Before you begin
Visit Reminder Automation helps reduce the time your office staff spend sending reminders from the Whiteboard, Schedule Review, or Job List. Once it is set up, LMN sends reminders on the schedule you choose and records automated messages in SMS history as sent by System.
Steps to get started with Visit Reminder Automation
Step 1: Confirm your account is ready
Before you can use Visit Reminder Automation, your account must have a Verified SMS and the feature must be enabled for your account.
If SMS is not set up yet:
In LMN, go to Settings > Client Communications > SMS Notifications
Select Set Up and complete the SMS setup process.
When your account is ready, the Visit Reminders option appears under the Jobs section of Message Templates & Automations
Step 2: Create your visit reminder message
Go to Settings > Client Communications > Message Templates & Automations
Under Jobs, open Visit Reminders
Edit the default text message
Use the + Insert Variable options to personalize the message, then Preview it before saving
Click Save changes
Your message can be up to 250 characters long. There is one default visit reminder message for the entire account.
Step 3: Turn on automation
From the Visit Reminders section, turn Automation ON
The toggle saves immediately. You do not need to click Save changes again.
⚠️ Automation is off by default. Turning it on starts sending reminders for the next visits that match your reminder settings.
Step 4: Customize your reminder schedule
The default schedule sends one text message one day before the visit at 8:00 AM, based on your account time zone.
To change the schedule:
On the Visit Reminders section, click the Customize button
Choose how many days before the visit the reminder should be sent.
Choose the time the reminder should be sent
Add up to two additional reminders, if needed
💡You can schedule up to three reminders per visit, between 1 and 30 days before the visit. Send times must be between 6:00 AM and 8:00 PM.
Save your changes
Step 5: Turn off reminders for an individual job
Account-level automation is ON by default for jobs. If a specific job should not receive automated visit reminders:
Open the Job
Go to Schedule > Scheduled Visits
Click the Details button
Turn OFF Send Automated Reminders
💡 This setting prevents automated reminders for every visit on that job. The option appears only when account-level Visit Reminder Automation is turned on.
What Happens When Automation is Turned On?
Recurring jobs receive a reminder for each scheduled visit.
A one-time job that spans multiple days receives a reminder for the first scheduled day only.
Rescheduled visits use the new visit date.
Cancelled visits do not send reminders.
Automated messages appear in SMS history with Sent by: System.
If a jobsite does not have a linked contact, LMN uses the lead's primary contact.
A visit is skipped when the contact does not have an eligible phone number or SMS opt-in.
Manual SMS messages from the Whiteboard, Schedule Review, and Job List continue to work.
⚠️ Visit Reminder Automation does not replace one-time or bulk SMS messages.
Frequently Asked Questions
Who can use Visit Reminder Automation?
Accounts that have been enabled for the feature and have Verified SMS can use Visit Reminder Automation. Accounts without SMS do not see the Visit Reminders option.
Does turning on automation send a text immediately?
No. Turning on automation saves the setting immediately, then sends reminders according to the schedule you selected. For example, a reminder may be sent one day before each visit at 8:00 AM.
Who receives the reminder?
LMN sends the reminder to the SMS-eligible contact on the jobsite. If the jobsite does not have a linked contact, LMN uses the lead's primary contact.
Opted-out contacts and contacts without an eligible phone number do not receive the reminder.
Will a three-day, one-time job send a reminder every day?
No. One-time jobs receive a reminder for the first scheduled day only. Recurring visits receive a reminder for each scheduled visit.
Does this replace sending SMS messages from the Whiteboard?
No. Whiteboard, Schedule Review, and Job List SMS messages continue to work for one-off reminders, bulk messages, and weather-related notices.
Why did a reminder not go out?
Check the following:
Account-level automation is turned on.
The job does not have Send Automated Reminders turned off.
The contact has an eligible phone number and has opted in to SMS.
The visit was not cancelled.
The visit is eligible for a reminder. For example, a one-time, multi-day job only sends for its first scheduled day.
The selected send time is between 6:00 AM and 8:00 PM.
You can check SMS history for messages sent by System.
Can I send visit reminders by email?
Not in this release. Visit Reminder Automation currently supports text messages only.
Can I use different reminder messages for different job types?
Not in this release. One default message is used for the entire account. Different messages by job type or customer type are planned as follow-up improvements.
Is there an additional charge for Visit Reminder Automation?
No. Automated visit reminders use your existing SMS package and do not add a new SKU.
