Bulk Send an SMS Notification 💬

Send SMS notifications to many contacts at once by enabling messaging and using bulk update tools in CRM.

Sending SMS notifications in bulk lets you quickly reach many customers at once — whether you're reminding them about upcoming visits, notifying them of a reschedule, or giving advance warning before a weather event.

This article walks you through enabling SMS for your contacts and sending messages from each area of LMN where a bulk send is available.

Compose Message

Before You Begin

Before you can text your customers, SMS messaging must be enabled and verified for your account.

  • Confirm that SMS messaging is enabled and verified for your account, along with any opt-in requirements, before sending. See Sending SMS Notifications with LMN: A Guide for the full setup and verification steps.

  • You'll need security admin permission to create or edit SMS templates. See Managing Users & Staff if you need this permission granted.

Contacts need to be opted in at two levels before they'll show up in a send:

  1. Turn on "Send SMS To" for the contact (see Enable SMS for your contacts below).

  2. Set that same contact as the SMS Notification Contact on the relevant jobsite (CRM > Contacts > Jobsites tab > SMS Notification Contact).

Skipping step 2 is the most common cause of a contact showing as missing, or a lower count than expected (for example, 2 of 9 contacts), in the send window — and it currently has to be done one jobsite at a time.

⚠️ The bulk Update SMS Settings tool automatically completes step 2 for jobsites the contact is already linked to, so this mainly matters for contacts or jobsites added afterward.


Enable SMS for Contacts

You can update SMS settings for many contacts at once, for a single contact, or complete the jobsite-level step described above.

  1. Click CRM in the left menu, then select Contacts

  2. Select one or more contacts using the checkboxes to the left of each contact

  3. Click the Actions button, then from the dropdown, select Update SMS Settings

  4. Click the Update To dropdown and choose one of the three available options:

    • Completely disable text message sending to the selected contacts.

    • Enable text messaging to selected contacts using Phone 1.

    • Enable text messaging to selected contacts using Phone 2.

  5. Click OK, then click Yes to confirm.

  1. Under the Contacts tab, click the contact's name.

  2. Change the SMS preference for that contact.

Enable the SMS Notification Contact at the Jobsite Level

This step lives outside the SMS plan and template screens, so it's easy to miss — but messages will not go out to a jobsite's contacts without it.

  1. Go to CRM > Contacts and open the customer

  2. Click the Jobsites tab

  3. Open the jobsite tied to the visit you want to text about

  4. Under SMS Notification Contact, select the contact(s) who should receive messages for that jobsite

  5. Save your changes


Choose a Send Method

There are five areas of LMN from which you can generate a bulk SMS send. Use the table below to choose the best one for your situation.

Send method

Best used for

Reminding all customers about a crew's upcoming visits, or notifying them of a reschedule or postponement.

Sending reminders or notices to all visits associated with a specific service.

Messaging a group of customers whose visits won't be scheduled by your team (for example, snow customers ahead of a weather event).

Sending follow-up messages to customers who received visits earlier that day.

Sending a one-off message to a customer while updating their job.

Send from the Whiteboard

  1. Navigate to Schedule > Whiteboard

  2. Select the crew or group of crews, then select the date they have jobs scheduled.

  3. Click Whiteboard Actions, then click Select All Visits.

  4. At the top of your screen, click Send SMS.

  5. Confirm the contacts LMN automatically selected from those jobs, then compose your message (see Compose your message below).

Send While Shifting Dates

When you select Whiteboard visits and click Reschedule, the modal that opens includes a Notify clients about change with SMS toggle. If you leave this toggle on and click Update, the SMS composition modal opens with the affected visits' contacts already set as the message recipients.

Send from the Schedule Review Page

Use this method to send reminders or notices to all visits associated with a specific service.

  1. Click the Schedule tool in the left menu, then select Schedule Review.

  2. Select the date range, then select the service you want to send reminders for (for example, a Fertilization Service scheduled within a specific date range).

  3. Select one or more jobs to send a reminder about.

  4. Click Send SMS, then compose your message.


Send from the Job List

Use this method to message a group of customers whose visits won't be scheduled by your team, such as snow customers ahead of a weather event.

  1. Click Jobs in the main left menu, then select Job List.

  2. Select the job you’d like to send the SMS messages to..

  3. Select one or more jobs, then click Update Jobs and select Send SMS.

Send from the Daily Timesheet Review

  1. Click Timesheets in the main left menu, then select Daily Review

  2. Select the jobs you’d like to send a SMS message to

  3. Click on Send SMS to send out your SMS messages

Send from an Individual Job

While viewing a single job, open the Action menu and select Send SMS to begin composing a message that will be sent to that job's contact.

Check Send Status

To review the status of a bulk send:

  1. Click Settings, then select SMS Notification.

  2. Click View History.

  • If you see a Failure status, hover over the status icon for a tooltip explaining what went wrong. Common causes include invalid, unreachable, or landline numbers.

  • Successful messages are also added automatically to each customer's Communication History, so you can confirm a specific message reached a specific customer.
