📝 Menu Drafts: review, schedule and restore menu changes

Make menu changes in a draft, check them, publish now or at a time you choose, and restore any earlier version.

Every menu change now goes into a draft first. You build it, check it, and choose when it goes live — right away or at a time you pick. Every menu you publish is kept, so you can go back if something's wrong.

Where to find it

In the back office, under Menu (or Global Menu for a shared menu), open Menu versions:

  • Review draft — see your pending changes and publish them

  • Version history — every menu you've published

Making changes

Need a change live right away? Make it, then open Review draft and click Publish › Publish now. Your terminals pick it up within a few minutes.

Edit your menu as usual. The first change you save starts a draft, and a banner appears: This menu has unpublished changes. Everything you save after that goes into the same draft — and so do changes from anyone else editing this menu.

Goes into the draft: products, modifiers, categories and groups, courses, tags, menu schedules, menu settings and taxes, revenue center prices and layouts, service fees and printing groups.

Still applies right away: out of stock and stock quantities, promotions, and revenue center printing settings. You don't want a sold-out item waiting for a publish.

Undo your last remaining change and the draft closes on its own.

Review your draft

Click Review changes in the banner, or open Review draft. Each change shows the old value and the new one, with a link back to where it was made. Bulk edits (presets, eligibility, settings copied between revenue centers) are grouped together.

Publish now

  1. On Review draft, click Publish.

  2. Optionally, Name this version — for example "Fall 2026 menu". Otherwise it just gets a number.

  3. Choose Publish now and confirm.

A publish report shows what was applied. Your terminals pick up the new menu on their next sync — usually within a few minutes, not instantly.

Schedule for later

  1. Click Publish, then choose Schedule for later.

  2. Pick the Date and time and the Timezone. A location's own menu starts with the location's timezone; a shared menu starts with your browser's.

  3. For a shared menu, the preview shows what time it will be at each location. It's one moment for everyone: 6:00 at a Toronto location is 3:00 at a Vancouver one.

  4. Click Schedule publish.

Until then, the menu is locked — you can't edit it, except out of stock. To change something, click Cancel schedule: the draft reopens with all your changes and nothing goes live. Then schedule again.

Worth scheduling a little before opening rather than at opening — terminals need a few minutes to pick the new menu up.

If a scheduled publish fails, nothing changes on your terminals and your draft keeps every change. A red message appears on the banner, and the person who scheduled it gets an email.

Discard a draft

On Review draft, click Discard draft (or Discard… in the banner). This throws away every change in the draft; your live menu isn't touched. There's no undo. You can't discard while a publish is scheduled — cancel the schedule first.

Version history and restore

Version history lists every menu you've published: its name or number, who published it, when, and how many changes it had. The current one is marked Live.

  • Rename any version with the pencil icon. This doesn't change the menu.

  • Restore any past version. It opens as a new draft with that version's values — review and publish it as usual. Nothing goes live until you do.

  • If a draft is already open, restoring replaces it (the button reads Replace), and the replaced draft can't be recovered.

  • History starts with your first publish. Every version from then on is kept.

Shared menus and locations

  • Head office's draft and each location's draft are separate. Each publishes, schedules and restores on its own.

  • A location can only change what head office lets it override, such as prices and descriptions. Values a location sets itself are marked Published here.

  • When head office schedules a publish, locations see a notice. Their own changes aren't locked.

  • Restoring the shared menu doesn't touch a location's overrides, and the other way around.

A few things worth knowing

  • Publishing needs the Menu Publishing permission. Roles that already had menu configuration access got it automatically. Without it, Publish shows "The publish could not be started."

  • Two people, one draft. If someone changes the draft while you're reviewing, you'll be asked to look again before publishing.

Why can't I edit my menu?

A publish is scheduled, so the menu is locked. Click Cancel schedule, or wait until it goes live.

Why isn't my change on the POS yet?

Check Version history. If your version isn't marked Live, it hasn't been published yet — open Review draft and publish it. If it is, give the terminals a few minutes to sync.
