Billing and invoices

This article explains how billing works in the Transport Operator Portal, including driver subscriptions, billing cycles, invoices, and payment management.

From 1 June 2026, drivers need active subscription access to keep creating new log entries in the Log Ninja app.

Driver access can be paid for in two ways:

  1. The driver subscribes in the Log Ninja mobile app.

  2. Your company pays for the driver through the Transport Operator Portal.

If your company pays for a driver through the portal, that driver gets full Log Ninja app access while your company subscription for them is active. They do not need to subscribe separately in the app.


How company-paid subscriptions work

Company-paid access is managed per driver.

One subscribed driver = one company-paid subscription.

You can subscribe or unsubscribe drivers from your Drivers list in the Transport Operator Portal. Company-paid access costs:

There are no fixed tiers. Your monthly total depends on how many drivers your company subscribes to.

When your company subscribes to a driver:

  • our company gets dashboard access for that driver.

  • The driver gets full Log Ninja app access.

  • The driver does not need to pay separately in the mobile app.

Drivers who are not covered by your company can subscribe individually in the Log Ninja app.


Your billing date

Your billing date is set when you subscribe to your first driver.

This becomes your fixed monthly billing date. All future driver subscriptions are aligned to this same date.

For example:

  • You subscribe to your first driver on 12 March.

  • Your billing date becomes the 12th of each month.

  • Any drivers added later are included in your monthly billing cycle.

You receive one monthly charge covering all subscribed drivers.


Adding a driver mid-cycle

If you subscribe to a driver partway through your billing cycle, you are charged a prorated amount immediately.

This charge covers the remaining days between the subscription date and your next billing date.

From your next billing date, that driver is charged at the full monthly rate of $7.99 excl. GST.

Example:

  • Your billing date is the 12th of each month.

  • You subscribe to a new driver on the 22nd.

  • There are 20 days remaining until your next billing date.

You are charged immediately:

$7.99 ÷ 30 × 20 = $5.33 excl. GST

From the next billing date, the driver is charged at the full monthly rate.


Removing a driver

When you unsubscribe a driver:

  • No refund is issued for the remaining days in the current billing cycle.

  • The driver remains active until the end of the current billing cycle.

  • The charge for that driver stops at the next renewal.

  • After company-paid access ends, the driver needs another active subscription to keep creating new log entries.

The driver does not lose their log history.

If they do not have another active subscription, their account moves to read-only. They can still view and export existing records, but they cannot create new log entries.

Example:

  • Your billing date is the 12th.

  • You unsubscribe a driver on the 20th.

  • The driver stays active until the 12th of the following month.

  • From that renewal date, the driver is removed from your bill.

Cancelling an unsubscribe

If you unsubscribe a driver by mistake before the billing cycle ends, click Cancel Unsubscribe next to the driver’s name. The driver remains active, and billing continues as normal in the next cycle.


Pausing or stopping billing

To stop company billing, unsubscribe from all active drivers in your Drivers list.

Your billing will drop to $0 from the next renewal. You can resubscribe to drivers at any time.

After all drivers are removed:

  • Your company account is not deleted.

  • Billing stops unless you subscribe to drivers again.

  • Access to subscribed driver records is locked after the current billing cycle ends.

  • Resubscribing to a driver restores dashboard access for that driver and resumes billing.

Drivers who are no longer covered by your company need another active subscription to keep creating new log entries.


Invoices

Invoices are available from the billing page in your portal account.

You can download invoices at any time.

Each invoice includes:

  • Billing period

  • Drivers included in the billing cycle

  • Prorated charges for drivers added mid-cycle

  • Total amount charged

  • Payment method used

Invoices are generated automatically after each billing cycle charge.


Payment method

Payments are processed through Stripe.

You enter your card details when you subscribe to your first driver. Future charges are processed automatically using the same payment method.


Billing FAQ

Q: Why was my first charge less than $7.99?

A: You subscribed partway through a billing cycle, so you were charged a prorated amount for the remaining days. Your next charge on your billing date will be the full $7.99.

Q: Why was my monthly charge higher than expected?

A: You likely added a new driver mid-cycle. The prorated charge for their remaining days was added to your bill immediately. Check your invoice on the billing page for a breakdown.

Q: Can I get a refund for an unsubscribed driver?

A: No. Subscriptions are prepaid for the current billing cycle. Unsubscribing stops future charges but does not refund the current cycle.

Q: Can I change my billing date?

A: No. Your billing date is set when you subscribe to your first driver and cannot be changed.

Q: Where are my invoices?

A: On the billing page in your portal account. You can download any past invoice at any time.

Q: Do drivers need to pay if our company pays for them?

A: No. If your company subscribes to a driver through the Transport Operator Portal, that driver gets full Log Ninja app access while your company subscription for them is active. They do not need to subscribe separately in the app.

Q: Do drivers need to pay to use the Log Ninja app?
