Budgets and costs help you keep track of the financial progress across projects.
Managing budgets
There are several ways to stay on top of project budgets:
You will receive email notifications when the accumulated cost is reaching 70%, 90% and 100% of its budget.
You can use the filter to see the cost between a period of time (e.g. last month), along with the accumulative cost for each budget in a project.
Adding a budget
You can set up one or more budgets in a project. Open a project, navigate to the budget tab, and then click the add button
.
Note: If you have already set up an integration with an accounting system such as Deltek Vantagepoint, Replicon or Harvest, you may see more than one option.
Default budget
The default budget is the standard Matidor budget, without connection or sync with any accounting system. When you set up a default budget, you must choose at least one cost code from the list of cost codes available in the Workspace. See Cost Codes and Vendors for more information about adding cost codes.
Fill in the budget information
Select the cost codes you want to use for this budget, and optionally enter a budget amount for each.
You may edit cost codes and their budget amounts later, but may not remove a cost code once in use.
Click Save.
After a budget is created, you can then add cost items to it. See Cost to learn how to add cost items.
Linked budget
When you create a budget with the integrated accounting software's name (in this case, Deltek Vantagepoint,) you are essentially linking a budget with the corresponding budget from the accounting software.
In the Deltek Vantagepoint ID dropdown, you will see a list of budgets pulled from your accounting system. Choose one or more to connect - each will become a separate linked budget in Matidor.
Then fill in the rest of the budget details.
Since the linked budget will use the cost codes defined by the integration, you may skip adding the Cost costs.
Click Save.
After a linked budget is created, an automatic sync will occur every day at around 1 am PST to update the total amount for each cost code.
Editing linked budgets
For linked budgets, you will see the last sync date and time, along with a button to trigger an immediate sync. You may also add additional cost codes to the linked budgets without interfering with the sync.
Downloading budget reports
You can download PDF reports of a budget summary and a cost summary using the Export budget option:
