How to invite Collaborators?

There are a few areas where you can invite your collaborators.

1. You can invite collaborators to each of your calendars, with the "Invite Collaborators" feature, located on the right-hand dropdown of your toolbar.

2. You can also invite collaborators directly from the Collaborators tab in Calendar Settings for each calendar.

3. Additionally, you can invite collaborators from your dashboard with the "Invite Collaborators" quick link.

4. Finally, the subscriber can invite collaborators from the Users section of Account Settings

💡 Tip: You can share our Client Handbook and Client Onboarding Video Tutorial with your clients to make the onboarding process an easy transition.

To invite one or more Collaborators to a Calendar:

1. Invite a collaborator using one of the four methods listed above

2. Type in the email address of the collaborator you would like to invite

3. Choose a role for your collaborator

4. If you would like to bulk invite multiple collaborators to a calendar, repeat steps 2 and 3 for each collaborator you would like to invite

5. Press Send to invite your collaborator(s) to the calendar

  • If the collaborator does not have an existing Loomly account, the invitation will expire in 2 weeks. You can view the expiration date by hovering your cursor over the info sign.

  • If the invitation email was accidentally deleted or if the invitation expired, please select the Resend Invite (the paper plane) icon next to their email address to send another invitation.

  • You are allowed to resend up to 3 invites for one collaborator. If your collaborator has not created their account and you do not have any other invites remaining, then please revoke the invite by removing it, and invite your collaborator again.

When I invite Collaborators, do they need to subscribe?

If you invite collaborators to Loomly, they will be able to access the calendar you invited them to.

When you invite collaborators to Loomly, they need to create an account.

However, they do not need to subscribe and can use Loomly for free, as long as they do not create any calendars of their own.

To keep everything under one subscription and avoid transfers, it is recommended for all calendars to be created from the same account.

If one of your collaborators is being prompted to subscribe, he / she most probably created a calendar of his / her own:

  • If the calendar is being used, they can transfer the ownership of the calendar to whoever has already subscribed to Loomly.

  • If they created a calendar by mistake or as a test, they can simply delete it.

📝 Note:

  • We recommend having each calendar created from the same account to keep everything under one subscription and avoid transfers.

  • Suppose you prefer that your collaborators create their own calendars. In that case, they can create a calendar under the subscriber's plan (if the collaborator's trial has expired), which will automatically transfer calendar ownership to the subscriber.
