Assigning Procedures to Teams

Assign procedures to specific teams to control who can access or fill them. Finalized procedures remain visible to everyone, ensuring transparency where needed.

Overview

You can now assign procedures to specific teams, giving you more control over visibility and access within your organisation. This ensures that only relevant teams can work with the procedures they’re responsible for—without exposing everything to everyone by default.


What’s New

  • In the Procedure Settings, you can assign one or more teams to each procedure.

  • Team members will only be able to open and fill procedures assigned to them.

  • On the Work Order Detail Page, all attached procedures will appear, but users will only be able to open those assigned to their team.

  • Once a procedure is finalised, it becomes visible to all users, and anyone can download the PDF, regardless of team access.

  • You can now assign teams directly during procedure creation or editing using the dedicated dropdown.


How to Assign a Procedure to Teams

Option 1: From Procedure Settings

  1. Navigate to the Procedures module.

  2. Open an existing procedure.

  3. Go to the Settings or Configuration tab.

  4. Under Team Assignment, select one or more teams.

  5. Click Save.

Option 2: During Creation or Editing

  1. Click Create New Procedure or edit an existing one.

  2. In the form, use the Teams dropdown to assign access.

  3. Save the procedure to apply the team assignment.


Important Notes

For Existing Customers:

  • To avoid disrupting workflows, all existing procedures have been automatically assigned to all teams.

  • You can adjust team access at any time from the procedure configuration page.

Visibility Rules:

State

Who Can Access

Assigned to specific teams

Only selected team members, admins and owner

Not assigned to any team

Only visible to users who are not assigned to any team

Attached to Work Order

Visible to all, but openable only by assigned teams, admins and owner

Finalised

All users can view and download the PDF
