).


About Completion Certificates

Q. Can I import completion certificates for contracts signed in the past?
A. No. Certificates for past contracts cannot be imported retroactively.
