This is because your app and ListDefender analyze and report data differently. Below, we’ll address common questions and concerns related to data discrepancies, reporting, and email validation.
Why Don’t My CRM and ListDefender Numbers Match?
Keap/GHL and ListDefender evaluate different types of data, making it unlikely that the reported numbers will be identical. Here’s why:
Form Submissions vs. Touch Points:
ListDefender starts validating data as it is entered into a form, even before submission.
Keap only records fully submitted forms.
ListDefender’s dashboard may say “submitted,” but this doesn’t necessarily mean a form was fully submitted. We are working to make this clearer in future updates.
Instead of looking at form submissions, check the “Touch Points” in ListDefender, which represent how many times data was validated.
Keap Automation Reporting vs. Report Tab:
Reports generated within Keap’s automation feature differ from those pulled through the Reports tab.
To get precise numbers, use the tag application report, which shows when and to whom a specific tag was applied during the time period in question.

Investigating Undesirable Emails
If you suspect that some undesirable emails are passing through ListDefender’s validation, the best way to investigate is by recording and sharing examples. We recommend:
Recording a walkthrough using a tool like Loom to demonstrate the issue.
Providing specific email addresses that you believe should not have passed validation.
ListDefender applies multiple checks, including:
Email server verification
Browser and client activity analysis to detect bot submissions
While no system can guarantee 100% accuracy, our team continuously improves validation processes based on user feedback.
Understanding Contact Counts and Email Discrepancies
Some users have noticed differences between the contact numbers reported in Keap/GHL versus ListDefender. Here’s why:
ListDefender’s Contacts Page Only Includes Emails:
If a contact in Keap/GHL does not have an email, it won’t appear in ListDefender.
This could explain why Keap/GHL shows a higher contact count.
Keap’s/GHL Internal Data Handling:
ListDefender receives data exactly as it is sent by Keap/GHL.
We don’t control how Keap/GHL stores or presents data in their application.

What Happens to Numeric Email Addresses?
Some users have flagged email addresses that consist solely of numbers (e.g., 27824107356@vodamail.co.za). These addresses can be legitimate, as certain phone carriers generate email addresses based on phone numbers. ListDefender evaluates these emails just like any other, ensuring they pass necessary verification checks.
