Setting up your operator account and subscribing drivers

From 1 June 2026, drivers need to be covered by an active Log Ninja subscription to keep creating new log entries.

A driver’s subscription can be paid for in one of two ways:

  1. The driver subscribes in the Log Ninja mobile app.

  2. Your company pays for the driver through the Transport Operator Portal.

Your company does not need to pay for a driver’s subscription to access logs linked to your company. If the driver pays for their own subscription, your company can still view and download their company-linked logs from the Transport Operator Portal once your operator account is set up.

This article explains how to create your operator account, access driver logs, and manage company-paid driver subscriptions.


Create your operator account

  1. Sign up using the same email address the driver entered for your company in Log Ninja.

  2. Enter your company details.

💡 Important: You must use the same email address the driver entered for your company.


How driver subscriptions work

Drivers need an active Log Ninja subscription to keep creating new log entries.

That subscription can be paid by the driver or by your company.

If the driver pays for their own subscription, the driver manages their subscription in the Log Ninja mobile app. Your company does not need to pay for that driver.

You can still view and download logs linked to your company from the Transport Operator Portal.

If your company pays on behalf of the driver through the Transport Operator Portal:

  • The driver gets full Log Ninja app access while your subscription for them is active.

  • The driver does not need to subscribe separately in the mobile app.

  • Your company is billed for that driver’s subscription.

Company-paid subscriptions only apply to the drivers your company chooses to cover.


Subscribe to a driver

Only subscribe to a driver if your company wants to pay for that driver’s Log Ninja subscription.

To subscribe to a driver:

  1. Open the Drivers section in the Transport Operator Portal.

  2. Find the driver you want your company to pay for.

  3. Click Subscribe next to the driver’s name.

  4. Complete the subscription setup.

Once subscribed, the driver’s Log Ninja app access is covered by your company while your subscription for them is active.


If your company stops paying for a driver

If your company unsubscribes from a driver, your company stops paying for that driver’s Log Ninja subscription.

The driver does not lose their log history.

To keep creating new log entries, the driver will need to be covered by another active subscription. They can subscribe in the Log Ninja mobile app, or another company can pay for their access through the Transport Operator Portal.


View and download driver logs

From your dashboard, you can view and download logs linked to your company.

You can:

  • View logs: See log details for drivers linked to your company.

  • Download logs: Export individual logs, or logs grouped by CWP, as PDF or CSV files.

  • Filter and search: Find logs by driver or date.
