Introduction to the Scheduler

Learn how to use the Scheduler in Makula Field Service to plan work orders, assign technicians, allocate resources, and manage your team's workload.

What is the Scheduler?

The Scheduler is a visual planning tool that allows you to manage and schedule work orders by dragging and dropping them onto a calendar. You can assign technicians and resources, plan tasks across days, weeks, or months, and publish schedules when ready.

Changes remain in draft mode until you publish them, ensuring technicians are only notified once the plan is finalised.


How do I access the Scheduler?

Navigation: Open your Field Service workspace, then select Scheduler from the sidebar.


How do I schedule a work order?

Unassigned work orders appear in the Unassigned Work Orders panel on the left side of the screen.

  1. Locate the work order you want to schedule in the Unassigned Work Orders panel.

  2. Use the search bar to find work orders by name, or use the Filter by option to refine the list.

  3. Click and drag the work order to the appropriate date and time slot on the calendar.

  4. Drop the work order in front of the team member you want to assign it to.

You can view unscheduled work orders by company name or work order title using the View by dropdown in the top right.


How do I assign technicians and resources?

After placing a work order on the calendar, a window appears where you can refine the details.

Assigning a Technician:

  1. Click on the scheduled work order in the calendar.

  2. In the Assignee section, select each technician you want to assign.

Assigning Resources:

  1. In the same window, click the Add Resources dropdown.

  2. Select any tools or vehicles needed for the task.

  3. Click Update to allocate these resources to the work order.

You can sort the team members list alphabetically or by the number of skills each member has.


How do I switch between calendar views?

You can plan your schedule using daily, weekly, or monthly views by chosing between Day, Week, or Month views the top right corner of the calendar..

  • Daily View: For detailed scheduling of individual tasks

  • Weekly View: For organising multiple work orders across a week

  • Monthly View: For an overview of your team's workload

You can drag and drop work orders, assign technicians, and allocate resources in any view. Work orders can be moved between hours, days, or weeks by dragging them within the calendar.


How do I save and publish changes?

The Scheduler allows you to save changes as a draft before notifying technicians.

Save as Draft:

You can save as draft by clicking on the save changes button. Technicians are not notified until you publish.

Publish Changes:

  1. Review your scheduled work orders.

  2. Click the Publish button to finalise the schedule.

  3. Technicians will receive notifications about their assigned work orders.


How do I configure resources?

Resources such as vehicles or tools can be created in Settings so they are available for allocation in the Scheduler.

  1. Go to Settings in the sidebar.

  2. Under Work Management, select Resource Management.

  3. Click Add New Resource.

  4. Enter the resource name and details.

  5. Click Save.

Resources will now appear in the Add Resources dropdown when scheduling work orders.
