Overdue Payments Schedule and Late Fees

Post-COVID Supplier Expectations

In the post-COVID era, many third-party suppliers require timely deposit payments to secure reservations. Some costs are time-sensitive, making prompt payments essential.

We understand that gathering passenger data and payments can be challenging. Our team is here to support you. If you encounter difficulties meeting a deadline, please contact us as soon as possible. Clear communication between us, your students, and their parents can help avoid the need for late payment fees.

Our Approach

  • Early Invoicing: We issue invoices approximately 4 weeks in advance, giving you ample time to prepare and settle payments.

  • Friendly Reminders: If any balance remains outstanding, we’ll send timely reminders to assist you.

Failure to meet this deadline may invalidate the price and package in your proposal. We reserve the right to re-price the package, which may result in increased pricing and changes in availability.

6 Months Before Departure

Payment required.

Failure to pay within 21 days post-due date will incur a 2% late payment surcharge on the invoice. Repeated non-payment may lead to trip cancellation.

12 Weeks Before Departure

Final payment required.

Same terms as above apply.

Payment Schedule

To secure your booking, payments are required as follows:

  1. Deposit Invoice: Due immediately to confirm your booking.

  2. 50% of Outstanding Balance: Due 6 months before departure.

  3. Remaining Balance: Due 3 months before departure.

Please check your Proposal document for clarification on your payment schedule. You will find a copy on your SLIC page.

Extras and Adjustments

If you wish to add extras to your booking, such as excursions or upgrades, speak to your Tour Coordinator for assistance.


Amending Your Booking

Making Changes

If you need to modify your booking after receiving a confirmation invoice, the lead name must inform us in writing (via email) as soon as possible.

  • The effective date of any change is when we receive written notification.

  • While we will do our best to accommodate changes, they may not always be possible.

Fees and Conditions

  • Additional Costs: Any extra costs incurred (e.g., from suppliers) will apply.

  • Timing Matters: Costs for changes typically increase as the departure date approaches, so notify us early.

Limitations

  • Certain elements (e.g., flights, transfers, excursions) may be non-changeable, and cancellations may incur up to 100% of the cost for those elements.

Adjustments Due to Fewer People

  • If the number of people in your booking decreases:

    • The total price will be recalculated, which may increase the price per remaining person. Please consult our minimum number policy for full details.

    • Cancellation fees will apply to the individuals who cancel.

    • If discounts or concessions depend on group size, these may also be adjusted.

How to Cancel

The lead name must notify us in writing (via email) to cancel a booking. The effective date of cancellation is when we receive written notification.

The following charges apply based on the time before departure:

  • If the cancellation charge is less than the deposit amount, the deposit will still be charged.

Insurance and Refunds

  • If your cancellation is covered by your insurance, you may be able to reclaim some or all charges.

  • For flight-inclusive bookings, cancellation charges by airlines often amount to the full cost of the flight(s).

  • Some elements of your booking (e.g., transfers, excursions, upgrades) may also be non-refundable.

Transferring a Booking

  • You can transfer your booking to another person who meets all booking conditions.

  • Notify us in writing as soon as possible, no later than 7 days before departure.

  • Both the original and new person will be responsible for all associated costs.

  • Flights: Most airlines do not allow name changes after tickets are issued, and you may need to pay for a new flight.
