How to Use Filled Procedures

Fill out procedure forms independently of work orders. Useful for audits, inspections, or documentation that needs to be completed before a work order is created.

What are Filled Procedures?

Filled Procedures allow users to complete a procedure without attaching it to a work order. This is ideal for standalone checks, audits, inspections, or preparing documentation before a service begins.


Where to Find Filled Procedures

  1. Navigate to the Procedures module from the main menu.

  2. Click on the new “Filled Procedures” tab.

Here, you’ll find all procedures that were filled independently of a work order.


How to Fill a Procedure Without a Work Order

  1. Go to the Filled Procedures tab.

  2. Click “Fill Procedure”.

  3. Select a procedure template from the list.

  4. Complete the form as needed.

  5. Click Submit to save your filled procedure.

The completed procedure will now appear in the Filled Procedures list.


How to Attach a Filled Procedure to a Work Order

There are two ways to assign a filled procedure to a work order:

Option 1: From the Filled Procedure Detail View

  • Open a filled procedure.

  • Click the “Attach to Work Order” button at the top.

  • Select the work order you want to link it to.

Option 2: From a Work Order

  • Open the Work Order Detail View.

  • Click “Assign Procedure”.

  • In the modal, switch to the “Filled Procedures” tab.

  • Select the filled procedure you want to attach.


What Happens After Attachment?

Once attached to a work order:

  • The filled procedure behaves like any other procedure in the work order.

  • You can download a PDF of the filled procedure.

  • You can view the full audit log.


Use Cases

  • Pre-service documentation or prep work

  • Standalone inspections or audits

  • Post-job notes logged outside the standard work order flow
