🔑 Access: Users who are a member of an organization may be granted access to LumiQ's org admin tools. Please contact your Customer Success lead or LumiQ Support if the below functionality is something you believe you should have access to for your organizational needs.
Overview
The Admin Tools: Members functionality enables you to:
Manage who in your organization has access to LumiQ.
View who has accepted their invite to access the platform.
Resend reminder invites to team members who have yet to create their LumiQ account.
View the last time a team member listened to an episode on LumiQ.
Remove members who should no longer have access to your organization’s LumiQ subscription.
Download the full list of current and past organizational members for offline reconciliation.
In the future, we will also enable you to add new members and edit existing members in your organization.

View Member Status
The Members report will enable you to quickly view who has access to your organization’s LumiQ subscription.
You can filter the report by member access:
All members - the default view which includes members with Enrolled and Invited access
Invited members - this view only includes Invited members
Removed members - this view allows you to see Removed members who are not included in any other view
Each organization member may include the following information:
Name - the individual’s name as inputted in the system at the time they were invited.
Member email - the individual’s email address that the invite email was sent to.
Login email - this is the email the member uses to log in to LumiQ. It is only shown in the report if it is different from the member email.
Access - this shows the member’s current access to your organization’s LumiQ subscription.
Invited - the individual has been invited to your organization’s subscription but they have not created their LumiQ account yet.
Enrolled - the individual has successfully created their account and has access to your organization’s subscription.
Removed - the individual can no longer access your organization’s subscription.
Activity - this shows unique information based on the individual’s status.
Invited members - the last date an invite email was sent. ✉️
Enrolled members - the last date they listened to an episode on LumiQ. 🎧
Removed members - the date their access was removed.
Added - this shows the date the individual was added to your LumiQ subscription.
Resend Invites
When your team members are added to LumiQ for the first time they are sent an invite to create their account. They will receive two follow-up emails, one week apart, to remind them to create their account.
We know team members are busy, so you may want to periodically remind team members to join your LumiQ subscription if they haven’t had a chance yet.
Resending an Invite to One Team Member
To send an invite reminder to one team member:
Find the individual in the list by searching for their name or email
Click on their Invited Access status
Select the option to Resend Invite
The invite will automatically be sent
The Activity column will be updated to show they were invited today

Resending Invites to Multiple Team Members
You may want to resend invites to multiple team members or all team members who have yet to create their account.
To send invites to multiple members at the same time:
Select the checkbox beside their name
Select Resend Invites from the menu
Note: Only members in the invited status will be sent an invitation email.
To send invites to all invited members:
Filter the table by clicking on the Invited access filter
Select the checkbox to the left of the name field
Select Resend Invites from the menu

Remove Members
As team members leave your organization or change roles you may want to remove them from your organization’s LumiQ subscription. After team members are removed from your organization's subscription they will still be able to log in to LumiQ to access their certificates in our Tracker but will not be able to redeem new episodes using your organization’s subscription.
To remove a single member:
Find the members in the list by scrolling or using member search
Click on their Invited or Enrolled Access status
Select Remove from the menu

Select the checkbox to the left the member’s name
Select Remove from the menu

Adding and Editing Members (COMING SOON!)
Adding new members and editing existing members for your organization will be available later in 2025.
Download List of Members
You can download the full list of members to CSV for offline reconciliation by clicking the blue CSV button. This will download the list of all invited, enrolled, and archived members with member’s name, email, login email, access, last listened date, and date added to LumiQ.
Third Party Integration
If your organization is integrated with one of LumiQ’s supported third party applications for membership management you will not be able to manually archive members from LumiQ’s Admin Tools. You will need to follow the appropriate process in your third party application. Examples of these integrations include LCvista, Workday LMS, or Single Sign On Active Directory Sync.
