🏪 Local Products: let locations add their own items

Let each location add items that exist only on its own menu — a daily special, a local beer — without touching the shared menu.

Local products let a location add items that exist only on its own menu, like a daily special or a beer from the brewery down the street, without asking head office to change the shared menu. Head office decides which locations can do it and in which categories, and keeps full control over every local product.

What you need

  • A shared (global) menu used by several locations.

  • At head office: the Menu Configuration permission to set it up.

  • At a location: the Products permission to add local products.

Set it up (head office)

  1. In the back office, open Global Menu › Current menu settings and go to the Local product authoring tab.

  2. Under Menu default, switch to Local authoring on.

  3. Choose the categories locations can add products to. Each open category has a Reports as setting: the category its sales roll up under in your reports. It starts as the category itself; change it if you want, say, every local beer to report under "Beer".

  4. Save. This applies right away — it isn't part of a menu draft.

Every location follows this default. To treat one location differently:

  • Under Locations, open the location and change what you need (turn it off, open or close categories, change Reports as), then click Save override. The row now shows Override instead of Follows default.

  • To bring it back in line, click Remove override — follow the default again.

An override replaces the default completely. Once a location has one, later changes to the default don't reach it.

Add a local product (location)

  1. Open Menu › Products and click New local product.

  2. Enter the name in both French and English (2 to 60 characters each) and, if you like, a description (up to 300 characters).

  3. Pick one or more categories. Only categories head office has opened to you are listed. The first category you pick decides the report category; the others only add buttons on the workstation.

  4. For each revenue centre, check the box and enter a price. A checked box with no price is not sold there — enter 0.00 to offer it free. With no box checked, the product isn't for sale anywhere, on the terminals or online; its prices are kept for later.

  5. Save. If menu drafting is on and you're in Draft, the product waits in your draft and sells once you publish. Otherwise it's on sale as soon as you save.

The product is visible only at your location: not on other locations' terminals, back offices or online menus.

What a location can't do: duplicate a product (local products are created from scratch), or create its own modifiers or remarks. You can add variants to your own local products.

See and manage every local product (head office)

  • Global Menu › Local products lists every local product across your locations, with the location, categories, report category and price range. Filter by location or category, or export the list.

  • You can edit or delete any of them. Your change applies immediately, overwrites what the store manager set, and the location isn't notified — worth a quick message to the manager first.

  • Only head office can change a local product's report category.

Remove a local product

Open it and use Remove this product, or delete it from the list. Before you confirm, you'll see whether it has sold. Past sales stay in your reports. A location working in Draft takes it off sale when it publishes.

Reports

On the item, category and employee sales reports and on Voids, Refunds & Corrections (location and global versions), a Products filter lets you show All products, Local products only or Global products only. A Product type column shows Global or Local with the location's name.

A few things worth knowing

  • Nothing is open by default. Until head office turns on local authoring and opens at least one category, locations don't get the New local product button.

  • Changing a category's Reports as moves existing local products to the new report category. You'll be asked to confirm, with the count. Future sales report under the new category; past sales stay where they were.

  • Restoring an earlier version of the shared menu doesn't touch local products. A location's own local products follow that location's own drafts and version history.

  • Turning menu drafting off on the shared menu discards every location's unpublished changes, including local products not yet published.

  • If head office closes a category after a location drafted a product in it, the location can't publish that draft until it moves the product or takes it out of the draft.

Why can't I add a local product?

  • "Local products are off for [location]" — head office hasn't turned local authoring on for your location. Ask your organization's menu administrator.

  • "No category is open to local products yet" — local authoring is on, but no category has been opened to you. Ask your menu administrator.

  • No button and no message — local products aren't set up for your organization yet. Ask your menu administrator.

Why isn't my local product on the POS?

  1. Menu drafting is on and you saved in Draft — publish your menu changes.

  2. No revenue centre is checked, or the checked one has no price.

  3. The revenue centre doesn't show the product's category — add the category on the revenue centre's page.

If you see one of these messages

  • Checked with no price, so not sold there: Bar. Enter a price or uncheck the row. — Enter a price (0.00 for free), or uncheck it.

  • This revenue centre does not show the product's category. Add the category on the revenue centre's page first. — Add the category to that revenue centre, then check the box.

  • The organization does not offer this product in this revenue centre. — Head office hasn't placed this category in that revenue centre. Ask your menu administrator.

  • Not open to local products at this location: Desserts. — Pick a category that's open to you.

  • Choose the category the product goes in. — Pick at least one category.

  • A local product is created from scratch, not duplicated. — Use New local product instead of duplicating.

  • A location authors products and their variants only; modifiers and remarks stay the organization's. — Ask head office to add the modifier or remark.

  • These local products sit in a category no longer open to this location: Craft Lager. Move them or take them out of the draft, then publish again. — Move the product to an open category, or take it out of your draft.

  • The product was saved, but its checkbox for Patio was not. Try again from the revenue centre's page. — The product is saved; turn it on from that revenue centre's page.
