How to manage billing and licenses in Lexful

This article explains how Lexful licensing works, how to manage your license count, and what each license status means.

TL;DR: After reading this, you'll be able to open your billing portal, add or remove licenses, understand what each license status (Enabled, Read-Only, Pending Release, Disabled) means, and fix an over-licensed account.


How Licensing Works

Lexful licenses are managed per organization within your account. Each active organization consumes one license. Your subscription has a set number of licenses, and you can view and manage your usage at any time.

  • A tiered pricing model is planned for a future release.

📝 Note: Pricing and available tiers change over time and can vary by contract. For specific pricing questions, contact your Account Executive.

Opening Your Billing Portal

  • Go to Account. Open the Account menu from within the app.

  • Select Billing, then Open Billing. This takes you to your Chargebee billing portal.

  • Log in. You'll be prompted for a one-time passcode (OTP) sent to the account's billing email.

📝 Note: Only the original account admin - the person whose email was used when the subscription was first created - can currently log in to the billing portal. If you're not sure who that is, contact Lexful support and we can help identify the account owner.

💡 Tip: A future update will introduce dedicated billing admin roles, so any authorized user with billing management permission can access billing without needing the original admin's credentials.

Adding or Removing Licenses

Once you're in the billing portal, you can adjust your license quantity directly.

  • Open your subscription details in the billing portal.

  • Increase or decrease your license count using the quantity control.

  • Confirm the change.

⚠️ Warning: Increasing your license count takes effect immediately and is billed pro-rated for the entire current billing period - even if you only need the extra licenses for a few minutes. Plan license increases accordingly.

📝 Note: Decreasing your license count does not take effect right away. Your current license count (and cost) stays active until the end of your current billing period, then drops at renewal.

Understanding License Statuses

Every organization under your account has one of four license statuses:

Enabled - The organization is active and counts against your license total. Full functionality is available. An organization with an Enabled license can be set to switch to Read-Only at the end of the current billing period.

Disabled — The default status for every newly created organization, regardless of how it's created (manually via UI/MCP/API, migration, or integration). License controls never block org creation itself. Organizations with a disabled license can not be edited, you can’t create or edit assets, MCP and API and AI access are disabled, and you can not set up integrations for disabled organizations.

  • Manually created orgs: must be switched to Enabled by a user before assets can be added. There is no automatic transition.

  • Migration- or integration-created orgs: automatically switch to Read-Only the first time a sync creates or updates an asset in that org. This transition is system-triggered only — a user cannot manually move an organization from Disabled to Read-Only.

Pending Release - An organization that was Enabled and has been marked for release. It stays fully active and still counts against your license total for the rest of the current billing period. At the start of the next billing period, it automatically moves to Read-Only. If you have enough licenses you can set an organization with a Pending Release license back to Enabled at any time.

Read-Only — An inactive organization that no longer counts against your license total. Data remains stored and searchable, but:

  • You can't create or edit assets manually.

  • AI features are unavailable for that organization.

  • MCP and API access are disabled.

  • Existing integrations already connected to the organization continue to sync data in — each sync simply keeps the org in Read-Only (it does not change state further).

  • If you have enough licenses you can set an organization with a Read-Only license to Enabled at any time.

To change an Organization's current license status:

  • Click "Organizations" from the left navigation menu

  • Check the box next to the Organzation(s)

  • At the bottom, click "Manage License"

  • Select desired license status

Resolving an Over-Licensed Account

If you have more Enabled plus Pending Release organizations than licenses you've purchased, your account is over-licensed. You'll see a warning in the app once your Enabled plus Pending Release count exceeds your license total.

What this affects:

While over-licensed, you can't enable a Disabled or Read-Only organization, and you can't move a Pending Release organization back to Enabled — even temporarily.

How to fix it:

  • Add licenses to your subscription. This resolves the issue immediately, but bills you for the full current billing period.

  • Wait for the billing period to end. Any organizations already set to Pending Release will automatically move to Read-Only, freeing up licenses.

  • Set additional organizations to Pending Release. Combine this with option 2 if you need to free up more licenses than you currently have marked.

💡 Tip: If you need to temporarily re-enable an organization while over-licensed, you can add licenses just long enough to make the change, then reduce your count again. Keep in mind any added licenses are billed for the full billing period, even if removed shortly after.

📝 Note: During a trial, you can see the impact licensing will have on your organizations, but no restrictions are enforced yet.
